How to Build Degree Audits (CAPP)    

No Concentrations: o

Captive: Simple – all courses attached to curricula using area(s) (SMAAREA)

Tools:  Attribute: Tie attribute to a group of courses. The attribute can be added to a rule or group. o SCADETL  Rule: Create one rule which includes multiple courses with and/or statements. o SMAALIB – area library o SMAAREA – build library  Group: build group of course that can then be added to an area o SMIGROP – group library o SMAGROP – build groups

Step #3: SSB Format When Using Different Tools Example #1: Courses all built in area(s) without rules Pro: Student and Advisor can see the subject and course number for all courses required. Con: Only works with programs that have very little variety because it gives the exact class the student must take.

Courses built in the area. Notice each course is listed so student know exactly what they must take to earn their degree.

Example #2: Rules used to build some of courses within an area Con: The advisor & student can’t see the course subject/numbers on the degree audit. That information will only population once the student has taken the courses and pass or registered in the course. Text can be added to the area to provide what courses can be taken to satisfy the rule.

Step #5: Build Degree Audit (CAPP) Locate or Create Naming Conventions 1. Locate Name of program on SOACURR (you must use the name used on SOACURR) 2. Locate or create name for all areas/groups within a curriculum.

3. If each area is a credential within a curriculum then you will want to use the name built for the exit level on SOACURR. a. If the area/group is not a credential within a curriculum you will want to create your own naming convention. b. Make sure the group and area name is something the student will understand. c.

All groups must be tied to an area so if you are building groups you will need to make an area name and a group name. Note, if you are tying multiple groups together in an area you only need one area name for the group.

Access SMASADJ Enter Student’s Banner ID Enter Term o if you want the wavier to affect all catalog terms enter term as 000000 o if you only want it to apply to the current catalog term attached to students current record you will need to locate the student’s current catalog term and enter that term. The term is located on the students SGASTDN Record/curricula tab or upper right side of the degree evaluation. Perform Next block If student is not in the library you will have to do the following: o Select Add

o

Select Yes

o Select OK Select Waiver Enter Subject & Courses Number in the Waiver Field Enter Action Code:

 

Note: if you Program rules are all built using credit hours then you would want to enter WCR since that is the only one that would include the credit hours. Enter the number of Credits Save

Note: you can also limit the waiver to a specific program. For example you want to waive the course for the TD-BOTD program. Then you would enter TD-BOTD in the Program field in the Valid Programs Block.

Now the degree audit will show that ORNT 1000 has been waived and the credit hours for the course will be included in the number of credit hours used as well as the course in the used courses.

Substitution Student still needs CSRV 1000 but they have taken and passed KYBD 1010 so I want to substitute CSRV1000 with KYBD 1010.

Complete a Substitution   

 

Access SMASADJ Enter Student’s Banner ID Enter Term o if you want the wavier to affect all catalog terms enter term as 000000 o if you only want it to apply to the current catalog term attached to students current record you will need to locate the student’s current catalog term and enter that term. The term is located on the students SGASTDN Record/curricula tab or upper right side of the degree evaluation. Perform Next block If student is not in the library you will have to do the following: o Select Add

o Select OK Select Substitutions You will need to enter the requirement in the requirement field and the substitution in the substitutions field

 



Enter SUB in the Action Field Enter the number of Credits (remember if your SMAPROG rules are built using credit hours then you will want to make sure that the credit hours you entered in the substitution credit hours field matches the credit hours for the course in the requirement fields.) Save

Note: you can also limit the substitution to a specific program. For example you substitution to only be applicable for the TD-BOTD program. Then you would enter TD-BOTD in the Program field in the Valid Programs Block.

Now the degree audit will show that the requirement for CSRV 1000 has been meet by KYBD 1010 and the credit hours for the course will be included in the number of credit hours used as well as the course in the used courses.

Understanding How ‘X’ Articulated Courses Will Affect Degree Evaluation When colleges began articulating all courses on the transfer official transcript some college decided to built the courses that didn’t have an equivalent at their college as “XXXX-XXXX” or DEVN XXXX.” This was a methods used to get the courses on the college transcript and the hours on the student overall GPA information for Financial Aid. Since college have begun to use degree evaluation this decides is causing some issue so each college needs to review and make some decisions.

Example/Description of Issues You May Encounter The rule on SMAAREA for a program stated the student could take any courses between WELD 1000 – 2000 to meet the requirement on their degree evaulation.

The advisor located one of the courses that was articulated with the code XXXX-XXXX that would meet the requirement of the WELD 1000-2000 so he did a course substitution on SMASADJ. On SMASADJ she enter the college course as WELD 1100 and the substitution course as XXXX-XXXX

With the rule built with the course high and low –no sub courses was pulled into the degree audit.

The SMAAREA rule was changed to list all the courses instead individually instead of doing the high & low

The substitutions on SMASADJ were still built with XXXX-XXXX.

Even though only one sub was built for WELD 1100 the process pulled in two courses with XXXX XXXX to meet the guidelines of the rule for 6 credit hours.

This could be problematic if: 

One or more of the classes are not an equivalent to the courses built on SMASADJ.



Several XXXX-XXXX courses pull in for one wavier in a particular area and you need to use it for another area.

Possible Solutions Course will all X’s for course number The course was original articulated with CINS XXXX. As you can see I could built a sub and the CINS XXXX courses was articulated. However, the student had multiple courses with CINS XXXX. Banner will pull the first courses. There is no way to tell Banner which course to choose because they have the same subject and course number.

Possible Solution #1: Build Transfer Courses with at least one number in the course number field with X’s By Giving the CINS courses a number I was able to tell the system the exact course I wanted to use in the substitution. However, note that if the student has two courses transfer from the same college are different colleges and both courses meet the rules (ex. C or better) banner will pull the first course it encounters that meets the rule.

Possible Solution #2: BUILDING COURSES WITH SUBJECT CODE THAT IS COMPARABLE By entering transfer courses using a subject code in which the course could be used as a substitution with a course number that has at least one number with X’s would allow you to select the exact course you want to sub. The course below “EMME 2711” is a comparable course to WELD. So the college built the equivalent for EMME 2771 at WELD 1XXX.

The advisor built the course substitution as college course WELD 1110; substitution course WELD 1XXX.

The degree evaluation pulled in the exact course that was listed on SMASADJ as the substitution.

Possible Solution #3: BUILDING COURSES WITH SUBJECT CODE FROM TRANSFER COLLEGE IF NOT COMPARABLE TO COLLEGE Even though the college doesn’t offer the course at your college you could build the equivalent course using the subject codes used by the transfer college with #XXX.

The advisor enter the substitution on SMASADJ.

The degree evaluation pulls the correct substitute course.

Conclusion: 

 

Building Transfer Courses with XXXX XXXX is going to be problematic when a substitution needs to be performed for a courses that was articulated with XXXX XXXX. Recommendation: Build all transfer courses with a Subject code and at least one number to distinguish the different between the courses. Also, remember that even though it is a different college you would still want to use different numbers in case the student has transfer work from multiple colleges. A grid would have to be created to keep up with this. Some thought is going to have to go into this. All Degree Audit areas/rules that contain high/low would have to be changed to include each course to work with the X courses. Please Keep in Mind: o If you built two courses with the same subject and number and the first course that Banner encounters is a F then it will stop and not use the second course even if he has a grade of C or better.

Running Compliance Batch 1. When running Batch Compliance you can: a. Print to a Printer b. Don’t Print to a Printer c.

Run for one Person

d. Run for a Population 2. The process will NOT work if your parameters for the Batch Job are NOT correct. There are several options in this job that if you enter a certain value in one field you must enter a value in another field. The values must work together in order for the process to run the job.



Access GLBDATA or GLAEXTR to create your population o

If you are only running for students who are not defined by a population selection then you will access GLAEXTR and enter the Banner ID’s directly into the form using the Create Popsel Population Selection 

o

Directions on how to enter Banner ID’s directly to GLAEXTR are in the appendix.

If you are using a population selection you will access GLBDATA to gather your population 

You can locate a population Selection to use by accessing the document “List of Population Selections”



In the appendix you will find some that are used frequently with this process and directions on how to run GLBDATA.

Locate the following folder on the Banner Server: /u01/svc_banjobs/PROD/(college name); Ex. /u01/svc_banjobs/PROD/BRCC



You should not attempt to retrieve the file until the process is complete. How do you know the file is complete: When you access the server is you see the file name and number followed by .shl this indicates the process is still running. Ex. smrbcmp_7523387.shl



Once the process is complete you can access the copies of the compliances by clicking on the .lis file. Ex. smrbcmp_7523387.lis. You could also move the .lis file to your computer if you want to keep a copy of it. To do this click on the file on the Banner Server side and drag to the left side of the screen which is your computer.
