Student Email on iPads Student email can be set up on student iPads that are in a 1:1 environment. Student email should NOT be set up on iPads that are shared among students. Before setting up email on student iPads, it is imperative to teach your students about the proper ways to use a school email account. Set clear expectations for use and inform students how their email is monitored and supervised. Setting up student email on iPads involves three steps: 1. Obtain student email information (teacher) 2. Configure student iPad 3. Set passcode lock on iPad

Step 1: Obtain Student Email Information (teacher) 1.

On your district computer, go to the GCSD Portal and click Student Home Directory.

Type in your district username and password and then click Login.

3.

On the left-hand side of the screen, you will see a dropdown menu titled Teacher’s Current Course(s). Click the arrow beside “Select a course…”

A drop-down menu will appear. Select the appropriate class. If you are a self-contained elementary teacher, choose the Homeroom course.

Click the Mail icon below the course name.

In the right-hand screen, you will see a list of all your students’ school email accounts. Highlight these email addresses, and then copy and paste them into a Word document. Separate each email address on its own line and type the student’s name beside each address.

Each student’s email password is their birthday represented by 6 numerical digits. For example, March 26, 2005 would be 032605. To obtain a student’s password, click on the orange key beside the student’s name.

Click OK to reset the student’s password. It will be reset to their 6 digit birthday code.

A pop-up window will appear that gives you the 6 digit birthday code for the student. You can type this six digit code beside the appropriate student email address in your Word document. Continue this procedure for each student in your class. At the end, you should have a list of each student’s name, email address, and password.

Now that you have obtained all your students’ email addresses and password information, you can now begin to set up the email account on each individual student iPad.

Step 2: Configure Student iPad 1.

Tap the Settings icon on the student iPad.

Tap the Mail, Contacts, and Calendars button in the lefthand pane. Tap Add Account… at the top of the screen.

Tap Microsoft Exchange.

4.

A pop-up window will appear. Type in the specific student’s email address and password. Be sure to type in the full email address. Tape the blue Next button when you are finished.

5.

Type in email.greenvilleschools.org in the server box. Type in gcsd for the domain. Type in the student’s email username (do not include the @student.greenvilleschools.org). Tap the blue Next button when you are finished.

6.

Tap the blue Save button.

7.

Tap the Exchange Account.

8.

Tap the Mail Days to Sync button.

You can choose the appropriate number of days to sync. In the picture to the right, only the last 3 days of emails will show in the Mail app.

Step 3: Set Passcode Lock on iPad

The district requires every student iPad with student email to have a passcode lock. Since the Mail app is always “on”, the passcode lock keeps other students from accessing other students’ email. Before beginning this procedure, each student should write down the 4 digit numerical code they will use for a passcode. The teacher should then collect these numbers for his or her records. As students work through these procedures and set their passcode, the teacher should ensure that students are using the passcodes they submitted. Some teachers have asked students to use their birthday (March 26 = 0326) for passcodes, making it easier for students to remember. 1.

Tap the Settings icon on the student iPad.

Tap General in the left-hand pane, and then tap Passcode Lock.

3.

Tap Turn Passcode On.

You will be prompted to type in a 4 digit numerical passcode. You will be prompted to type it in a second time. The passcode is now set.

It is important to warn students that if they reset their iPad passcode on their own and proceed to forget the code, ETS will have to send a technician out to the school to reset the iPad. The teacher will have to re-download all the apps and reconfigure iPad. This process could potentially make the student iPad unavailable for several days. Therefore, it is very important that the teacher keep an accurate and up-to-date record of all student passcodes.
