TO: All Administrators of RNESU FROM: Jeanne Collins, Superintendent DATE: Dec. 1, 2014 RE: Administrative and Informational Memoranda The Supervisory Union is implementing a procedure to manage the development, distribution, electronic retrieval and storage of memoranda for the operation of the Rutland Northeast Supervisory Union. This procedure is intended to help provide consistency, context and history of SU decisions that are made outside of the realm of policy and within the authority of the Superintendent. Memoranda that apply to district-wide groups must be sent to the Administrative Assistant to the Superintendent (Melinda Piper
[email protected]). The formatting for the memoranda should follow the header setup as demonstrated above. The Superintendent’s name will appear on all memoranda issues, along with the name of the author of the memoranda. The memoranda will be categorized as either Administrative (action required, meets specific policy, state regulation, or other codified requirement) or Information (has a short life, requires notification, awareness), assigned a number (to be entered in the NO: space as shown above) and returned to the author within three full business days. The author will then add this assigned number to the end of the document title and distribute the memoranda electronically and/or by hardcopy as necessary. Memoranda to an individual, within a single school or to a group outside of the district or SU will not need a number. The code assigned will follow the policy classification of the Board and will run sequentially with each school year. The number will end with A for annual review or P for permanent memo. As Annual or Permanent Memos are updated, the code will be updated accordingly with the new school year. The documents will be stored electronically in a folder labeled Administrative Memoranda. These documents will be read only and a searchable Excel spreadsheet will also be maintained, able to be sorted by document number/date/memo title/ author.
