Important Tips  

CSI System will get locked if the user enter wrong password for three Times. In CSI System DELETE is not allowed.

Delivery Postman Management System (DPMS) Only authorized users can access SAP DPMS. Each user is assigned a unique user ID and a unique credential (password or digital certificate). Every user who logs on to DPMS has specific rights that determine the functions that user can perform in the system. The system session times out (or expires) after a specified period of inactivity.

All articles issued to postman will be displayed Select the undelivered articles one by one to enter the reason for non delivery Select the Reason Type for Non Delivery from the list. Action will be displayed automatically After entering reasons for Non Delivery Click on Enter button Delivery Status and Reason for Non Delivery will be displayed in front of each article number Click on Save button Postman Returns Summary will be displayed Click on OK

Enter Article Number. Select the Reason for Redirection. Enter Redirect Pin code Redirect Address 1, 2, 3. Click on Enter button.

Altering Postman Return Click on Return label. Click on Article number control. Select the Reason for Return control. Click on Enter button. Click on View/Modify. Click on OK button. Click on Save button.

Entering Articles on Hold (Articles in Deposit) Click on Article in Deposit link label. Click on Poste Restante / Normal label. Click on Enter button. Click on check box in front of the article number. Click on Save button.

DEALING WITH BULK MAIL Issue the Articles to Postman Click on Bulk Delivery Slip label. Click on double square of Bulk Addressee ID. Select the Bulk Address ID. Scan Article Number in the field. Click on Enter button. Summary will be displayed. Click on Save button. Click on Print Delivery Manifest button. Special Delivery Slip will be displayed. Print the slip. Click on Cross (X) button to close the screen.

Taking Returns of Bulk Articles Click on Bulk Delivery Return link label. Click on double square of Bulk Addressee ID. Select the Bulk Address ID. Click on Get Data button. Click on combo box. Select the Reason Type for Non Delivery from the list. Action will be displayed automatically Click on Save button. Summary will be displayed. If correct, click on Ok button Message appears “Data Saved Successfully” Click on Cross (X) button to close the screen.

EMO Mails Individual Issue the Money Orders to Postman Click on View/ Update Money Order label. Click on Enter button. Money orders will be displayed. Select the money orders for particular Beat and Click on Assign Beat button. To get slip printed Click on Print button. Delivery Slip will be displayed. Print the slip. Click on Cross (X) button to close the screen. Click on Save.

Invoicing Money orders Click on Invoice To Postman link label. Select the beat. Click on Get Data button. Select the Emo’s you wish to invoice to the postman. Click on Save button. Message appears “Are you sure, you want to save Data finally” Click on YES button Message appears “Data Saved successfully”

Supervisory Approval for Money orders Click on Supervisor Approval EMO link label. Click on ENTER button. Click on Select All button. Click on Approve button. Message appears “Data Saved successfully”

Cash Payment to Postman for EMO Under Treasury Head Click on Cash Payment To Postman link label. Click on Enter. List of Beats with amount will be shown. To select the beat, Click on check box. Click on Cash to Postman button. Regional Office PUNE 411001

Taking Returns for EMO Click on Return From Postman link label. Click on Beat Id. Select the beat. Click on Enter Button Click on Get Data button. Select the EMO’s for which you wish to update the Reason for Non-Delivery. It will be shown in the Non Delivery MO column Scan the eMO number Select Reason for Non Delivery, Reason Type. Action will be displayed automatically Click on Assign Button Click on Enter. It will display the reason in the box under Reason for Non Payment Click on Select All button. Return from Postman Summary for the particular beat will be displayed. Click on OK button Click on FINISH. Message displayed “Data Saved successfully”

EOD Supervisor Confirmation Click on EOD Supervisor Confirmation link label. Type /Select Beat ID Click on Enter. Click on the correct list item. Select the EMO and click on SAVE. Click on Enter button. Click on View Modified Address button. Click on OK button. Click on Save button.

Taking Cash Returns from Postman Click on Cash Return from Postman link label. Click on double square of Beat ID or press F4. Click on the required list item. Click on Enter button. Amount will be displayed Click on Receive Payment from Postman button. Account Document will be displayed Click on the Number to check that the account is nullified.

Click on Reason for ReDirection and Select the Reason for Redirection. Click on Redirect pin code and type the PIN Code. Click on Redirected Address and type Redirected Address 1, 2, 3 Click on Enter Button Do the same procedure for all redirected eMOs

Taking Returns for EMO Click on Return link label. Scan Emo number in the Emo Number Column. Click on and select Reason for Return control Click on Enter button. Click on View/Modify button. To deliver money order to a bulk addressee Click on View/Update Money Order link label. Click on Enter button. Click on Select All button. Click on double square button of Customer ID field or press F4 Click on and select proper customer from list item. Click on Save button.

Issue Bulk Money Orders to Postman Click on Invoice To Postman (Bulk) link label Click on View/Update Money Order link label. Click on and select proper customer from list item. Click on Get Data button. Data for the customer will be displayed. Click on Print button. Print the Bulk Issue List for Postman. To close the screen, Click on Cross button. Click on Save button. Click on accept/reject link label. Click on your post office name. Click on Double Square of Shift No Select your office shift No. Click on double square button of Customer ID field. Supervisory approval for Bulk Money Orders Click on EMO bulk approval link

Select shift, customer ID. Click on and select proper customer from list item.

Online Pickup To View/ Schedule/ Reschedule the Online Booked Transactions In the Online Pick Up block Click on View/Scheduling/Re-scheduling link label Articles booked from portal for pick up can be seen on screen- View/ Scheduling/ Re-scheduling. Facility ID, Pin code will be auto populated based on user id used for login. The date below would be present date and would also be auto-populated. Click on Enter button. 

Online Pick Up View/Scheduling/Re-Scheduling screen would appear on Clicking on the enter button of the previous screen.



Select the Booking IDs from the checkbox, which is unique for each article booked at either POS or Portal. The customer name and address would be mentioned.



Beat ID can be assigned for the pickup of the article and by assigning beat a particular employee will be assigned.



Batch1 will be auto populated. Batch1 can be changed to Batch2 if required manually on the screen.



To look for a particular booking id Find option can be used by entering the booking id there.



Click on the save button.

Click on double square button of Shift No. field or press F4. Single-Click on the list item. For each Delivery Office there will be a shift, which may have more than one batch. Click on the Batch control A delivery office can have multiple beat id assigned to a batch id. Each beat Id will have beat name assigned to a particular employee id. Click on the list item. Click on Assign Beat button. By assigning the beat to booking id a particular postal employee will be assigned to pick up the article. Click on Save button.

To View Postman and Beat wise Requests of Online Booked Transactions Go to the Online Pickup block and Click on View Postman and Beat wise Requests link label. Articles booked from portal for pick up can be seen on screen- View/ Scheduling/ Re-scheduling. Facility ID, Pin code will be auto populated based on user id used for login. Go to the Online Pickup block and Click on View Postman and Beat wise Requests link label.



 Articles for pick up to be issued to postman from screen ‘View Postman and Beatwise Requests, can be viewed here.  Facility ID, Pin code, shift will be auto populated based on user id used for login. Batch1 will be auto populated. Batch1 can be changed to Batch2 if required manually on the screen.  Select Beat ID, this will auto populate Employee ID.  Click on get data button, this will open the next screen

Click on your post office name. Click on Double Square of Shift No or press F4. Select your office shift No. Click on list item. Select the Beat ID Click on Get Data button. After Click oning get data button all the Booking IDs which have been assigned the same beat batch, shift in View/Scheduling/Re-scheduling screen will automatically appear here. 

Select individual Booking Ids or else select all the Booking Ids from Select All button.



The message data saved successfully appears.

Customer name, item no and pick up address will appear here.

The below shown print view will appear.



The Online Pickup Manifest will provide information with regard to the Booking ID.



The employee will take this printout along with him at the time of pickup and will enter the details at the time of transactions. The details will be used later at the time of confirmation.

Click on Cross (X) button. Click on Save button. In the online pick up block, Click on Confirmation link label. The screen will appear.  This screen is used for articles either picked/not picked and is confirmed by postman from screenconfirmation. 

Here we have to enter shift number and beat number manually. Batch id will auto populate as batch1, but we can manually change this to batch2 also.



Press ENTER button.

Click on double square of Facility ID field or press F4 Click on your post office name. Click on Double Square of Shift No or press F4 Select your office shift No. Click on double square button of Beat ID or press F4 Click on appropriate list item. Click on Enter button.





After Click on Enter button, below shown screen will appear.



Article Status can be saved as either picked or not picked. In case of not picked, select the reason for not picked from drop down list and also mention the remarks.



The screen will display information regarding senders name, payee address, req. pick up date with regard to each booking id.

 

Click on confirm button. Articles either picked/not picked are confirmed by postman from screen- confirmation.



The message ‘data saved successfully’ appears.

Click on Not Picked label for the unpicked articles. Click on combo box. Click on Sender request own drop list item. Click on pending label. Click on Confirm button.

For Supervisor confirmation of Online Booked Transactions Click on EOD Supervisor Confirmation link label. 

Based on header fields data will be fetched for Accountable Articles, eMO, Online Pick up and Ordinary Mail. The Supervisor can see Delivery status, Non Delivery reason, Addressee Name, Actual recipient and can change article status, Non delivery reasons if required.



The Supervisor will be able to see redirected address using button (View/Modify). This will be based on action. If action is Redirected or changed to Redirected then only data inside pop up will be enabled else it will be in view form. On Click oning this button redirect pop up will come. This is applicable to both Accountable Articles and eMO.



Enter the remarks and Click on the save button.

E-Post Delivery Customers can ePost the content, either through the POS counter at Post Office or using the web portal. It delivers the message very fast to the delivery office in electric form.

For Viewing/ Downloading ePost messages Click on View/Download EPOST link label. Click on double square of Facility ID field. Click on your post office name. Click on Enter button. Accountable mail due collection report This report tells about the amounts collected by an employee and the remaining dues. Enter the date. Enter the employee id.

Consolidated abstract report This report tells about the total number of articles received, issued to postman, delivered, returned and redirected articles.

Select the article type and press enter.

Article discrepancy report This report tells about the lost or damaged articles. Enter the date and Click on search button.

Money order Audit report This report tells about the total money paid by the facility and the number of MOs delivered. Enter date of delivery. Select type of MO and then Click on enter button.

Past due time report This report shows all the schedules and pickup addresses. Enter from and to date and Click on enter button

Expected workload based on booking This report shows total booked articles, total received articles and pending for receipt.

Enter from date and to date and Click on search button.

Consolidated EMO abstract report. Enter dates and press Enter. Facility id will be auto-populate.

To Update PDA -Philately Click on Philately from the Home Screen. Click on PDA Update sub menu under Philately PDA Update screen is displayed Enter the PDA number and press F8 to search the details for the particular Philatelic account. All the account details along with the Standing instructions get displayed on the main and standing instruction screen. Click on Reset or press F3 to reset the screen details. Reset can be done until no changes are made in the account and/or standing instruction details. Update all the relevant details (whichever permitted) like address, email, mobile number, and bureau accordingly. To search using PIN Code, enter either complete or part of the PIN code and press F8. To update (add or remove or modify) standing instructions for that account, Click on the Standing Instruction button. Current standing instructions are displayed on the screen. To navigate to the other standing instructions page, Click on the Navigation button.

Make necessary modifications and Click on Submit button or press Enter in every modified page to save the changes. To go back to the main screen Click on back or press Escape. Perform multiple transactions following the above steps. After all transactions are completed, log out of Financial. Click on Enter button in the POS screen. Browse and upload the manifest provided by the customer. System generates the electronic manifest number. If manifest file contains all correct records then system prompts accordingly and Click on Payment or press F12 to proceed for payment and complete the transaction. If manifest file contains any erroneous record(s), then either Click on Submit or press Enter to proceed to the 'Process Bulk' screen or Click ons on Back button to go back to the home screen and process bulk file later.

To Process Bulk Click on Business Services from Home Screen Click on Process Bulk Button. Select the electronic manifest file from the drop down. System displays the records of all the articles present in the manifest file. System automatically displays information like number of correct records, erroneous records, non-barcoded articles, items scanned and error count. If number of erroneous records are very high or above tolerance level, then Click on delete or press F3 to delete the uploaded file. If at least one article is already processed then deletion of uploaded file is not possible. Click on individual rows to scan the articles and in case there are no erroneous record the Click on Payment or press F12 to proceed for payment and complete the transaction. For file containing one or more erroneous records, Click on individual row and process at least one article to continue to payment only for the correct entries. Click on 'Fetch Erroneous Records' to view only erroneous records. System only displays the erroneous articles in the table in red. Correct records are displayed in green and non-barcode articles are displayed in blue. To process articles one by one, search the records with different search criteria provided like Serial Number, Barcode, Addressee Name, and Reference Number. Search using F8. Click on erroneous records one by one to view the article details along with the particular error specification. Rectify the specified errors and press Enter or Click on Ok to continue with saving the changes. Dispatching of Bags Menu Path: IPVS > Dispatch Bag This transaction is used to dispatch bags under available schedules to different facilities. Insured bags will not be available for dispatch unless those are approved. Articles can be chosen from the list of available articles on Reopen Bag screen.

Start the operation from the Dispatch Bag Screen. Select a Schedule to dispatch bags. List of available bags (if any), if non-insured, will show up on selecting schedule. Else insured closed bags have to be approved to prior to schedule selection. Scan the selected closed bags from the list of available bags to be dispatched bags. Scanning the available closed bags populates the To Be Dispatched list of bags. Click on Dispatch button to dispatch the list of To Be Dispatched bags. Last dispatched Mail List ID gets generated on successful bag dispatch. Click on Generate Mail List button to generate Mail List for the last successful dispatch. If rejected it will go back to initiator. After approval Cash will be disbursed. Then finally the workflow will be triggered to the HO Treasurer as an acknowledgement. Treasurer will check the parked document amount with the amount received and acknowledges receipt of cash by selecting the option ‘Acknowledge Receipt of cash ‘in the work flow where he will accept to clear the document for cash in transit and complete work item. ECB MEMO Extracting Liquidity Forecasting DoP Liquidity Forecasting will gather cash management information to predict the cash balance on given day based on planned cash/bank or payment/receipt transactions. Liquidity Forecast in DoP will allow a user to predict future cash outflows such as Accounts Payable transactions (i.e. vendor dues, cash certificate maturity payments, pension payments). Liquidity forecast report will be generated. This report will show the consolidated cash requirement along with the cash position for that day when the report is being generated
