VOLUNTEER OPPORTUNITIES VOLUNTEER REPRESENTATIVE SENTATIVE The Volunteer Representative’s responsibilities include communicating with PTO, Principal and teachers to dispensee information to Room Parents, working with office staff in coordinating volunteers forr miscellaneous school events, conducting Room Parent meeting and maintaining a file of Room Parent Privacy and Co Confidentiality nfidentiality Agreement forms. Another responsibility is updating the manual, and making copies for the meeting. This person will also encourage the he involvement of all members, be responsible for the execution ion of the membership program, serve as a contact person rson for membership questions, promote membership driv drive, plan and supervise vise all membership activities. FUNDRAISING COORDINATOR The Fundraising Coordinator is responsible for the execution on of the fundraising program, serve as a contact person for the fundraisi fundraising ng company representative, promote the fundraiser(s), distribute and collect sales materials. This person will also update all flyers, coordinate delivery ry of merchandise to students, plan and supervise sales reward activities, activitie and maintain an accurate account of participating students. This person rson will also communicate the status of the fundraiser(s) to the PTO throughout the year. YEARBOOK REPRESENTATIVE REPRESENTATIVES These representatives are responsible for meeting with the yearbook company, attending a workshop, designing the yearbook, taking and gathering pictures, yearbook sales, yearbook ad sales, and reporting information to the PTO. These representatives will also update all flyers and distribute. They will also be in charge of all emails concerning the yearbook. yea It is recommended the representative representatives recruit volunteers to assist in managing these duties. HOSPITALITY COORDINATOR The Hospitality Chairperson plans and organize organizes events sponsored by the PTO for Magnolia faculty and staff.. The largest event for this position is Teacher Appreciation Week. The hospitality coordinator purchases, packages and distributes the gifts for the teachers and is responsible for the planning and serving of the luncheon and breakfast that week. There may also be other events at the request of the Principal. It is recommended that the coordinator recruit volunteers to assist in managing these duties.
FRIDAY FREEZE COORDINATOR The Friday Freeze Coordinator is in charge of organizing Friday Freeze each month. This includes maintaining an accurate account of the students who participate in Friday Freeze, placing order to the vendor 1 week prior, updating and distributing all forms, and all communications with vendor and PTO treasurer. This person is in charge of distributing ice cream and managing Friday Freeze volunteers. This person is also required to be at membership drives.
BOX TOPS COORDINATOR This person is in charge of communicating deadlines to parents and school, updating all forms and distributing, emailing deadline dates and forms to room parents, verifying room parent counts, shipping Box Tops, along with coordinating party for winning class.This person is also required to be at the Room Parent meeting. Collection dates are in October and February. LIBRARY REPRESENTATIVE This person is responsible for helping with the book fairs. This includes set up, arranging volunteers, and assisting librarians. This person will also report profits at the PTO meetings. The library representative will also assist the librarian throughout the year helping in the library when needed. 5th GRADE EXTRAGANZA COORDINATOR The 5GE Coordinator will be in charge of the 5th Grade Extravaganza. This includes planning and collaborating with the 5th grade teachers, (entertainment, food, shirts, etc) recruiting volunteers, and communicating information to parents, teachers, PTO, etc. This person will also be in charge of getting all permission forms signed and forms updated. This event takes place at the end of the school year in May. ACTS OF KINDNESS/BENEVOLENCE REP This person is responsible for providing cards for staff during times of major life events. SOCIAL MEDIA REPRESENATIVE This person is responsible for posting information on our Facebook page, sending all updated forms to the social media school representative. This person is also required to have meetings with the PTO board to obtain information to post.
All forms need to be approved by the PTO and Principal before sending out. A more detailed list will be provided after acceptance of position.
