Minutes April 14, 2014 6:30 p.m.

GATHERING Present: Colleen Dieterly, Tim Feid, Pastor Mark Fitzsimmons, AIM Heather George, Mike Kestner, Vicar Jared Lee, Debbie McGinnis, Doug Martin, Andra Nus, Kent Oehm, Fred Park, Allen Ray, and Annie Schruckmayr Absent: Lisa Hamilton, Honey Miller, Nancy Rehan, and Brooke Styles A. B.

Review of agenda Sharing and opening prayer – closing prayer will be for the person to your right

STUDY: Study – Long Range Facilities Plan – Tim Feid Plan developed by Fiduciary Group of council for Expansion of Vision 2020 in regards to Facilities. Part 1: Evaluate Current Repair needs and urgency of each through the year 2020 along with estimating the costs of repairs. To be completed by Nov 2014 Part 2: Determine current and most efficient use of facilities and recommend changes by Nov 2014 Part 3: Charter a task force to gather data and determine futures needs and wants. Includes working with Learn, Worship, Care, Give, Preschool, Property, and Staff. To be completed by Nov 2015 Part 4: Charter a new task force to review information and determine options and costs of needs and wants. To be completed by Nov 2016. Might need to work with outside resources which estimated cost to fund this is around $30,000 Finance and Give Ministries working during this time to determine how much congregation can financially support Part 5: Nov 2017 Prepare options for facilities to share with congregation and possibly make selections. THEN execute plan with building committee, architect, contractor and financing Discussion had. Time table and plan may need to be changed and altered as work done. Motion to approve plan came from Fiduciary Committee to add these 5 parts/elements to 7 year time line of Council for developing a Facilities Plan. Vote held and motion passed unanimously. REPORTS and ACTIONS A. Updates with additions to the time line Add 5 elements of Facilities plan as outline above to 7 year time line. B. Report of Council Elections On the first ballot held April 6, Kent Oehm, Clement Hahn, Brian Feid, and Summer Covington were elected. Will join council for May meeting to observe the work of the council C. Election of Council-elected members (elect 2) Tim Feid and Kirsten Cooper were nominated and elected to serve on Council. Debbie McGinnis will be notifying D. Update on archives charter It was reported that Don Poole has agreed to serve as the chair of the committee. Other members are Brenda Poole and Corinne Feid. Others are being asked to serve on committee. E. Update on Mission 2014 fund spending Discussion postponed until May 2014 meeting F. Evaluation of Council structure and Council meetings – additions, deletions and changes Fred Park passed out a form to council members to be completed. He explained purpose of form and evaluation process. Some discussion had as to changes, additions and deletions to council structure and meetings. Continued discussion to be help at May meeting. G. Pastor Mark thanked council, congregation and staff for allowing his time away with family and for candidacy work for synod. Reported that the staff will be having their yearly retreat April 28-29. Changes to staff that are upcoming include Sue Sena retiring and Christina Auch leaving for her own pastoral call. Staff and Personnel are looking at staffing changes that are coming. Vicar’s Report The Vicar reported he worked solo during Pastor Mark’s absences. He preached much of the month of March. He is preparing for vacation April 20-28. Reports from groups Discussion had of Council nominating process. -Committee felt the process of nominations coming from congregation members encouraged people to say yes to be on ballot. -Might want to have a pictorial directory out during nomination ballot if committee decides to use the same process next year. Dates for 2014 Council Retreat: April 25 or May 16 Council Retreat will be May 16th.
