UMMSS Executive Meeting 4 (16/8/2010) Minutes

Jonathan needs someone to take his place at AMSA October Council – will bring this up at committee meeting ●
James will be there anyway – happy to take on the responsibility

VP's role includes standing in for the President; Alex is happy to take this on

Jonathan is ready to get election software up and running again □
Worked well last year – few conflicting nominations then though

Nomination acceptance database is separate from the election system – needs to be entered manually
Currently, as per Constitution: □
First election cycle elects all exec positions; second cycle next year
□
But Temporary Amendments only expire at 2010 AGM
Requires election of whole committee in one cycle
Could have them expire at start of election, then “elect” new committee
The amendments were intended for election of 2010 committee – says so in the explanation; makes sense according to the Blueprint too

Not currently defined as part of committee

If want to elect with rest of committee, worth defining them as part of committee, but currently elected at the clinical schools
CVPs □
Blueprint has space for them, but doesn't define how they're elected

Currently defined by the Official Rules, Policies & Regulations

Don't foresee way of electing them changing until MD cohort reach 2 nd year; figure that out next year

Suggestion was to have MBBS and MD representatives from each clinical school
Need to get FYRs more involved, but they probably don't want to attend 1 of 3

Part of making situation better could be reducing the sense of competition between FYRs – e.g. for sponsorship etc.

Could elect them with the rest of the committee next year
But caused problems for sponsorship and discussing events
Some events ran quite early; couldn't be offered to partners
FYRs wanted more input into clinical funding agreements, but only CVPs had input with James
James thinks it's cleanest to elect them at the beginning of the year; discussion over events etc. can be done with current FYRs
Fifth years do their elective at the end of the year anyway; wouldn't be around
Would be good to work out the issues we've had with the current FYRs
Decision: Election of FYRs next year, with committee
Do we want to incorporate FYRs into committee?

Doesn't have to be decided now – just requires a change in OPRR
