Who we are Colin D Ellis Pty Ltd is a small practice that currently consists of three people: Colin Ellis, Jules Smith (the Content Director) and you (the Business Manager). The role of the Business Manager and the Content Director is to provide support to Colin as he thinks, sells and delivers his work in different locations around the world. We use the word practice because that’s what we do. We’re not a consultancy, ‘shop’, ‘house’ or any of those other things. We’re a small team who work with organisations and individuals to help them maintain all the good that they do and fix some of the opportunities that they have for development. We love the work that we do because it can: • Change people’s lives • Create new skill sets • Unlock ambition and energy in the companies they work for We have an active sales pipeline and regardless of diary constraints are constantly looking for ways to expand this. We set targets, talk about money and value transparency in everything we do. We look for ways to keep our costs and the impact on our environment to a minimum. We unashamedly work hard but don’t take ourselves too seriously. We pride ourselves on being nice people to do business with, and we never lose sight of the fact that we’re dealing with human beings, despite what processes may get thrown our way. What's involved (1) Given that this isn’t a ‘traditional’ role, there aren’t an exhaustive set of responsibilities because we’re looking for someone who isn’t limited by what’s written down. We’re looking for someone who’s adaptable, flexible, responsive and fun to work with. You’ll have a high attention to detail, be approachable and easy to talk to and most of all, have lots of initiative. There’ll be periods where we won’t see each other for a while, so you’ll need to be visible throughout that time. If we find ourselves ‘wondering what you’ve been up to’ then that won't work for us, and ultimately won’t work for you either. We should never have to ask you what’s happening, it should be visible to us. You’ll protect our brand in every single interaction that you have with our customers. You’ll have an active role in setting our strategy and will proactively work with the team to achieve the goals we set. You love to make lists, search the internet for lots of different things and fix things quickly when they go wrong. You'll also be someone who genuinely cares about the other members of the team. However, we know that it’s important to give you an idea of what to expect so that you can assess whether it’s something you fancy or not. ‘Faking it ‘til you make it’ won’t work, so please bear that in mind when applying.

What's involved (2) Here's a list of the kinds of things you'll be expected to be great at: • Building and maintaining client relationships • Managing emails and communication • Managing travel and accommodation • Running an efficient diary (i.e. making sure Colin's appointments and travel line up nicely) • Co-ordinating speaking, training, and facilitation engagements • Preparing materials to supplement appointments • Raising and chasing Invoices • Receipting expenses and provide financial reports • Organising events – small, medium and LARGE (we have some big plans in this space) • Identifying leads or opportunities for business development • Working closely with the external team – photographer, videographer, and accountants Personality-wise, we’re looking for someone to complement our existing skill set and provide something that we don’t currently have. We don’t quite know what that is yet! However, we’re sure that when we meet you, we will.

Hours and Location It’s a part-time role to begin with as we can’t predict the future. However, our expectations are that you will work on Monday, Wednesday and Friday, between the hours of 9.30am-12.30pm. Having said that, we'll be flexible for the right person. From time to time you may need to work outside those hours, however, we’ll ensure that it evens out. We are based in Clifton Hill in the inner north suburbs of Melbourne and we expect that you'll be based nearby. Colin and Jules work out of a number of co-working spaces and cafes in this area, so you’ll need to be able to meet us, wherever we may be. A typical day – where Colin isn’t out of town delivering – may look a little bit like this: 9.30am - 10am: Respond to emails, schedule appointments, update sales pipeline, complete tasks and prioritise Colin’s inbox and tasks for a 10am meeting (Mondays only) 10am – 11am: You and Colin talk through the current set of actions and set the priorities for the afternoon 11am - 12.30pm: You crack on with the priority tasks, ensuring that all of our tools (see The Tech Stuff) are updated and that things are progressing nicely Initially, this will be a contract role paying $45 per hour. We have big ambitions, so we see the scope of the role developing in the future. Your personal development is also important to us, so if you come across an online course, a real life seminar or program that you think would enhance the value you bring to the business – run it by us.

The Tech Stuff We primarily use Windows and Android-based applications as well as a mix of different software packages. This includes, but isn’t limited to: • Gmail • Slack • Freshbooks • Google Drive • Trello • Microsoft OneNote • Word, Excel and Powerpoint You should be familiar with some of these and be excited at the prospect of learning the others. We’re also always on the lookout for ways to do this stuff better, so if you find something, we'll encourage you to give it a go.

How to apply We’re on the lookout for the right person, not any person, so we’re putting lots of effort into this process. We don’t want to rush it, however if we believe we’ve found the right person then we’ll move quickly to secure them. We’ll also be honest as early as we can in the process if we don’t believe that you’re the right fit for the role. We’re super nice people and this team will be one that you’ll love being part of. As the practice grows your value to us will grow with it, and this may be reflected in the hours and days we require you moving forward.
