Official Rules of the JCI Awards Program All JCI National and Local Organizations may submit entries for JCI Awards subject to the following provisions: 1. Submitting Entries a. An entry may be presented in only ONE category. b. JCI Area Conference winning entries will automatically be sent to the JCI World Congress Award Program. c. There are two types of award categories. i. Multi-entry Award Categories: National Organizations may submit more than one award entry. The number of entries permitted for National Organizations depends on the number of Local Organizations. Ø 1-10 Local Organizations: maximum 3 entries per category Ø 11-50 Local Organizations: maximum 5 entries per category Ø 51-100 Local Organizations: maximum 7 entries per category Ø 101+ Local Organizations: maximum 10 entries per category ii. Best of the Best Award Categories: National Organizations may submit only one award entry during the JCI Area Conference Award Program. The four (4) Area Conference Award Winners will be the only eligible entries for the World Congress Award Program. d. JCI will supply the Area Conference winners of the following Award Categories with a free World Congress registration: Most Outstanding New Member, Most Outstanding Member and Most Outstanding Local President. 2. General Eligibility a. Entries will only be eligible to win from National Organizations that are in good standing financially. b. If a National Organization has a judge who failed to complete their judging assignment or replaced their judge and fails to complete the judging 3days after the judging deadline, all entries from that Organization may be disqualified by majority vote of the Executive Committee. c. All entries must be approved by the National President to be considered eligible. 3. Eligible Timeframe a. Multi-entry Award Categories i. The JCI Area Conference Awards period extends from 45 days before the corresponding Area Conference of the previous year to 45 days before the Area Conference in the current year. ii. The JCI World Congress Awards Program eligible time frame extends from 45 days before the World Congress of the previous year to 45 days before the World Congress in the current year.

b. Best of the Best Award Categories i. The Awards entry submission period extends from January 1 to December 31 of the previous year. ii. Winners of the Area Conferences Awards will be the sole entries for the corresponding categories at the World Congress. iii. The Awards entry submission period for “Most Outstanding National President” extends from January 1 to December 31 the current year. 4. Language Policy a. Area Conference Award entries MUST be submitted in English, Spanish or French. b. World Congress Award entries MUST be submitted in English. If an Area Conference winning award was submitted in Spanish or French, it must be translated to be eligible for the World Congress Awards Program. 5. Judging Policy a. National Organizations submitting more than one entry must provide at least one judge. b. National Organizations may submit up to six judges. c. The deadline to register and approve judges is the same as the corresponding Award program’s editing deadline. d. If no entry in a category scores above 65%, there shall be no winner. e. Decisions of the judging panel shall be final and binding and there will be no appeals regarding these decisions. f. In the event of a tie, the Chairperson of the event (JCI Executive Vice President for Area Conference and JCI President for World Congress) will make the final decision. g. The “Most Outstanding National President” award will be judged by a panel of JCI National Presidents appointed by the JCI President. The panel will be comprised of at least ¼ of JCI National Presidents and each Area will be equally represented in that panel.

Multi-entry Award Categories Multi-entry categories are where the best local projects and programs compete in the JCI Awards Program. National Organizations may submit more than one award entry. The number of entries permitted for National Organizations depends on the number of Local Organizations: Ø 1-10 Local Organizations: maximum 3 entries per category Ø 11-50 Local Organizations: maximum 5 entries per category Ø 51-100 Local Organizations: maximum 7 entries per category Ø 101 and more Local Organizations: maximum 10 entries per category Best Local Community Empowerment Program Projects and programs run by JCI Local Organizations to improve the community and extend the JCI Mission. Best of the Best Award Categories Best of the Best Award Categories are where outstanding national projects, Local Organizations and individual members compete in the JCI Awards Program. JCI National Organizations may submit only one award entry during the Area Conference Award Program. The four (4) Area Conference Award Winners will be the only eligible entries for the World Congress Award Program. Best National Flagship Program A National Flagship Program contributes to the JCI Mission and Vision, and involves JCI members and Local Organizations from across the National Organization. Special Award Categories Most Outstanding Local Project The Most Outstanding Local Project Award winner will be awarded to the topscoring winner of all the Multi-entry Award Categories. This award will be given at both JCI Area Conferences and JCI World Congress First Timers Award All participants of the First Timers program at a JCI Area Conference or JCI World Congress are eligible to enter the First Timers Award raffle. During the JCI Awards Ceremony, a winner will be announced and receive a trophy. In addition, they will be granted a complimentary registration to the following year’s corresponding Area Conference or World Congress. Joazuín V. González Memorial The Joaquín V. González Memorial is given posthumously to recognize outstanding service of an active JCI member who died during the year. An official request from the National President is required to receive the memorial. This recognition will be given at JCI World Congresses, and will be presented to the Local President of the deceased, or the National President if the Local President is not in attendance.

The Online JCI Awards Program System The entire JCI Awards Program is run on the JCI website. All entries are submitted, approved and judged online. Only active members registered on the JCI website will be able to access the online awards system. If you have any trouble accessing the awards portal, check with your National President or another national officer to make sure you are registered as an active member in the online database.

Entering an Award Entry 1. Login to www.jci.cc and navigate to MY JCI à PROGRAMS à AWARDS à MY ENTRIES. 2. Under “Add a new entry” select the desired category from the dropdown menu and fill in the name of the project or person (depending on the category) that you are entering, and press “Add Entry.” 3. At the top of the page, you will see all of the award entries you are working on. The category, name of the entry, and action buttons are listed corresponding to each entry. • Click “Edit” to fill in information and upload photos. • Click “View” once you have filled in all of the information to see what the entry will look like when judges view it. • Click “Delete” if you no longer want to edit or submit the award into the program. 4. Once you have completed entering information into the entry form, click “Submit” to send for approval from your National President. *Note: Once you have submitted an entry for approval, the entry can no longer be edited.

Transferring a Previous Entry to a Current Award Program 1. Login to www.jci.cc and navigate to MY JCI à PROGRAMS à AWARDS à MY ENTRIES. 2. Under the MY PREVIOUS ENTRIES section located at the bottom of the page, every entry that you created that was fully submitted to a previous Award Program is listed here. The category, name of the entry, and action buttons are listed corresponding to each entry. • Click “View” to view the entries at any time. • Click “Copy to another program” to transfer to another active awards program. 3. Select the program you want to transfer the entry to. You will only be allowed to transfer the entry if there is another active awards program. 4. Then click “Copy.” 5. You will now see the entry listed under MY ENTRIES for the program that you have selected. *Note: The system will only transfer the text into the new entry. You will have to attach the photos manually.

Approving an Award Entry (National Presidents only) 1. Once a member has submitted an award entry, the National President will receive a message on the JCI website that an entry needs to be approved. 2. Login to www.jci.cc to read the message. Follow the instructions and navigate to PROGRAMS à AWARDS à SUBMISSIONS. 3. Review the entries to make sure they are complete, follow the official rules of the program and that they are exemplary projects. 4. Click “Submit this entry.” *Note: Only one entry may be approved and submitted in the Best of the Best Categories. The number of entries allowed to be approved and submitted for Multi-entry Categories will be dependent on the number of Local Organizations and will be listed on the SUBMISSIONS page.

Registering as a Judge 1. Login to www.jci.cc, and navigate to PROGRAMS à AWARDS à JUDGES 2. Select the language you read from the dropdown menu and click “Add me as a judge.”

Approving Judges (National Presidents only) 1. Once a member has registered as an awards judge, the National President will receive a message on the JCI website that a judge needs to be approved. 2. Login to www.jci.cc to read the message. Follow the instructions and navigate to PROGRAMS à AWARDS à JUDGES. 3. Select “Confirmed.” *Note: You may only approve up to six (6) judges for a JCI Area Conference or JCI World Congress Award Program.

The Online JCI National Awards Program System Opening the Program Logging In To access your National JCI website, simply type www.jci.cc/local/name of your organization into the URL bar in your internet browser. This will take you to the default page of your National Organization’s website. Click on “Members Sign In” near the top left corner of the page and enter your user info. You must be logged in to access the National Awards Program Control Panel. Control Panel Users After logging in, click on “MY JCI” and, below that, “CONTROL PANEL” to access the administrative features for the awards program. After clicking on “CONTROL PANEL,” you will be taken to the main Control Panel page. Only current National Presidents and National Secretary Generals have access to the Control Panel. In order for another person to serve as the National Awards Program Administrator, they need to be granted access to the Control Panel by one of the persons that already has access. All active, registered users will appear on the dropdown menu under “CONTROL PANEL USERS.” Select the name of the National Awards Program Administrator and then click “Add.” Creating the National Award Program On the left-hand side of the screen is a green menu. In this menu, navigate to “EVENTS PROGRAMS.” Select the appropriate event from the dropdown menu. If the program has not been created yet, click “Add Event” at the top of the page. Under “ADD EVENT” fill in the name of the event (ex: JCI ABC National Convention), the starting and end dates of the actual event, and the location that it will be taking place.

Setting Deadlines Editing Deadlines Once the event has been created, you can activate the National Awards Program by first clicking on the event (ex: JCI ABC National Convention) from the dropdown menu. Next, activate the program and set the dates to open and close the program. For awards, these deadlines mark the period of time that members can edit and submit award entries and register as judges, and the period of time that Local Presidents must approve both the entries and the judges. Note that the time corresponding to dates within the system will always be 23:59 UTC (Coordinated Universal Time).

Judging Deadlines To set the judging deadlines, navigate to the “AWARDS” listed below “EVENTS PROGRAMS” on the green menu to left. Under Awards, click “JUDGING DEADLINES” and select the event from the dropdown menu again. Fill in the dates that judges can start evaluating, and their deadline to complete evaluations. Note that the time corresponding to dates within the system will always be 23:59 UTC (Coordinated Universal Time).

Judging Assignments Assigning Entries to Judges After the editing deadline has passed, you must assign the registered judges to the submitted entries. Select “ASSIGNMENTS” and choose the event from the dropdown menu. The box at the top of the page lists all of the submitted award entries and the box below it lists all of the registered judges. In the first box, select the awards you want to assign to one judge or a group of judges (you can select more than one at a time using the control key). In the second box, select the judges that you want to assign to the entries that you selected above. Click “Assign.” Repeat this process until all entries have been assigned to judges. A list of the assignments is visible below both boxes. There are three views: § Assignments by Entry § Assignments by Judge § Judges Information If you need to delete an assignment, you can do that either by entry or by judge in either of the first two views, Assignments by Entry or Assignments by Judge, by clicking “Delete assignment” or “Delete all assignments” that appear next to the entry or judge. The third view, Judges Information, you can view the list of judges along with their email and link to their personal judging assignment. You can also track judges’ progress on this page by seeing how many of their scores they have submitted. Each judge will need to be emailed instructions and their judging deadline. Remember that the deadline will be 23:59 UTC (Coordinated Universal Time) on whatever date you selected as the judging deadline. Example Judging Instructions 1. Login to the JCI website by going to www.jci.cc 2. Click on the following link to view all of your entries: insert unique judging link 3. Click "Evaluate" next to each award entry to view the scrapbook. 4. Follow the directions on the left-hand column on the first page of the scrapbook to score each entry. 5. Click "Save Evaluation" when you have completed judging an entry. 6. Complete scoring all entries by insert deadline.
