Instructions for entering and participating in the IH Teachers Online Conference Note: Make sure your have connected your headphones / mic before you enter the rooms. Step 1: Click on the link provided in the conference programme google doc. The links will appear in the programme in time for the start of the conference on Friday morning.

Note each room has a different link so please make sure you come back to the programme each time. Rooms open 15 minutes before their allotted start time. Step 2: Once you have clicked on the link you’ll be taken to the adobe login page. Once there you will need to type in your name. Please enter your name, surname and the name of the IH school you work for or are a friend of (e.g. Meghan Finn, IH Buenos Aires Teacher Training) in the box then click on Enter room.

Once you press enter you’ll be taken to a small ‘holding page’ while adobe checks you have the necessary software. It may require you to download an ‘add-in’. Don’t worry it determines this itself and starts the download for you. You just need to agree. Note this is a one-time download, you will not need to do this each time you enter a room. The holding page looks like this:

The meeting room window will open shortly after. This is grey and you will see a blue progress bar in the middle of the screen. It may take a few moments for the room to load.

Step 3: The standard room layout looks like the image below but don’t worry if the room looks different. It is possible for speakers to change the layout of the room, the same way a teacher might move the furniture about in a classroom.

Now that you’re in a room, let’s look at its functionality:

5 2 3 1 4 1= This is the PowerPoint presentation. This is where you will see the speaker’s slides. 2 = This is the video window. This is where you will see the speaker. At the moment the video is off so you see a grey box. 3 = This is the list of attendees so you can see who is the room. 4 = This is the chat room. You can ‘talk’ to people in the room here by typing your message. Speakers will probably ask you to use this during their sessions. 5 = This is a tool bar which we’ll look at in more detail.

Not all these things might be visible to you. During the conference we limit mic and camera access to save bandwidth so do not panic if you only see one or two of these things. In the 15 minutes before the session starts the moderator will walk you through what you can and cannot do.

The button marked MEETING is a drop down menu. In it you’ll find three things: Audio set up wizard – use this to set up your headphones (and mic). It will open a small window for you to test your sound. Full screen – this will change your view so all you can see is the PowerPoint screen. Exit adobe connect – use this to leave the room at the end of the session.

The next three buttons are the audio / visual elements. From left to right they are – headphones, microphone, webcam. Clicking on the arrow next to the icon gives you the option to switch each on. They go green when they are ‘on’. If the moderator has chosen not to give you mic and camera options then these icons will not be visible. The fourth icon is the person with a raised hand.

This allows you to have some interactivity during a talk. Click on the arrow and you get a menu of actions.

And that’s about it, the basics covered. There are a few other things that a speaker might ask you to do but these will be explained before you are asked to them. Enjoy the sessions you attend and have fun!
