Ness creek music Festival Food Vendor Guidelines Thank you for your interest in being a Ness Creek Vendor! Application deadline March 31st Successful applicants will be contacted by April 30th
Fees: $1,000 + GST ($1,050), includes • 4 Ness Creek Music Festival weekend pass • 1 parking pass, rustic camping included • Program listing • Two 15 amp 120 volt plugs • Limited space for self-contained units • Additional day or weekend passes must be purchased to accommodate extra attendants/workers $500+GST deposit required within 10 days of application. All deposits will be applied to your vendor fee upon acceptance. If not accepted, your fee will be refunded. No refunds for any cancellations after May 1st. Second payment of $500+GST required by May 12th. Vendors unable to fulfill their contract forfeit any claim to refund.
Hours of Operation: Thursday Noon to last band Friday 8:00 am to last band Saturday 8:00 am to last band Sunday 8:00 am to last band Booths may not be left unattended during operating hours. Unattended booths may be taken down. Vendors are expected to remain open during operating hours; if for some reason you must close during this time, please clear it with the Vendor Coordinator in your area. Operating hours are subject to change.
Security: Overnight security is NOT provided. You are responsible for the security of all property in your care. The Ness Creek Cultural and Recreational Society is not responsible for any items lost, stolen or damaged at the Festival, including damage caused by weather.
Arrival & Set Up: Wednesday Noon to 10:00 pm Thursday 9:00 am to Noon Vendors are encouraged to arrive on Wednesday. Gates open to the public at noon Thursday. Expect entrance lineups if not arriving early. No entry to festival grounds between 10pm Wednesday and noon Thursday. Your Vendor Coordinator will assign your booth location. Please make contact with your respective coordinator upon arrival at the front gate and before commencing set up. Driving vehicles on site after initial set-up is prohibited, however parking for vendors is nearby.
Tear Down: Sunday 5:00-7:00pm Please leave your booth space clean and clear. Your feedback is important to us! Please take time to complete our vendor satisfaction survey so that we can make the vending experience at the Ness Creek Music Festival the best that it can be.
Preference will be given to food vendors: • • • • • • •
That are self-contained (minimum or no need for cold storage and/or power) That are community-based organizations That create minimal waste by using bulk ingredients & not pre-packaged food That offer healthy, unique food choices That do not to sell bottled water, but have bulk drinkable water & will fill up patron’s reusable water bottles (for a price) That serve food and drink in compostable containers and with compostable cutlery Whose food contains local, organic or all natural ingredients & provide meal options for vegetarians & other alternative diets.
Food Vendors are required to: 1. Have liability insurance 2. Use only paper and biodegradable plates, cups and cutlery – NO Styrofoam/Plastic! • PLEASE NOTE: Plastic recyclables are not allowed; only paper recyclables and compostable items may be used. This includes food containers and cutlery. 3. Use food-safe thermometers to consistently monitor and maintain safe food temperatures 4. Refrain from selling bottled water products during the festival.
Electrical Requirements: Because the electrical capacity of the Ness Creek Site is limited, the following requirements have been developed to minimize consumption as well as addressing safety and equal use of power. • Each vendor is supplied with two 15 amp 120 volt plugs • All electrical equipment (including cords) should be in good condition, safe & complete with a ground wire. • Electrical cooking & heating appliances are not allowed because of their power draw. All heating appliances should be propane fueled. • Refrigerators & freezers should only be large enough to handle your festival needs. Refrigerator space is available in the reefer unit - approx. size: 1-2 pallets. Freezer space may be shared between vendors. • Vendors are encouraged to conserve power whenever possible. This can include designing menus which require less power to prepare and serve & also using insulated carafes to hold hot beverages, soups and sauces before serving. • No additional plug-ins for vendors’ campers & trailers will be provided. • Vendors should be prepared with a generator in the event of a power outage. • If a food truck, vendors must follow CITY OF SASKATOON COUNCIL POLICY NUMBER C09-039. This includes that “mobile food truck operations shall not create any disturbance or nuisance in terms of noise, vibration, smoke, dust, odour, air pollution, heat, glare, bright light, hazardous or unacceptable waste. Lights, sounds, or actions which may be a distraction for motorists and/or pedestrians are not permitted.”
Green-Ness We are committed to reducing the ecological impact of the festival through waste reduction, effective composting, local food promotion and more. There is no doubt that the greatest challenge for waste management is the task of feeding over 4000 hungry festivalgoers in such a remote location. Help us in our efforts by providing us with an idea of the type & quantity of waste that you anticipate (cardboard, packaging, etc.) As our valued food vendors, we would like to include you in our greening initiatives. We want to hear your ideas of things you’ve already done or ideas you have had in the past, and to work with you to GreenNess!
