Graduate Program Accounts Manager Georgia Southern University Residence Education Team within University Housing 2016-2017

General Description: The Graduate Program Accounts Manager (GPAM) will be actively involved in processing financial transactions and providing administrative assistance for staff members in the Residence Education office. The GPAM will process financial paperwork and respond to accounting needs (Quicken registers, petty cash disbursement, purchasing card transactions, etc.) Additionally, they will support the administrative needs of the Resident Director Staff and departmental committees, as needed. The GPAM will be located within the Residence Education office at Watson Hall and is supervised by an Assistant Director of Residence Education. Job Specifications/Qualifications • Demonstrated administrative skills and/or previous administrative support work experience. • High level of maturity with demonstrated exceptional organizational and interpersonal skills. • Strong verbal and written communication skills. • Ability to establish and maintain effective working relationships with other employees, students, and general public. Approachability and a demonstrated ability to be friendly and open. Possess a helpful attitude when interacting with others. • Must be able to generate and maintain appropriate documentation pertinent to various processes and procedures as needed. • Must have working knowledge of various software packages including Quicken, Microsoft Word, Excel, Google Docs, etc. Comfortable using technology, a variety of software programs, and a web-cam for remote meetings. • As a graduate student enrolled in academic classes at Georgia Southern, the GPAM must be enrolled as a full time student each semester and maintain a 3.0 GPA in order to qualify for a graduate assistantship. The GPAM must take at least 9 hours a semester. They can be enrolled in any graduate school program. • As the position is considered the GPAM’s primary, non-academic activity, they may not accept other employment at the university. The GPAM may not have a significant responsibility in an extracurricular activity and should discuss outside involvements with their supervisor at the beginning of each semester to assess appropriateness. • Ability to physically lift a minimum of 25 pounds. • Must successfully complete background investigation. Remuneration: The GPAM appointment is 10 months (August to May). Salary for the position is $7,750/year that is paid on a monthly basis. • Graduate Assistants (who are unconditionally accepted into graduate school) receive a tuition waiver of the standard in-state and out-of-state tuition but must pay a reduced matriculation fee of $25 per semester along with all assessed university fees. Some programs are approved to charge a premium tuition rate that is not covered by the standard tuition waiver. Graduate Assistants are responsible for paying all University Fees and the Technology Fee each semester. • This position is classified as a graduate assistantship and standard employee benefits are not provided. • The GPAM will report to campus for training 1-2 weeks in advance of the beginning of the assistantships formal start date. You will receive additional pay (determined by the length of time required for training). • This position does not provide housing. You may choose to live on campus at your own expense. Duties and Responsibilities: The Graduate Program Accounts Manager (GPAM) is administratively responsible to, and supervised by, an Assistant Director of Residence Education. The GPAM will maintain a level of confidentiality, professionalism, and equality at all times. Additionally, the GPAM is expected to maintain contact with their direct supervisor and meet weekly on a formal basis, or more often as needed in some instances. Must be available to work up to 25 hours a week during an 8am–5pm structured workday.

Additional Responsibilities include but are not limited to: Administrative Duties • Budget Records and Financial Paperwork - Handle petty cash disbursements to student staff, petty cash transmittals, record keeping, communicate amounts spent to RD for Quicken registers, etc. • Provide customer service to parents, students, co-workers, and visitors of Residence Education and University Housing. • Maintain separate filing system (per RD) for all functions managed. • Maintain confidentiality for all records. Committee & Departmental Support • Assist with department-wide special projects such as Operation Move-In, Operation Move-Out, Open House, etc. • Provide administrative support for a departmental committee, as needed. • Assist with interviewing candidates as needed (student or professional). Scheduling • Schedule meetings for Resident Directors and departmental committees as requested. • Schedule student conduct meetings for Resident Directors as requested. Other • Effectively use Banner, Stanley, Maxient, RMS, and other computer software programs. • Attend workshops and training sessions as needed or required. • Maintain a neat, organized, and clean work area. • Perform other duties as required.

Current staff members have the opportunity to interview for University Housing positions in February 2016. Graduate Assistant Interview day will take place in March 2016. Preference will be given to candidates with any of the below qualifications: o Previous experience in University Housing / Residence Life o Previous experience in Accounting o Previous experience in an administrative support role As this position is very comprehensive, finalists for the Graduate Program Accounts Manager will participate in a follow up interview so we may further evaluate your skills for this important leadership position in University Housing. The second interview may occur at the Graduate Assistant Interview day if we are able to schedule it within the candidate’s day or within a week of the interview day via phone, Skype or Google Hangout.
