Sub: Modalities for training foreign students coming to Parul University under Student Exchange Programme Ref: Proceedings of the second meeting of the Academic Council held on 30.6.2016 PREAMBLE: The University has entered into MoU with a number of foreign entities including universities. An important component of the MoUs is the Students Exchange Programme between the universities. One form of this exchange programme is that students from foreign universities are deputed to Parul University for a stay for varying periods of time. There is a need to have a structured programme for such deputed students to ensure their stay in Parul University is going to be beneficial for them in the form of learning process. The usual questions raised in these matters refer to the following: (i) The duration of stay of the student (ii) Faculty interest of the student (iii) The specific areas in which the student desires to be trained (iv) The credit load which can be attached to the training programme (v) The contents of the programme (vi) The practical exposure/ orientation in the industry (vii) The project work to be undertaken (viii) The guide to whom the student can be attached (ix) The delivery system to be adopted (x) The costing of the services (xi) The type of certificate to be issued to the student

There is a need for evolving appropriate procedures and guidelines which will help the persons responsible for such programmes in the university to have clarity on their roles and responsibilities. Hence, the order. ORDER:

The following procedures/ guidelines are implemented for adherence by the persons involved in the exchange programmes:

• The International Relations Cell (IRC) will take the overall responsibility of hosting such deputed students during their stay on university campus.

• The students may be sponsored by any university/ institution abroad under MoU with Parul University or may make an application to the university in response to a global advertisement released by the university inviting applications for admission to Indian Summer School. Page 1 of 3

• The application for admission should include all the details required for processing until the student is admitted to the programme. Among other things, the application shall contain the following: (a) Name of the Candidate and other personal details (b) Documents requirement for visa registration (c) Type of accommodation required (hotel/hostel) (d) Choice of Food (e) Learning Agreement including the course details • Students who make application directly to the university shall do so through the Indian Embassy/High Commission located in their country. • As soon as a proposal of deputation is received in the university, the IRC shall make enquiries regarding the following from the parent institution of the student

The personal details of the students such as the course in which studying, the family background, the expectations from the training programme, the duration of stay in the university, the credit weightage given to the work in India, the training the student has had up to now and any other details based on individual cases. • The university shall decide on the fees payable by the student for the course. Further, the university shall also decide the other charges such as hostel fees, transportation fees etc...payable by the student.

• The IRC shall inform the concerned Dean of Faculty about the training to be imparted to the deputed student giving all details obtained from the parent institution. • The Dean of the concerned Faculty shall cause to assess the training needs of the deputed student with the help of teachers in the Faculty.

• The Dean shall arrange for mapping of the curriculum for the deputed students. This may involve the student registering for the already approved existing courses in the university or, wherever feasible, a special course to be tailor made for the student.

• The Dean shall prepare an outline of the training programme based on need assessment. This outline shall be discussed with the sponsoring agency for its sufficiency and refined, if necessary.

• The Dean shall identify a teacher in the Faculty who acts as a Mentor for the deputed student during the stay in the university. • The Mentor shall prepare a detailed programme schedule for the duration of the training of the student in consultation with the Dean.

• The implementation of the schedule of training shall be the responsibility of the Mentor. • If the training involves only classroom/lab sessions, the Mentor shall request the services of the teachers in the university through the Dean.

• If the training includes field visits/ exposure to industry, the Mentor shall arrange for these activities in collaboration with the institutions with whom the university has MoU. Page 2 of 3
