Introduction The services of the substitute teacher/classified employee are vital to the quality of the instructional program in the Sherwood School District. A substitute assumes all of the duties and responsibilities of the regular staff member. You will be called upon to provide classroom management and instruction and occasionally at a moment’s notice. The attitude, skills and enthusiasm demonstrated by you will determine the level of success in the classroom. The District recognizes its responsibility for providing all substitutes with the necessary information and materials to carry out their assignments with the minimum or interruptions. The services and information necessary for a substitute are outlined in this booklet.

Confidentiality As a substitute you will be working in a variety of areas and with a large number of our students. At all times you are expected and required to maintain the confidentiality of all student information you may come in contact with.

Payroll Record Rates & Dates A schedule of payroll dates is available on the District website. All payroll information, including time sheets, payroll deductions requests, or any other changes in payroll, are due in the District Office by 3:00 p.m. on the 11th of each month. If the 10th of the month falls on the weekend, which is the payroll cut-off date, information will be considered received on the following Monday. Work records for all substitutes are issued from the automated substitute calling system and the head secretary from each school. Please keep a personal record of hours worked. Classified substitutes are paid hourly at the Step 1 rate of the classified contract. Certified substitutes are paid in four (4) hour increments, pursuant to ORS 342.610(2). The Sherwood School District pays the substitute rate set by the Oregon Department of Education for Certified substitutes. After substituting 10 consecutive days for the same teacher, Certified substitutes will be paid on the district’s teacher salary schedule commensurate with the beginning teacher who holds a bachelor’s degree commencing on the 11th day (see ORS 342.610(3)(a)(A)). Substitutes hired for tutoring will be paid the substitute hourly rate. Please notify the payroll department at the District Office if there is an error on your paycheck.

Sherwood School District provides direct deposit to any bank as an additional service to its employees.

Substitute Blocking The Sherwood School District is committed to providing the best possible educational experience for our students. Many times substitute employees build relationships in our school community and are the staff members that we hire in the future. Although they are screened there are occasions when a substitute does not provide the level of service and professionalism that the Sherwood School District expects and requires. With this in mind we do have a system in place that blocks the substitute from a classroom, subject, building and in some rare cases the entire district. Please remember that anyone can have a bad day , and many times a simple discussion can clear up a misunderstanding. If however, in the principal’s professional judgment, it is believed that the substitute’s behavior and professionalism are in serious breach of our expectations, we have developed a protocol for placing them on a “Do Not Call” list. Concerns include, but are not exclusive to, tardiness, unprofessionalism, classroom management, leaving early.

Procedures Assignment Procedures The AESOP Reporting System will call you about substituting assignments in the Sherwood School District. For daily assignments the system will call between 5:00 a.m. and 12:00 p.m. Future assignments will be called between 5:00 and 10:00 p.m. beginning on the day the staff members calls to report their absence into the system. The evening call out times are Sunday through Thursday excluding holidays. Staff members are allowed to request specific substitute. If a substitute is unavailable or if no specific request is made, substitutes will be assigned on a rotation basis.

It is recommended that you study the location of the schools and consider routes to take to insure a timely arrival. Upon entering the building, report to the main office and sign in to receive further information (if any) about the assignment. At this time, Special Ed. Substitutes may be asked to sub in another Special Ed. area if there is a greater need. You will be issued an identification badge to be worn the entire time you are in the school. Before leaving the building at the end of the day, please check out with the secretary to turn in your key and ID badge, to sign your time sheet and to determine whether the regular staff member plans to return the next day.

Occasionally the substitute may become ill on the job. If this should happen please notify the main office immediately so a new substitute can be assigned. If you are ill and unable to work an already assigned job, please call the substitute system so another substitute can be called. Work Day Hours The normal work day for teachers and substitutes is 7:30 a.m. to 3:30 p.m. Elementary students are released at 2:15 and High School students are released at 2:50. Classified substitute hours vary and may depend on the actual “student contact” time. If a substitute is not needed in the classroom for the scheduled hours requested, the substitute is required to check with the main office to have other work assigned. Certified substitutes working in classified positions will be paid for actual hours worked with no minimum guarantee. If a certified substitute is called for a classified position he/she will be paid at the classified rate for working the classified position. Classified substitutes can legally only work for classified positions. Substitute Responsibilities The District, in its endeavor to provide a superior educational program, asks each substitute teacher to commit to the following objectives: 1) High professional and ethical standards (dress, conduct, etc.) 2) The assumption of regularly scheduled duties of the teacher 3) Provide to the regular teacher a written report on the progress of the class during the period of substitution. This report should include anything that needs to be called to the attention of the regular teacher (a record of assignments, details on individual problems, etc.) a) If a substitute is sure that he/she will return the next day a daily report is not necessary. A report should be submitted on the final day of substitution. b) If uncertainty exists about a substitute’s return a report should be prepared. Specific Procedures 1) Early arrival should allow enough time so that you can sign in a the main office, pick up room keys, and ID badge, become familiar with the building layout and ask questions relative to building policies and procedures. Introduce yourself to the teacher next door or across the hall. (Feel free to visit the staff room during preparation and lunch periods. Introduce yourself!) 2) Spend a few minutes getting acquainted with classroom routines (attendance, fire drill procedures, daily bell schedule, etc.) as well as lesson plans and textbook/materials. 3) When students arrive take attendance, check for previous day’s absentees and follow the building’s guidelines. 4) Scan seating plans after attendance is taken. Commit two or three names to memory each period. 5) It may be an expectation that every classroom teacher is to be at his/her door, in the hall, during passing time. Check with the office or a regular teacher for this requirement. 6) Carry out plans and routines, but do not hesitate to use your own innovations where appropriate. 7) At the end of the day:

a) Leave a brief summary of the work that has been done, assignments given & papers corrected. b) Include your name and phone number in case the teacher needs to contact you. c) Leave the room in order. d) Close the window(s), blinds, turn off the computer/monitor and the lights and lock the door. e) Return the room key(s) and ID badge to the main office and check to see if you are needed the following day. 8) If serious problems arise during the day, be sure to notify the principal or vice-principal before you leave. This protects you, the school and the District. Helpful Hints 1) Start each period quickly, firmly and concisely. Be pleasant and confident. Let the students know that “anything doesn’t go”. The substitute’s first words and actions usually go a long way to set the instructional tenor and disciplinary tone. 2) Take care of necessary procedures at the start of each period. Begin the lesson according to the period’s plan and keep students busy. 3) Problems may be eliminated by the way you phrase questions. Pose questions that address students by name or so students will have to raise their hands. 4) Put things on their level – involve the students. 5) SMILE – BE FRIENDLY – SHOW ENTHUSIASM. 6) Remain calm and relaxed. Don’t lose your cool.  Familiarize yourself with how discipline is handled by the regular teacher and the building administration.  Solve problems on the spot whenever possible.  Don’t degrade students in front of others.  Deal with the individual student, not the group, when corrections are necessary (be sure to have all of the facts. Listen to both sides of the story).  Try not to issue ultimatums, offer a choice:  Give the student one chance  If the student makes the wrong choice as per your agreement, follow through with the necessary disciplinary action. 7) Maintain established routines as much as possible. 8) Be positive – be firm. 9) When in doubt about practices or policies, do not hesitate to contact the principal and/or other teachers. Discipline Handle discipline in a definite and firm manner. Students are expected to be respectful to teachers and teachers are expected to be respectful in talking with and in their actions toward students. A substitute is not to inflict corporal punishment. The principal or assistant principal in charge of discipline is responsible for the overall conduct of the students. Secondary school students are, in fact, expected to be responsible for their own conduct and show a readiness for adult life through self-discipline and conforming to the rules. Students unable to exercise such maturity may need guidance from an administrator. All

students are welcome to discuss matters of mutual concern with the principal at appropriate times. If any of the following actions or behaviors are observed, the substitute is to report it to the building administrator immediately: 1) 2) 3) 4) 5) 6)

Continued willful disobedience of school regulations. Open and persistence defiance of the authority of the teacher. Profanity or vulgarity on or near school grounds. Tobacco on school grounds. Hazing (hazing is defined as any action which tends to injure or degrade another person). Possession or use of the following prohibited items: weapons of any kind (including cap guns), intoxicating beverages, narcotics, chewing tobacco, illegal drugs and drug paraphernalia (or appearing at school activities after consuming them), fire crackers, water guns, and water balloon/bags. Forging a parent’s signature in order to obtain an excused absence clearance. Fighting on or near the school grounds. Committing immoral acts.

General District Policies Teaching Methods Follow the lesson plan as closely as possible. Only long-term substitutes should initiate units of work and introduce new materials, unless the classroom teacher has made such plans. At the High School, additional lesson plans are available if you are unable to teach the prepared materials. Absence from Classroom A class should not be left unattended at any time. In an emergency, call the office (phones are in each room) or send a note with a student and another employee will supervise until you are able to return or other arrangements are made. Doors The classroom door is to be unlocked only when you are in the classroom. Hall Passes When leaving the classroom a Middle School and/or High School student must have a hall pass at all times. Supervision of Students Between Classes When students are passing from class to class, or to their lunch period, substitutes should be standing by their doors in the hallway if working in a building where it is required of regular teachers. Students should be dismissed from the classroom by the substitute in an orderly fashion. Early Dismissal of Students Follow the regular schedule unless otherwise directed.

Leaving School Grounds The principal or school office must give authorization for a student to leave the school grounds during the day. Care of Money All money collected at school should be sent to the office. Emergencies Any student who seems ill should be sent to the office with a signed note stating the student’s departure time. Any accident should be reported to the office immediately. You are to complete an Accident Report and leave it with the secretary. Loss of a student’s lunch or lunch money should be reported to the office so arrangements can be made for that student for lunch. Retirement When a substitute teacher/classified employee has worked collectively 75 days (600 hours) and 6 consecutive months for Oregon school districts in one calendar year, he/she becomes eligible for membership in the Public Employees Retirement System (PERS). Membership is required by law. Please notify payroll if you currently are a PERS member. Employee contributions begin six months after determination is made that yoau have satisfied the 600 hour/6 month requirement. Once you become a member of PERS, you maintain membership as long as you work the 600 hours and 6 consecutive months in Oregon per year. Those of you who have already established eligibility in the past will automatically have contributions deducted. Workers Compensation All substitutes, while on a substitute assignment, are covered by Workers’ Compensation. Any injury should be reported immediately to the principal’s office. Substitutes are also covered by the District liability insurance. Scheduled Recess Period Summer, winter and spring breaks do not disrupt the employment status of a substitute. In the spring each school year a form indicating your intent to return to substitute or be dropped from the list will be emailed to each substitute. A prompt response will insure that you will continue to be included on AESOP. Information regarding the online trainings will also be included in your intent to return information. All trainings must be completed yearly in order that you may continue substituting in the District.
