Ascertain No. of NSC, KVP which are digitized but signature scanning is pending and carrying out signature scanning and linking through Sanchay Post Version 7.5.

Ascertain No. of digitized accounts from DB Analyzer.

Labeling of all silent accounts .

Ascertaining No. of MPKBY Agents, SAS Agents, PRSS Agents and opening SB accounts in their name and mapping of accounts.

Checking of Correctness of accounts and balance of each category which are live.

Settlement of Minus Balance Cases.

Availability of hardware with 2 GB RAM, Windows 7 Professional (32 bit), Quick Heal Antivirus, Internet Explorer Version 8, Passbook Printer, Laser Printer, UPS .

Availability of Stationery such as new account opening form, Computerized Passbook and CTS Cheque book.

Saving Bank (SB) Activities to be Carried Out *Trace and keep on record SB-3 of all live accounts and ensure that accounts shown live are actually live accounts. *Reconcile balance with interest Statement as 31.03.2013. *Reconcile upto date balance with V2 SBCO. *Marking of ‘S’ in Sanchay Post for Silent account as per V2 SBCO as on 31.03.2013

*Issue SB-46 notices

Monthly Income Scheme (MIS) Activities to be Carried Out *Trace and keep on record SB-3 of all live accounts. *SB-63 prepared from 01.01.2007 to 31.12.2013. *Check all MIS manual binders & list out accounts, which are live but not digitized yet *Verification of a/cs prior to 01.01.2007 as it is showing live in Sanchay Post with the help of long book / LOT *List out MIS accounts, closed manually from 01.01.2007 to till date and check whether said account, are still live in Sanchay Post or otherwise by comparing with LBR (Last Balance Report). If yes, suitable action may be taken immediately. *On receipt of details of transfer In & Out account from SBCO, the Last Balance Report should be checked in view to detect any such transfer out account is still forming part of balance of said post office. Suitable action should be taken in such case immediately. *Passbook verification of all MIS live accounts, to be carried out by issuing SB-46 or by calling for Passbooks through Agents. While checking the passbooks, if any discrepancy noticed it should be rectified immediately by verifying concern records. *Also check for premature closed accounts.

Recurring Deposit

(RD)

Activities to be Carried Out *Trace and keep on record SB-3 applications of all live accounts. *SB-63 prepared from 01.01.2007 to 31.12.2013. *Check all RD manual binders & list out accounts, which are live but not digitized yet *Verification of a/cs prior to 01.01.2007 as it is showing live in Sanchay Post with the help of long book / LOT

*List out RD accounts, closed manually from 01.012007 to till date and check whether said account, are still live in Sanchay Post or otherwise by comparing with LBR (Last Balance Report). If yes, suitable action may be taken immediately. *On receipt of details of transfer In & Out account from SBCO, the Last Balance Report should be checked in view to detect any such transfer out account is still forming part of balance of said post office. Suitable action should be taken in such case immediately. *Passbook verification of all RD live accounts, to be carried out by issuing SB-46 or by calling for Passbooks through Agents. While checking the passbooks, if any discrepancy noticed it should be rectified immediately by verifying concern records. *Half withdrawal if taken may also be noted separately along with premature closed account.

Time Deposit (TD) Activities to be Carried Out *Trace and keep on record SB-3 of all live accounts. *Reconcile up to date balance of Sanchay Post with V2 . *Live a/c’s and closed a/c’s to be set right *On receipt of details of transfer In & Out account from SBCO, the Last Balance Report should be checked in view to detect any such transfer out account is still forming part of balance of said post office. Suitable action should be taken in such case immediately. *Also check for premature closed accounts.

Public Provident Fund (PPF) Activities to be Carried Out *Trace and keep on record SB-3 of all live accounts. *Checking all ledger entries(Sanchay & V2) and Reconcile uptodate balance of Sanchay Post with V2 *On receipt of details of transfer In & Out account from SBCO, the Last Balance Report should be checked in view to detect any such transfer out account is still forming part of balance of said post office. Suitable action should be taken in such case immediately.

*Check for Closed PPF account but not closed in Sanchay Post and take action for closure in sanchay Post. *Also check for withdrawal/Loan.

Senior Citizen Saving Scheme (SCSS) Activities to be Carried Out *Trace and keep on record SB-3 of all live accounts. *Checking and Reconcile uptodate balance of Sanchay Post with V2

*On receipt of details of transfer In & Out account from SBCO, the Last Balance Report should be checked in view to detect any such transfer out account is still forming part of balance of said post office. Suitable action should be taken in such case immediately. *Check for Closed SCSS account but not closed in Sanchay Post and take action for closure in sanchay Post *Also check for premature closed accounts.

National Saving Scheme-92 (NSS-92) Activities to be Carried Out *Trace and keep on record SB-3 of all live accounts. *Checking and Reconcile up to date balance of Sanchay Post with V2. *On receipt of details of transfer In & Out account from SBCO, the Last Balance Report should be checked in view to detect any such transfer out account is still forming part of balance of said post office. Suitable action should be taken in such case immediately. *Check for Closed NSS-92 account but not closed in Sanchay Post and take action for closure in sanchay Post.

National Saving Certificate (NSC) Activities to be Carried Out *Trace and keep on record purchase application of all issues of NSC Certificates. *Check purchase applications with Sanchay Post Data and purchase application from the date of online to date. *Check for :(i) Closed in purchase application but not in sanchay Post (ii) Closed in Sanchay Post but not in purchase application (iii) Closed in Sanchay Post as other offices- Run .exe file *Live A/c with discrepancies ( date of clearance is not entered as a “Purchase Date”) *Manual application prior to date of online- checking and data feeding/digitization feeding of discontinued categories in Sanchay Post Version 7.5 to be carried out. *The work of signature Scanning of NSC in Sanchay Post Version 7.5 to be carried out. *Verification of NSC purchase applications with Sanchay Post to confirm that certificates entered in system are actual live.

Kisan Vikas Patra (KVP) Activities to be Carried Out *Trace and keep on record purchase application of all KVP Certificates.

*Check purchase applications with Sanchay Post Data and purchase application from the date of online to Nov 2011.(Discontinued on 01.12.2011) . *Check for :(i) Closed in purchase application but not in sanchay Post (ii) Closed in Sanchay Post but not in purchase application (iii) Closed in Sanchay Post as other offices- Run .exe file (iv) Check for premature closure. *Live A/C’s with discrepancies ( date of clearance is not entered as a “Purchase Date”) *Manual application prior to date of online- checking and data feeding/digitization feeding of discontinued categories in Sanchay Post Version 7.5 to be carried out. *The work of signature Scanning of KVP in Sanchay Post Version 7.5 to be carried out. *Verification of KVP purchase applications with Sanchay Post to confirm that certificates entered in system are actual live.
