Announcements a. Current Registration Reports at http://www.austincc.edu/oiepub/pubs/reg.html b. Academic Calendar and Registration/Payment Calendar Overview (Handout) i. The full Academic Calendar includes many registration related dates and deadlines including payment deadlines, refunds and registration start and end dates. One of the responsibilities of this committee is to review draft Academic Calendars and comment on and recommend further approval to the Student Services Council and the Academic and Campus Affairs Council. The draft of 2014-2015 Academic Calendar can be found at http://www.austincc.edu/support/admissions/pdfs/acacal15snap.pdf And will be reviewed at the October 8 ARC meeting ii. Registration dates and Payment deadlines are being discussed by the PLT members for possible changes. One current known issue is that students are being allowed to begin registering for subsequent semesters when they haven’t paid all of their tuition and fees for the current semester. This leads to early-placed BDA holds which cause multiple manual handling by several departments to override and allow registration and add/drop, etc. c. Fall 2013 Teaching Session Calendars (Handouts) i. ARC is considering the efficiency and streamlined enrollment issues related to the large number of teaching sessions will be discussing this during FY14 with a possible recommendation to reduce the number of teaching sessions.

Fall 2013 Registration Feedback (All) a. Many student issues and frustration with the PLT meningitis policy change and then reversal in the middle of registration.

b. Gloria proposed asking Magnus to expedite meningitis review and approval process, as she believes students were dropped due to turnaround issues near the end of registration. She suggests maybe having a Magnus representative at each campus to approve or reject records on the spot particularly at the end of registration. The current process is for Magnus Health to review student records within 2 business days from the time it is received. Campus staff report that when reviewing student records in Magnus we find that the actual turnaround for the process is usually less than one day and is often only hours in length from fax or upload to approved status, even on the final day of registration. c. Gloria also reports students claim to have not received email from Magnus to set up their account. No examples have been provided showing this, however if staff have examples, please send to Linda Kluck. d. Minimal complaints about Financial Aid’s new two-disbursement policy change. e. Marketing is set to begin “claim your online tools” within Destination ACC for students to activate and retrieve all of their necessary login information. 5.

Student Success Initiative: Team 1 Update (Dr. Christensen) a. The proposal to eliminate Late Registration for all students has passed through Student Services Council and Dr. Christensen will move the item to Academic Campus and Affairs Committee for final review and approval.

Additional Agenda Items for June 11 Meeting (All) a. Changes to the ACC New Student Orientation Requirements: Former ECS and ECHS are now required to attend TOP after they become TRAD students when they graduate. Also, first-time in college students who begin at ACC in the summer will also be required to attend TOP in the fall following the summer in which they begin. b. Reminder: CDD holds are placed on students who are deficient in two or more skill areas and have not completed the required HUDE college success course (or alternative.) Hold will remain until a counselor ends the hold when the student is in compliance and has registered for the required course. c. The attendance certification process in Online Services has changes to begin the entries with ‘attended’ by default and then require faculty to change the entry on the drop down field to ‘never attended’ if needed. Faculty must still click ‘submit’ at the bottom of the roster to submit all entries. d. Faculty are now also required to enter the last date of attendance on all students for whom they are awarding “F” grades, except for any student that the faculty member previously certified as ‘never attended’ on their class roster. Global announcements regarding these changes are awaiting distribution by the VP of Instruction. The Online FAQ page has been updated to include the changes and new requirements at http://www.austincc.edu/faculty/dates/ e. The Meningitis law change, lowering the age requirement from 30 to 22 is applicable to all students enrolling in classes that start on or after January 1, 2014. Changes to programming and DREG specifications, along with student notifications will occur after the fall second 8week enrollment period ends. In addition, the conscientious objector exemption form process changes effective October 1, with only the TX Department of Health Services form being the single form accepted for the exemption requests. web process for requesting the form is in the works at the state level, but is not currently available for student use. Charlotte reports that NRG students services personnel have been requesting clarification on what a first time in college student is, with regard to registration during add/drop. Degree Mapping is fully in place and active. ACC is working on a non-credit student success seminar to be ready for fall 2014. The seminar would cover topics such as goal setting, college resources, learning strategies, financial literacy, and professional social skills. More to be coming as it is developed. Group Planning Sessions (GPS) are being planned for October 2013. Details to be sent as they are developed. Dr. Christensen reports that the President and Vice President Provost have asked shared governance committees to review the structure of their meetings. Are they necessary to have? Are there too many meetings? Does it duplicate another committee? Is it beneficial? Committee members present confirmed the need for the ARC and its current make-up of representation. Financial Aid/Counseling workshops have been very successful. Over 800 students have attended. Offered once a month at a different campus. Bethany reports a decrease in appeals for refunds, perhaps as a result of raised awareness. The spring Registration Guide will be available next prior to the start of new student registration for spring 2014. The web redesign is still a work in progress. A link will be sent to ACC employees for review in a few weeks. ACC 40th birthday celebration is set for September 17th. Planned activities are success workshops, a job fair with entertainment and food.
