VOLUNTEER DESCRIPTION: Administrative and Finance Volunteer ABOUT Resolve is a new project to empower future leaders from marginalized and underrepresented communities in Hong Kong with rights awareness, community organization skills and leadership development through a social justice fellowship. Resolve stands for rights, equality, solidarity, organization, leadership, voice and empowerment. The inaugural fellowship program started in December 2017 and focuses on the theme of racial equality and inclusion, bringing together local, migrant and refugee ethnic minorities and their allies. ROLE The Administrative and Finance Volunteer will directly report to the CEO and the Fundraising and Development Team to ensure the organisation’s finance and administrative activities run smoothly on a daily and long-term basis. As Resolve is new, in addition to ongoing responsibilities, he/she will conduct research of efficient and practical administration and finance processes, policies and systems and provide recommendations to the organization's management team accordingly. As such, this role will have a lasting impact on Resolve’s development He/She will also act as the point of contact for Resolve’s team providing administrative support when needed. RESPONSIBILITIES Administration ● ● ● ●
Maintain and update the organization’s CRM system and diverse databases as required Support the organization's working space and meeting time arrangement Assist with program related administrative work as required including support in organizing in-house and external events as well as the fellowship activities. Supervise the work related to purchase of basic office and program equipment and supplies, including but not limited to the ongoing management of office supplies stock and orders’ placement as needed
Finance ● Keep accurate records for all the organization’s transactions through ongoing updating of internal systems with financial data

Supervise the organization's ongoing finance activities such as invoices processing, financial reports preparation, bank statements reconciliation, bank deposits and payments tracking Assist with budget preparation and program financial related work as required

Permission to volunteer in Hong Kong. Commitment of a minimum of 5 to 10 hours a week, reporting primarily to the Head of Fundraising and Development, with some instructions from the CEO. Physical availability in the office during office hours in the working weeks Ability to work from a own personal laptop. Fluency in English, and excellent communication skills, oral and written Computer literacy including advanced MS Excel skills Strong organization skills and attention to detail Proven finance and administrative work experience Solid knowledge of office, financial and accounting procedures including experience of cash flow Strong ethics, with an ability to manage confidential data Previous NGO experience is desirable but not required
