DELEGATION REGISTRATION FORM Any citizen or group over the age of 18 within the Board’s area of jurisdiction served by the Ottawa Catholic School Board may appear as a delegation before the Board of Trustees to express views or concerns pertaining to matters within the mandate of the Ottawa Catholic School Board. All delegations are required to submit a “Delegation Registration Form” outlining the key points to be presented. This Form must be received no later than seven (7) days prior to the Board meeting; maximum two (2) delegations per Board meeting. Overview: 1) Arrive at 7:15 p.m. prior to the meeting and make yourself known to Kathy Hodgins, Executive Officer. NOTE: If it is necessary to cancel the delegation, please contact Kathy Hodgins at 613224-4455, ext. 2273 at least 24 hours prior to the meeting. 2) Each delegation (maximum two per meeting) will be provided ten (10) minutes each. NOTE: Should the occasion arise, the Chair has the discretion to set parameters on length of presentations and number of speakers per delegation. 3) The delegation spokesperson(s), maximum two (2), will be asked by the Chair to come forward to the presentation table. The Board does not wish to prevent the expression of honest opinion, however, when presenting opinions on contentious issues presenters will refrain from criticizing individuals by name or position and presenters will refrain from the use of derogatory, defamatory or inflammatory language in presenting their point of view. NOTE: All other guests of the Board are to remain seated in the gallery behind the presentation table. 4) Questions of clarification may be asked by Trustees following the presentation. 5) No decision or debate relative to the presentation will be made by the Board at the meeting presented with the possible exception that it is on the Regular Agenda under “L. Presentation and Consideration of Staff Reports”. 6) Following the presentation, delegations shall provide a written copy of the presentation to board staff to be included in the Minutes of the meeting. 7) Each delegation presentation will be reviewed at a later time and the spokesperson for the delegation will be informed of any Board decisions. 8) Once the Board has made a decision on the matter brought forward by a delegation, the Board will not entertain a further delegation on substantially the same topic within the next fourmonth period unless the Chair is of the opinion there is substantial new information. 1|Page
