Discuss proposed presentation and workshop offerings for TennShare’s Fall Conference to be held at Nashville Public Library on 30 September 2016. Discuss a plan to develop documentation/policy to establish metadata responsibilities of the service hub and partner repository. Assemble a sub group to update the DLTN Metadata Application Profile to include additional recommendations as well as mapping for simple and qualified Dublin Core metadata elements. Review Motion to Amend Article XI, Section 2, Item 6 of the TennShare Bylaws.

The group discussed TennShare’s Fall Conference. ○ Mark Baggett and Carolyn Runyon’s proposal for Cats Herded: Successfully Wrangling Your Metadata for the Digital Public Library of America was accepted and tentatively scheduled for Friday, September 20 at 11AM and 3PM. ○ Digital Library of Tennessee: Promoting Your Library's Best Work on a National Stage, a proposal submitted by Carolyn Runyon on behalf of the committee, has neither been accepted nor rejected. ○ Jami Awalt discussed the conference as an opportunity to disseminate information regarding DPLA and the service hub. 1

Ken Middleton, Jennifer Randles, and Suzanne Bonefas volunteered to work together to update the DLTN Metadata Application Profile (MAP). ○ The group may consider updating the profile to include recommendations for mapping QDC elements and normalizing metadata across collections/sets. ○ The group may also consider drafting a policy to establish distinct metadata expectations of partner repository and DLTN. The group reviewed the motion to Amend Article XI, Section 2, Item 6 of the TennShare Bylaws, and agreed that it was ready for review by the Board The group discusses other business. ○ Holly Mercer reported that the next harvest will occur in October. ○ Ken Middleton updated the group on progress updating metadata to distinguish data provider from intermediate provider. MTSU will complete their updates by September 15 so that Mark Baggett at UTK has enough time to adjust the XSL for the October DPLA harvest. ○ Carolyn Runyon reported that the Country Music Hall of Fame and Museum has completed a New Partner Repository Ingest Form and that she is working with them to discover potential harvest and aggregation issues.

Carolyn Runyon will follow up with Jami Awalt to provide electronic copies of DLTN handout materials created for a previous conference. Carolyn Runyon will contact TennShare Fall Conference organizers to determine the status of the Digital Library of Tennessee: Promoting Your Library's Best Work on a National Stage. Ken Middleton, Jennifer Randles, and Suzanne Bonefas will begin working together to update the DLTN MAP.

Addenda Motion to Amend Article XI, Section 2, Item 6 of the TennShare Bylaws The TennShare Digital Library of Tennessee Committee moves to replace the second sentence of Article XI, Section 2, Item 6 of TennShare Bylaws with the following text: 2
Standing members of the committee should include individuals that support the technological infrastructure of the service hub from the University of Tennessee Knoxville as well as representatives from the Tennessee State Library and Archives designated by the Tennessee State Librarian and Archivist. The Executive Director shall serve as an exofficio member. This committee is responsible for promoting the development of the state of Tennessee’s Digital Public Library of America service hub, working in collaboration with the University of Tennessee Knoxville University Library and the Tennessee State Library and Archives.
Digital Library of Tennessee: Promoting Your Library's Best Work on a National Stage TennShare Fall Conference Proposal This session will discuss the recent development of the Digital Library of Tennessee (DLTN), with representatives from the three grand divisions, as a service hub to the Digital Public Library of America (DPLA). Members of TennShare's Digital library of Tennessee Committee will provide an overview of the DPLA, the DLTN’s efforts to harvest and aggregate state’s digital cultural heritage, the TennShare committee’s current state of development, and next steps. This session will also explore the governance, policies, and procedures of the Digital Library of Tennessee, including information about how to learn more and get involved with this collaborative endeavor.
Cats Herded: Successfully Wrangling Your Metadata for the Digital Public Library of America TennShare Fall Conference Proposal Wrangling metadata is challenging. Missing elements, inconsistent values, and changes in descriptive practice are common problems all digital libraries face. This session will demonstrate a new open source tool developed for the Digital Library of Tennessee (DLTN), and Digital Public Library of America (DPLA) service hub, that helps identify problems and inconsistencies in your metadata. The session will also demonstrate the use of CONTENTdm, a poplar digital asset management system, to create descriptive metadata that conforms to DPLA’s Metadata Application Profile. Please note that you do not need to be a DLTN or DPLA partner repository for this session to be useful.
