Charles Snell, president, called the meeting to order at 4:05 PM, and a quorum was established. Approval of Minutes The minutes from the October 5, 2011 meeting were approved as written. Owners Comments It was noted that no owners were in attendance, and the suggestion was made that, when notifying owners of the meetings, the Secretary will encourage owners to attend and/or respond via email, with their comments being read at the meeting. Updates by Managing Agent • Fire Alarm: A second dedicated phone line had to be installed in order to connect to 911. • Sprinkl er System: An inspection will be performed before start of ski season • Lodge: Discussion • Column Replacem ent: Complete • Stone Work: Complete • Drainag e Ditch: Complete • Landscaping: Complete • Ski Path: Complete • Newsletter: Laurie and Judy will complete it and get it dispersed to the owners before the ski season. • End of Year Financial Reports: Managing Agent will send next week. New Items • Meeting Protocol: – The Board decided to add a time at the end of each meeting for Owner Comments and also include an opportunity to solicit Owner input on bigger decisions during the meeting, at the discretion of the President or whoever is moderating meetings. Even though owners will not be a part of the discussion, it will give them an opportunity to express their opinions. • Audit: Judy will take the necessary information to the auditor in the spring. Owner Issues Several issues involving owners were discussed, including unit access, nonpayment of dues and/or late fees. Our attorney has advised us on these issues, and he will send letters where deemed necessary. The Managing Agent hung up and the Board had a discussion concerning lodge rental.
