Level 300 Coaching Clinic Handbook: Host Information & Agreement The goal of the USA Rugby Coach Development Program is to enhance the experience of the players and teams by improving the quality of coaching at all levels of rugby within the United States. USA Rugby has re-‐designed the Coach Development Program certification courses to better meet the needs of American rugby coaches. The courses are more economical and convenient for coaches to attend, plus, it is more profitable for clubs and organizations to host. We are currently seeking hosts such as State Based Rugby Organizations, Geographical Unions, College Conferences, and clubs to bring our coach education opportunities to your local area. This application and agreement will provide you with the information necessary to host a Level 300 Coaching Certification Clinic. Prospective hosts are asked to submit applications no later than 5 weeks before the requested clinic date. Applications are reviewed on a first-‐come, first-‐served basis. Level 300 Coach Certification Description: The Level 300 Coaching Certification consists of two components: an online course and a two-‐day in-‐ person clinic. The shift in theory to the new certification gets coaches on the field with ample opportunity to put into practice the coaching process used to effectively teach rugby. The goal of this clinic is for coaches to refine their coaching skills and knowledge, with a focus on teaching the technical aspects of the game through the use of games, questioning during practices, and developing progressions. Throughout the clinic, coaches will get hands-‐on experience and feedback through evaluation and a peer review process. Benefits of Hosting Hosting is a great way to promote your club and gain recognition within your area and within the rugby community. It also allows you to grow your relationship with the National Office and bring the highest level of education and technical knowledge to your own community. By fulfilling the host responsibilities and requirements, an organization becomes eligible for revenue sharing. A minimum of 4 participants is required at least 10 days before the clinic to avoid cancellation or postponement.
Revenue Sharing USA Rugby and the host are jointly responsible for the cost of putting on the event. The revenue sharing rate per Level 300 Certification Clinic is $20.00 per participant when you have over 4 registered coaches on the final roster. Example: 16 x $20 = $320. This revenue sharing option applies to ANY hosting organization. If the host organization does not comply with all the logistical hosting responsibilities, USAR has the right to revoke some, if not all, of the revenue sharing. Revenue sharing is processed at the completion of the course when all paperwork and financials are submitted; it can take up to one month post course to receive revenue sharing.
Equipment Provided by USA Rugby As well as monetary compensation, the host will receive 10 balls, 20 cones, and 2 rucking shields from USA Rugby. These should arrive before the start of the clinic however due to shipping issues, there are circumstances in which this does not happen. The host is required to provide additional balls, cones, rucking shields, and a scrum machine for the weekend.

The cost per clinic participant for Level 300 is $250 Registration closes 10 days prior to the course at 11am ET Walk-‐ins are NOT permitted – Pre-‐registration & completion of the pre course work is required All participants must have a passing record of the USA Rugby Level 200 CDP Course All participants must have one year of experience as a Level 200 Coach All participants must be registered with USA Rugby
USA Rugby will open registration on the www.usarugby.org website. USA Rugby manages all administration and logistics for CDP courses. Participants are responsible for their own costs and registration.

Logistics: The host is required to manage the local logistics of the course in order to ensure that an effective learning environment is created. This includes: £ £ £ £ £
Provision of a medical kit Acknowledgement of Receipt of Delivery of course materials Delivery of course materials to course location on the first day of the course Access to the facility at least 30 minutes before both mornings of the clinic Posting signs on both days of the course for parking and classroom
Teaching Facilities: An appropriate facility is required to accommodate an effective learning environment. This includes: £ A classroom/meeting room that can accommodate all registered participants £ Tables and chairs that can be arranged for small group work £ Note-‐writing equipment including any of the following: dry erase boards, flip charts, markers £ Extra pens for participants to use for note-‐taking and session planning £ Location must be available for the entire duration of the clinic (Standard hours are: Day 1 – 8:00 AM -‐ 5:00 PM, Day 2 – 8:00 AM – 5:00 PM)
Athletic Facilities: The host will provide training areas within 5 minutes walking distance from the classroom. This includes: £ Pitch/field large enough to accommodate all staff, coaches, and players (at least 50 m X 50 m) Note: This does not need to be a lined or regulation-‐sized field £ In the case of inclement weather (rain, snow, lightning, heat, etc.) a gym with mats (wrestling or gymnastics) suitable for contact must be available and reserved. £ A minimum of 10 players for every 4 participants for practical demonstration of drills, games, scrums, and tackles; participants in the clinic will coach these players £ 5 rugby balls, 10 cones, and 2 rucking pads per 4 participants provided by the host. £ Scrum machine is preferred for the course
Course Meals: The host will provide: £ Lunch for any coaches, players, volunteers and USAR staff during the clinic £ Location of evening social on first evening Course Promotion: The host should: £ Submit a plan to secure the minimum clinic participant numbers. The minimum number to run a course is 4 participants and must be met 10 days prior to the clinic. The plan could include promotion the course to local rugby clubs, Local Area Unions, Territorial Unions, GU’s, SBROs, email groups, Parks & Recreation departments, the Visitor & Convention Bureau, YMCAs, physical education teachers, schools, local newspapers, social networks, etc. Experience has shown that early and active promotion by the host is the most effective tool in producing a successful Level 300 Coaching Certification Clinic. 4 COACH DEVELOPMENT PROGRAM Office staff, Course Leaders, and course participants. £ Provide USA Rugby with additional support (1-‐3 people) to assist with on-‐site logistics such as morning set-‐up, shipping and receiving, last minute directions, lunch set-‐up/clean-‐up, and any on site logistical issues. ALL HOSTS are required to assist with ground transportation for USAR staff for the entirety of the clinic including transport from and to the airport. USA Rugby (CIPP) registration policy for Hosts £ All hosts—whether they are a club, organization, association, foundation or a Local Area Union—must be current members of USA Rugby. This includes all players, coaches, and Administrators from all levels within the local host organization. Non-‐compliance with this policy will result in forfeiture of hosting the events.
USA Rugby Responsibilities: £ Advertise Nationally -‐ USA Rugby will promote nationally via the USA Rugby web site. £ Coordinate Course Leaders: o Assign to clinics o Arrange flights o Book accommodations o Pay honorarium £ Manage participant pre-‐registration £ Manage customer service questions and issues £ Manage online registration £ Publish and provide instructional resources £ Provide proof of insurance for USA registered clubs (if requested) £ Conduct an evaluation of the clinic £ Provide appropriate materials and cover shipping costs
Cancellation Policy USA Rugby reserves the right to cancel the clinic at any time. The local host may not announce that a clinic is cancelled without first communicating with USA Rugby. Clinics may be rescheduled due to weather or other factors out of our control. USAR is not responsible for any costs incurred by a participant due to a cancellation; a participant registers at their own risk.
On-‐Site Vendors: On-‐site vendors of rugby merchandise and equipment are NOT permitted unless previously approved by the USA Rugby National Office. All fees collected from approved vendors become the property of USA Rugby.
