Regulations for venue hire of KGV School facilities 1) All signed booking documents must be approved with payment received in full before bookings can be confirmed. 2) No refunds are given once booking is confirmed. 3) The hirer is required to have full comprehensive insurance, proof of which must be presented prior to bookings being confirmed. 4) A full description of the purpose for hiring must be provided to KGV School at time of application. 5) The name of instructors or people delivering the programme, together with their qualifications and contact details must be provided to KGV School. 6) Note: the booking period includes setting up and exiting the hired facilities. 7) If the activity is cancelled due to bad weather condition (hoisted of Typhoon signal No. 8 and/or Black Rainstorm), hirer and hiree can rearrange suitable dates at the same facilities. No refund can be made. 8) KGV School will issue an invoice to clients by fax or by e-mail. 9) The Hirer must provide proof of their booking to site security staff upon entry to KGV School. 10) The Hirer is solely responsible for awareness of the medical status and needs of the participants of the hirer’s event at KGV School. 11) The Hirer must keep a full class register including age and gender of participants. 12) The Hirer is responsible for the proper conduct of their staff and participants on the site. Smoking is not allowed on the campus. 13) The hirer must respect the rights of other users and their bookings of the school facilities. 14) The name of participants or people delivering/attending the programme, together with their qualifications and contact details must be provided to KGV School, upon request. 15) Hirers only have access to the hired facility and must not access to other areas of the school. 16) The KGV site must not be used for advertising, solicitation or sales of any services or items without prior approval of KGV School. 17) Approval is not automatic and permission to conduct such activities is not to be assumed. 18) Activities carried out must be legal and not clash or cause competition with KGV School or ESF Educational Services programmes. 19) Under no circumstances is sub-letting permissible. 20) Facilities booked must be left as found. 21) Hirers must immediately report any problems with facilities and will be liable for any damage caused during the period of use. 22) There is no secure storage available for equipment or personal belongings (e.g. video camera, spot lights, personal wallet and phone etc.). KGV School therefore accepts no responsibility for loss or damage to the personal belongings and equipment of hirers or of their activity participants. 23) Hirer undertake to use the KGV School facilities with all due care and attention. 24) Any breach of the rules and regulations will result in the activity/programme being immediately cancelled without prior notice or refund. 25) KGV will not be held liable for damage to persons or personal injury including loss of life. A qualified lifeguard must be on site at all times at the cost of hirer.
