Heritage Townhomes at Renaissance Homeowners Assoc., Inc. Board of Directors Meeting Minutes Jerry Rhode’s home Thursday, July 21, 2016 1. CALL TO ORDER, ROLL CALL, AND ESTABLISH A QUORUM a. The meeting was called to order by Jerry Rhodes at 4:09pm. b. Board members in attendance were Jerry Rhodes, and Sybil Campbell; Trio Properties, Inc. was represented by Allan Orendorff. c. A quorum was established. 2. APPROVAL OF MINUTES OF PREVIOUS MEETING a. June meeting minutes were reviewed and approved. b. Allan will compare recent bills from our external lighting contractor with bills from last year to try to determine any difference in costs. The Board decided to move to LED bulbs costing more for purchase but saving more in usage and maintenance costs. 3. APPROVAL OF FINANCIALS a. All financial documents for month ending June 30, 2016 were reviewed and approved. 4. Owners Forum a. No owners were present at the meeting. 5. OFFICER REPORTS a. President's Report: i. No report this month b. Property Manager’s Report: i. HOA dues collections were reviewed briefly. ii. E-Mail/Call Logs were reviewed. 6. OLD BUSINESS a. The bushes scheduled for replacement have been replaced. b. The newsletter went out last week. There has been some feedback from owners about their current address information. c. Trio Properties met with the manufacturer of the paint that is blistering on our external doors to try to determine the cause. They suggested replacing the door with a temporary door, stripping the blistered door in a controlled environment and applying primer and final coats as recommended. We will pursue this with one door to determine the effects. The owner will have window film applied to block the sun’s rays through the storm door. 7. NEW BUSINESS a. The estimate for foam-jacking sinking concrete sidewalks and driveways was reviewed. Trio Properties will obtain estimates for mud-jacking for comparison. Trio Properties will advise owners/residents of units with significant walkway issues that work is underway to obtain contract services to make the needed repairs. 8. ADJOURNMENT a.
