15th May 2015 Dear Parent/Guardian SPAIN TRIP INFORMATION EVENING July is fast approaching and I would like to give you an invitation for you and your child to attend an Information Evening about the trip on Wednesday 17th June from 6.15pm-7.15pm in the School Hall. Please complete the attached form to confirm your attendance. The evening will consist of a short presentation regarding how to prepare for the trip and what to take, as well as discussion of the itinerary and departure and arrival times. The general aim of the evening is to ensure that you are fully briefed and happy with all the arrangements and there will be time for you to ask any questions to me directly regarding your child or the trip. I would also like to thank you for helping with the completion of the paperwork required for the trip in terms of prompt payment and returns of forms and so on. As stated previously, each pupil should also obtain a European Health Card, which allows for free public health treatment, should the need arise. Please be aware that there are a number of websites that require payment which should be avoided. The EHIC card is free. If you have not applied for an EHIC card already, this can be organised through www.ehic.org.uk. It is a free service and the quickest way to apply. While travel insurance is included in the cost of the trip, the EHIC card should also be obtained before the trip and handed in to me. I have already received about half of these. Please do not leave this until the last minute! Staff will keep the cards during the trip and they will be returned at the end. Pupils should hand these cards in directly to myself. Please remember that there is no need for pupils to bring individual passports as a collective passport is being organised. Please be aware that although students are all on the collective passport, the Passport Office may contact parents directly to check or clarify any details you have supplied. This is standard procedure so do not be alarmed if this does happen. If your child has any special needs, for instance medical needs, food allergies, dietary needs or any other information that was not included in your child’s medical indemnity form that was completed in September, I would be grateful if you could provide written confirmation and hand it in to a member of staff at the Information Evening. Alternatively, you can email me directly at

With regards to any specific medication, your child might need or is currently taking, I would be grateful if you could provide written instructions for administration, dosage and frequency. Please remember that there will be time for you to discuss any medical or other issues with me directly at the Information Evening.
