section Scheduling Dual Credits in Trillium Appendix A: School within a College (SWAC)
Note: With respect to attendance, the college instructors take attendance and the college leads email it to the secondary school contact every week. It is a school-based decision to determine who enters the attendance in Trillium. The First Character of the course code will now indicate the subject area, e.g. M=Math, E=English, etc. The Fourth Character indicates the grade level (grade 12 is “4”) The Fifth Character indicates course type (T or Y). The Sixth Character for entry into Trillium will be “1”. Note: In the event that the same course code is offered to different students attending different colleges, please use V or P as the 6th character.

From the Picture Menu on the Scheduling tab, then on the Courses File> Open>Scheduling>Courses.

on the Courses major tab, the Add button

Select the appropriate Course Type first (Course Type starts with DC, i.e., DC College or DC Apprenticeship)
4.
in the Course Code and type the course code to be added (use dual credit course code OR placeholder if course not available).

The Course Code may be applicable to more than one College OR Level 1 Apprenticeship. Please choose the appropriate College OR Level 1 Apprenticeship from the drop down menu to the right of the course code.
6.
Tab into the Course Title, the Ministry default name will appear.
7.
Please ensure that the correct credit value is assigned to each dual credit.

Note: It is recommended that Dual Credit courses be scheduled into a before or after school block or individually into an empty block available on the student’s timetable. 1.

The Achievement Coordinator should ensure that the courses are correct in the Year Setup tab in Build Achievement. Run the report in Report Generator “Sections Not in Achievement” to identify all the courses that have been added, but not yet entered into Achievement.

Once the courses have been added into the Year Setup and the Achievement has been generated for the Report Period you will then be able to enter marks. It is recommended that these marks be entered using Mark Entry by Course as only marks will be required at this time.

Note: The Dual Credits will appear on the mid-term reports. Leave the mark blank and use the comment below. Midterm Comment: 6248 - *N* is currently enrolled in a dual credit course. The grade will be reflected on the final secondary report card. Final Comment: 6247 - *N* has completed the dual credit course. The final grade is reflected on the secondary school report card and college transcript. * The final mark will be posted to the transcript (OST) through the Final Mark and Credit Calculations of the Secondary Achievement Process. Do not make entries or changes on the Transcript Information window.

PLEASE NOTE: SWAC Dual Credits *School SWAC contacts will receive a report with the official course name and course code for each Dual Credit that a SWAC student is enrolled in prior to the start of the program. Until that time, please register the students into a placeholder code. Note: If the student has no space on their timetable to schedule a dual credit then remove one of the SWAC placeholders and schedule the student into block A or B. Note: This placeholder code (SWAC) will take the place of the courses that the students will be earning with the Centrally Assigned SWAC Teachers as per the approved SWAC model. Final marks for these courses will be posted to the students’ transcripts in January or June. Blocks C & D (Co-operative Education or Another Programming course to support graduation) 1. Schedule students into 2 Credit Co-op with OSR School’s Co-op Teacher in the AFTERNOONS or another course to support graduation Blocks LUNCH & E (Dual Credits) 1. Schedule each Dual Credit Course Code (see table above) into the suggested blocks LUNCH & E once you receive the official “4T” Dual Credit code from the program coordinator, until that time please use the dual credit placeholder code.
SWAC Course codes (GLS4O/Credit Recovery/Senior MATH) must be manually added to the Transcript Information Window. To have these marks appear on a report card, add the course code, mark, and appropriate course type (Day School or Credit Recovery) in the Transcript Information Window: 1. Click on the Report Card tab 2. Flag the "Print on Report Card" field. 3. Ensure you select the correct School Report Period Complete the entries for Learning Skills, Attendance, and Comments (provided by the Centrally- Assigned SWAC Teacher).
