ETHOS Training Materials – Navigating and Viewing Studies Version 1.0 2/22/2017

This is a navigational guide for researchers using ETHOS. Knowing how to navigate ETHOS is important in order to access your studies and submissions and communicate with the IRB. 1. Log in to ETHOS. When an ETHOS email notification is received or to create a New Study, Modification, Continuing Review, or to report new information to the IRB, log into ETHOS using your UMN Internet ID and password.

IMPORTANT TIPS 

 

Continuing Review, Modification, and RNI submissions are handled similarly to New Studies in ETHOS and can be located in the same way. Red asterisks (*) denote required information. Help buttons ( ) provide additional information and resources.

2. View My Inbox to access your To Do List. When you first log into ETHOS, you should land on a page displaying “My Inbox.” If there are any studies that require your attention, they will be listed here with a link to the submission. This is your To Do List. This indicates that you must take action or informs you of important changes, such as an IRB decision about your study. This applies to new studies, as well as Continuing Review, Modifications, or Reports of New Information (RNI). The “State” column indicates the reason the submission was assigned to you. TIP: If there is nothing on the list, none of your studies require your attention right now.

3. Navigate to the IRB tab. Click the “IRB” tab to view additional information and to display a list of all your IRB submissions. In this tab your new studies, modifications, continuing review, and reports of new information can be sorted and searched in multiple ways.

In-Review: Studies that are currently under review. Active: All currently approved studies. Archived: tab to see all closed, discarded and lapsed studies. New Information Reports: All Reportable New Information submissions related to your studies. All Submissions: All your studies and submissions, regardless of the state (status) or type.

4. Navigate the submission workspace. In both “My Inbox” and the “IRB” tab, studies will be listed using ID, name, state, PI, submission type. Click the study or submission name to open the workspace. This is your access point for viewing the submission contents and details, including all actions performed on it. This is also your access point for performing actions on the study.

Study Workspace Features

In addition to basic submission information, the key elements in the submission workspace are: A. Study Status: Displays the relevant dates for the submission so you can quickly determine the submissions approval date, effective date, last date of approval, and the date of the last update. B. Activities: Let you take appropriate actions based on the study’s status, such as viewing the study, submitting a modification or continuing review, reporting new information, managing the primary study contact or guest list, coping the submission, or add a comment to communicate with the IRB or other study personnel. C. Submission Workflow: Follow your submission through the review process in real time in the submission workflow. D. Resource tabs: Review all submission history (including communications), collected study information, such as funding, project contacts, study documents, training information, follow-on submissions (such as modifications and continuing reviews), reviews by ancillary reviewers or departments, and snapshots of previous versions of the submission.

5. View a completed smart form. To view the details of a completed smart form, locate the study you wish to access and click the name of the study to open the study workspace. Click “View Study” on the left (or View Modification/CR or View RNI depending on the type of submission). The study smart form will display. Use the Continue and Back buttons to navigate through all the forms.

6. View study documents. View the documents submitted as part of the study by either clicking the name of each document when you encounter it while viewing the study, or click on the Documents tab from the study workspace to display all study documents, their approval status, and their version history. Finalized participant facing materials will include an IRB watermark.
