Correspondence Request for old Upton United Photographs Ongoing all managers to action

13s Success as Champions of Autumn League Request for Cost/Contribution For Club ID Team Wear for Presentation Request from team manager if club will contribute towards team wear for presentation. Agreed it would be age groups cost and any club id team wear would need to be purchased from club range.

New Upton Teams 2017 -2018 This seasons Under 7s already formed from 2017 Soccer Stars with two parents undertaking level 1 coaching to manage side. Next season under 7s to be taken from 2018 Soccer stars.

Soccer Stars Under 4s-5s-6s 2017 Soccer stars to end prior to xmas with their xmas party and resume again in 2018 date to be confirmed.

Under 7s – Winter Training Slot & Equipment Needed as now a Stand-Alone Age Group Under 7s will now formulate team and become age group entity. Dedicated training session to be introduced and start up equipment will be required. Two parents are scheduled for level one coaching and will take on age group in 2018 when qualified.

Growth of Further Age Groups Lee Pickin to follow up previous enquiries and report at next meeting. Storage of Wrangbrook posts to be investigated within our cabins.

Player Consent – Medical - Image & Contact Forms Please note medical and image forms must be completed prior to any player engaging in football ie training or games, and is the responsibility of the age group manager to obtain and provide to Chairman prior to commencement. There are outstanding forms from Under 10s (Rob Stables) and these players should not participate until forms have been deposited with Lee Pickin.

Managers/Coaches Qualifications – Requirements Level 1 - CRC - Safeguarding - Emergency Aid Possible Club Course - SCM - Licensed Coaches ID Cards - WRCFA ID Card It was again noted that various crs and safeguarding required renewal. It is the responsibility of the age group manager to ensure that anyone involved within training and / or games should have crs and safeguarding as a minimum in place. Club to look at an evening dedicated to bringing everyone upto date. Club to investigate training and pathways of persons and organise training accordingly. Person with in date emergency aid to be present at training or matches at all times. The club requires all coaches to become licensed coaches in order that our Charter Standard Development Club application is successful. All managers please action.

PAVILION UPDATE Pavilion remains on programme although gas and water connections remain vacant and are causing some concern. The st contractor remains confident that the project will be complete on 21 Dec 2017.

The building is now alarmed and the project managers have now given the go ahead for CCTV to be installed as part of the th project. The pavilion tuck shop will be open from 7 Jan 2018 and all pitch side tuck shops will cease prior to this date. Internal fit out to be progressed and considered including club memorabilia, trophy cabinet etc. 12.
Awards for All £10,000 Grant It was confirmed that the club had been successful in securing a £10,000 Big Lottery grant to fund the fit out of the kitchen and social areas, a big thank you to the Big Lottery Fund !

Referee Issues Booking – Funding Matchday Fees – Qualification Courses Club to review funding of referee costs, at present this is the responsibility of the age group and it was requested that the club consider central funding.

Winter Training – Arrangements - Costs – Cancellations It was noted that a number of sessions had been recently cancelled and the club request that if any sessions are to be cancelled in future that a message is posted in the Whats App group which can then be cancelled via email to Minsthorpe and the club will then not be charged providing good notice is given.
15.
Tuck Shop Provision from Pavilion th The pavilion tuck shop will be open from 7 Jan 2018 and all pitch side tuck shops will cease prior to this date.

Pitch Maintenance Currently white lining is maintained, the next application of fertilizer will be in spring 2018.
17.
Pitch Allocation 2017-2018 & Re Positioning of Pitches 3-4? Consideration to be given to pitch rotation of Under 16s with Wrangbrook pitch. Due to construction of patio area to pavilion Pitch 4 is unusable and requires rotating, help is required with goal post socket repositioning.

Charter Standard Development Club Application Awaiting submission, club must have at least 50% licensed coaches, all coaches to progress becoming licensed coaches in order that application can be submitted. Level 2 coach also required, R Stables expressed an interest in undertaking Level 2.
19.
CLUB LEGAL STATUS CONSITIUTION – RE CHARITY – CASC – NOT FOR PROFIT – UNINCORPORATED CLUB Application has been submitted and we have been advised that there is currently a backlog and we will be contacted in due course.

CLUB FINANCES Accounts Sheet for November was circulated and would be made available when consolidated upon receipt of bank statement for month end. Club to issue to individual managers list of any players now owing November subs and any players owing more than two months for supspension. st If any November subs still unpaid by 21 November then treasurer to chase direct with parent. This procedure will be st repeated month on month by the treasurer ie list issued to individual manager on 1 of each month (or just after depending st on weekends) for preceding month for them to chase. The treasurer will then appraise on the 21 of each month and chase direct with parent at which point full amount of arrears will need to be discharged and in theory at this point player will be ineligible to play. No Bank Accounts are to be maintained under the name of Upton United, we are in the process of becoming a registered charity and this WILL BE CLASSED AS A CRIMINAL OFFENCE. Noted we are still receiving payments from other Upton United age group accounts, this must seize immediately and bank account closed. Any payments of subs made as a block payment will be returned, all payments must be individually referenced. Under 14s outstanding £32 to central account for kit and £10 league fine. Under 10s Rob Stables outstanding £20 league fine.

Insurance - Cabins – Equipment – Tractor & Plant – Pavilion th Agreed Pavilion insurance to be commenced from 15 Dec 2017. F Holling to action.

Club Identity – Teamwear Selection Winter wear , hats scarfs etc now included. Possibilities to add stickers, mugs key rings etc to be investigated.

Club Fund Raising Annual Events & Target Amounts Pitch sign boards to be reappraised, a sum of £400 is included within this years budget and a further fundraising event maybe required to cover the sum if not progressed.
24.
Club Concert Gantry Friday 26 Jan 2018 – Supermodels Booked Tickets are to be printed. It is agreed that the club has a £200 contribution towards the event and we will be responsible for selling the tickets for the event at £3 each, which means that to break even we need to sell 66 tickets. Any ticket sales above this amount will act as a club fundraiser.

Upton Tournament 2018 Confirm Date? nd rd It was agreed a tournament will be held on the weekend of 2 and 3 June 2018. Club to promote via social media with further breakdown of programme to be advised.
26.
Any Other Business Managers advised that December newsletter is now available and distributed to managers present. IT was agreed that the club would buy each player a selection box for Christmas. Acknowledgement of letter regarding Child Welfare issue. Child Welfare Officer is fully aware and is to seek advise of FA.
