Introduction This document explains how to create a scheduled report which indicates when constituents have made changes to their contact information to show if they have moved either within your club boundaries or if they have moved into your club boundaries. In order create this scheduled report. You must have Member Admin (Data Access) rights. This document assumes you already have administrative access and you are logged into your Club’s website with your myNotreDame username and password.

Setting up an scheduled report 1. Setting up a scheduled report. a) From the iModules toolbar select Data, Export Member Data.

b) Select Updated Fields and Schedule the report for a later date. Click the Next button

If you are curious how the other options work, please utilize the icon next to the heading Reporting – Choose Report.

c) On the Export Member Data – Select Identifiers screen select the fields which will allow you to identify the constituent whose contact information has changed. Identifier Fields are static fields (information that is not likely to change over time) that you can import to help you to identify who the data belongs. Some common examples are Member ID, Primary Record Type, First Name, and Last Name. From the box labeled Available Member Fields select each of these fields in turn and then click the button.

d) On the Export Member Data – Select Fields screen you will choose the fields you want to include in your report. When you receive the report only the fields that have been updated will be populated. We have created an Export Fields list which includes the majority of the fields you may be interested in seeing in your report. Click the down-arrow in box labelled Load Saved Export Fields List. Then choose Updated Profile Information option from the list.

e) This will automatically populate the Selected: box with the fields included in the saved list. You can add any additional fields you would like to see in your report from the Available Member Fields or Select additional data fields boxes. Click the Next button.

On the Export Member Data - Sort / Save Export List screen you will see the identifier and member fields you have chosen. You may sort and save your export fields list at this stage if you wish. Click the Next button.

g) You will see a preview of your output. Click the Next button.

h) Now you’ll need to set up the report’s details. Be sure to complete the Export Name, Description, Start Date Frequency and End Date if applicable. Once you select the frequency, the data output should go from All Available Data to Data Updated Since Last Run. Click the icon to save the report.

On the Export Member Data – Email Notification screen you can make modifications to the email you will receive when the report is run. You can make changes, but the default text will work perfectly fine. Note that if you include emails other than your own, the people you add must also have Data Access rights in order to download and view the data. Click the Save Email Notification when you are finished editing your email. The next screen will notify you that changes are saved, and you can simply click the Close button form there.

2. Editing your scheduled report. a)

There are several ways to navigate to your scheduled report if you wish to make changes. The one that will work for almost everyone is to click Members, Edit Members.

b) Once there, click the Scheduled Reports tab in the second row. From here, you can view and make changes to your scheduled report by clicking the icons to the left of the report.
