1996-1998 Biennial Report Presented by Carol Hewlett Can you believe TENN-SHARE has been in existence for almost eight years? We’ve had a constitution and officers for the last six years, so this is the third biennial president’s report. Building on the success of the past years, below is a brief list of some of the accomplishments of 1996-1998. We conducted three separate Trial Access to Databases events. Two were for TENN-SHARE member libraries and this year we added a session specifically for school libraries across the state. The libraries that participated in these trials gave them high marks and are more eager than ever for us to achieve the goal of statewide access to databases. Our efforts toward providing statewide access to commercial databases resulted in a proposal called The Tennessee Electronic Library. It has taken several forms and was distributed widely across the state to libraries and potential funding sources. We have participated in meetings with state commissioners and other key state officials, the senior vice president of UT and others. Each meeting brings us one step closer to our goal. Watch out for significant progress on this in 1998-2000! I believe in the next biennium we will finally reach the goal of statewide access to databases. We held two successful annual conferences. In 1996 we met at Volunteer State Community College and in 1997 we went to Vanderbilt University. The ILL Committee sponsored a pre-conference in 1996. Thanks to the efforts of the staff of these member institutions, the planning committees, and an active membership, each conference resulted in very favorable evaluations and was well attended. As an affiliate organization of the Tennessee Library Association we initiated a new TLA award to be sponsored by TENN-SHARE - the TLA Resource Sharing

Award. We were also given a seat on the Tennessee Advisory Council on Libraries. We held two successful rounds of Internet and World Wide Web workshops. We designated multiple sites across the state each year and staff of local member libraries served as local arrangements committees and instructors. Each year we filled up each site with staff from member organizations and the evaluations were extremely positive. We initiated a dues structure and currently have over 200 paid members. We also revised our constitution and bylaws to reflect the new dues policy and other changes in the organization. The Public Information and Membership committees cooperated on the redesign of the TENN-SHARE brochure in time for wide distribution at our Fall, 1997 conference. Copies were also available at the TLA conference in Spring, 1998. We continued to use our listserv as a means for communication and added a TENN-SHARE website where you can go for copies of important documents and get general information about the organization. We were audited in 1996 and came through with flying colors. The 1998 audit process is underway at this time. But, perhaps the most significant accomplishment over the last two years was laying the groundwork for hiring our first, paid staff member. We initiated a search for a TENN-SHARE executive director and hope to have the position filled in Fall of 1998. Now it’s time to be daring and try to list the names of some of the folks who have been instrumental in the achievements of TENN-SHARE over the last two years. This is daring because you inevitably leave someone out. But, I want you to see just how many people it takes to make an organization effective. If you don’t see your name here or know of anyone I missed, let me know. I certainly don’t mind sending out an addendum. I hope you will all support Sallie Johnson
