Regulations for Venue Hire of KGV School Facilities 1) All signed booking documents must be approved; payment received in full before bookings can be confirmed 2) The Hirer is required to have full comprehensive insurance, proof of which must be presented prior to bookings being confirmed 3) A full description of the purpose for hiring must be provided to KGV School at time of application 4) The name of instructors or people delivering the programme, together with their qualifications and contact details must be provided to KGV School 5) Note: the booking period includes setting up and exiting the hired facilities 6) Booking dates can be changed once without penalty provided 7 days’ notice is given to KGV School 7) KGV School will issue an invoice to clients by fax or by e-mail 8) The Hirer must provide proof of their booking to site security staff upon entry to KGV School 9) The Hirer is solely responsible for awareness of the medical status and needs of the participants of the Hirer’s event at KGV School 10) The Hirer must keep a full class register including age and gender of participants 11) The Hirer is responsible for the proper conduct of their staff and participants on the site. Smoking is not allowed on the campus 12) The Hirer must respect the rights of other users and their bookings of the school facilities 13) The name of participants or people delivering/attending the programme, together with their qualifications and contact details must be provided to KGV School, upon request 14) Hirers and event participants only have access to the hired facilities and must not access to other areas of the school 15) The KGV site must not be used for advertising, solicitation or sales of any services or items without prior approval of KGV School. No KGV/ESF logos can be shown in the footage 16) Due to KGV Child Protection and Digital Media Policy, filming of students are not allowed under any circumstances 17) It is forbidden to film any scene/action which involves any kinds of explosive materials/fire 18) Approval is not automatic and permission to conduct such activities is not to be assumed 19) Activities carried out must be legal and not clash or cause competition with KGV School or ESF Educational Services programmes 20) Under no circumstances is sub-letting permissible 21) No refunds are given once booking is confirmed 22) Facilities booked must be left as found 23) Hirers must immediately report any problems with facilities and will be liable for any damage caused during the period of use 24) There is no secure storage available for equipment or personal belongings (e.g. video camera, spot lights, personal wallet and phone etc.). KGV School therefore accepts no responsibility for loss or damage to the personal belongings and equipment of Hirers or of their activity participants 25) Hirer undertake to use the KGV School facilities with all due care and attention 26) Any breach of the rules and regulations will result in the activity/programme being immediately cancelled without prior notice or refund

Cancellation and Refund: 1) Hirers who wish to cancel any service stated in the venue use contract must inform KGV in writing at least 1 week prior to the event and subject to KGV discretion 50% of the down payment will be refunded. Otherwise all charges paid will be forfeited 2) For the safety of our Hirers and venue staff, and in accordance with the guidelines of the EDB and Hong Kong Observatory, the school will be closed in the event of adverse weather conditions. If an event is cancelled due to adverse weather (‘adverse weather’ here is defined as situations where the Black Rainstorm Warning or Typhoon Signal No. 8 or higher issued by the Hong Kong Observatory is in force 3 hours before the start of the hire period), natural disasters (e.g. earthquake, tsunami) or conditions which KGV considers justifiable for cancelling the event, the user concerned can either choose to postpone the event to a later date, subject to venue availability and agreement between the user and KGV, or request a refund from KGV 3) Both parties to this contract shall be released from their respective obligations herein in the event of national emergency, war, prohibitive governmental regulation, or any other cause beyond the reasonable control of the parties which renders the performance of this contract impossible but without prejudice to the rights and remedies of either party against the other in respect of any antecedent claim or breach of any of the terms herein

4) The arrangements for any refunds approved by KGV will be settled within 6 weeks from the date of cancellation

DISCLAIMER NOTICE: A) KGV accepts in good faith the information provided by individual hirers. It is incumbent on the individual company to ensure the authenticity of any information provided. In the case of information being invalid or untrue no responsibility will be accepted by KGV School should a case of negligence be presented.
