1. Introduction The School of the Osage School District, under the leadership of the Board of Education and the Superintendent of Schools is committed to open, two-way communication with the district’s students, parents/guardians, employees, and community. The Board of Education and Administration place high importance on conveying information concerning the district’s goals, achievements, activities, and operations. The school district website is the most comprehensive vehicle to convey communication for the district as it seeks to create stronger relationships with its many diverse audiences. BACKGROUND: The significance of the district website was elevated in December of 2013 when the Board of Education voted to approve a strategic plan created and proposed by over 60 faculty and staff members. This plan included multiple strategies for improvement, one of which made the School of the Osage Website a district priority. Over the winter of 2014, a team of district stakeholders researched various website solutions. After study and analysis, this team proposed the Blackboard Engage/Edline solution. In April of 2014, the BOE approved the recommendation, authorizing the purchase as well as allocation of human resources. Regarding the actual design of the website homepage, using input provided by the entire staff in February, the website committee narrowed the final decision down to two designs. Mock-ups were presented to the full faculty and staff at the May Strategic Focus Friday meeting. At this time, a collaborative decision was made to proceed with the homepage you see today. Ongoing development of the site will ensure we are able to meet the specific and evolving needs of School of the Osage School District and our patrons. We recognize that an effective web site solution will never be a finished project and will require continual attention from multiple stakeholders to keep information current and relevant. The website investment by the School of the Osage School Board will allow the district to ensure our website is able to accommodate the needs of our students and parents, our faculty and staff, and our external stakeholders throughout the community. 1.1 Purposes ● ● ● ● ● ● ● ●

1.2 Glossary Group | Or Groups of people. Subdivisions in the district web site defining different groups of people managing the page or different people associated. For instance, the transportation web page has a transportation group. This is one type of subdivision in the district web site. Other similar subdivisions include Schools, classes, and sports. Document | A piece of information that will go on the web page. Documents may include typed text or an uploaded file, (pdf, images) Content | Information relayed on the web page Content Management System | Web-based software that allows the delegation of roles for different parts of a web page

2. Management & Responsibilities The organization of the new web site will define how the site is linked and managed. The district site contains two subsections: 1. Schools 2. Edline Groups Each school is divided into sub-sections called classroom pages, sport pages, or group pages. Each district department is an example of an Edline group; for example, Transportation is both a department and a group. Each section of the web page contains its own set of documents, news items, and calendar events which can be linked and shared to other areas of the web page. 2.1 Management Overview The School of the Osage web site is a content management system; many different people throughout the district will have management responsibilities. The critical task of ensuring ttimely and relevant web content is dependent on sections being maintained by faculty and staff at School of the Osage School District. Each portion of the site will be a group, class, school, or sport / activity. Each will have specific channels for management and for support. Figure 2.a

2.2 Management Hierarchy Explanation Groups Group Owners | are typically the administrative staff in charge of the district departments. For instance, the Transportation director owns the transportation page. While the group owner may delegate management roles to subordinates, he or she is ultimately responsible for monitoring any content that gets posted within his/her group. Group owners will typically have a picture and contact information on any page for which they are the owners. Managers | are the faculty and staff who manage the group pages. They will have complete access to the group and all content contributed.

Class Teachers | Are responsible for managing and maintaining classroom web sites. They will have a class site to maintain for each individual class taught. Building Web Coordinators will be identified in each building. These individuals will be able to provide answers to questions throughout the year. Additional support through the Tech Tribe may also be available to maintain web content.

Schools Principals will be responsible for working with their building web coordinator to ensure the creation of and placement of timely and relevant content. Ultimately, the principal has final approval of content applicable to the building web site. Content specific to schools include the following: ● ● ● ● ● ●

Building Web Coordinator will assist principals and serve as chief contact and director for building- level web implementation. See section 4.3a for specific job duties.

Activities / Sports Activities Director will be heavily involved in managing the activities pages. Coaches & Activity Mentors Will be attached to each page as a point of contact for the activity. Their photo and phone number will be referenced on the page as well as a bio. 4. Support & Implementation 4.1 Description of Implementation In order to provide an effective communication solution for the district, plenty of training and support will be required to ensure effective management of the district web page. Training is scheduled and will be required for users who create and maintain content on the district web site. Formal and informal training will also be continually available if needed and provided by the district web master. Adequate support will also be crucial to the sustainability of the district web page. Some of the demands of the web page will be absorbed by district faculty and staff. Be personally responsible for ensuring the building website HIGHLIGHTS section is updated with new content at the minimum WEEKLY. This will involve preaching to teachers the importance of letting the BWC know of cool stuff happening in classrooms. This will involve procuring (either personally or via a request to those involved) photos (as available) and details to post. The highlights section will tell the story of our students as they learn and grow and our staff as they facilitate this growth! This is a very important duty. We anticipate that the media will use the district version of this section to generate news items. Be personally responsible for updating News feed of building website. This differs from highlights section in that the news feed will be much less narrative than highlights section).

Attend regular meetings with the district webmaster to learn new techniques, identify barriers that teachers are experiencing, and generate solutions which can be returned to the building and/or disseminated throughout the district in the form of continuous improvements. Maintain and update principals as requested regarding building implementation of current Acceptable Use Policy. Maintain list of and update/remind staff of students who are currently on the DO NOT PHOTOGRAPH list. Work closely with the principal and the district webmaster to ensure staff is able to meet the minimum website requirements as stipulated in the personnel manual. Provide principal with periodic status updates regarding staff web implementation. Work with the principal to ensure other as defined by the principal. Provide encouragement, support, and guidance to tech tribe members. Serve as the building’s chief point of contact for all things “web” which includes supporting teachers and implementing solutions as defined by the district webmaster.  

4.4 Tech Tribe Overview For the 2014-15 School year, a group of students will be selected to assist faculty and staff with maintenance on the district web page including classroom web pages. The students will be enrolled in a class in which the district web master will train them. Once sufficient training has ensued, the students will work with faculty and staff including teachers to help maintain and develop district web content. The Tech Tribe students must meet stringent eligibility requirements for the class. Oversight of the student published content will be the responsibility of group owners, coaches, teachers, or building administrators who they will be working under.

4.4.2 Tech Tribe Training Tech tribe training will begin the first week of school and will last for one week. Additional shorter training sessions will happen throughout the semester to help students continue to hone their skills. The training will give the students background knowledge in building content on the district web site, and troubleshooting problems that arise on the district web site.
