Schedule and sta a Hangouts Meet event With G Suite, you can easily schedule a video-conference meeting in Google Calendar and invite anyone, even if they don’t have a Google account. Create a Hangouts Meet event from your mobile device the same way. When you create a meeting in Calendar and add your guests, they get the meeting link in their email invite. They join the meeting by clicking the link. If a guest wasn’t originally added to the Calendar event, they can still join. After the meeting starts, share the link with them and approve them when they join. Watch a quick overview of how to use Hangouts Meet. Note: With the G Suite Enterprise version of Hangouts/Meet (for large companies), guests can dial in by phone, without video.

Sign in to Google Calendar with your G Suite username and password.

To add an event, click the Create button at the top. (You can also click any time and day on your Calendar and click Edit Event.)

At the top, enter the time, date, and (optionally) a description of your meeting.

In the Guest field, enter your guests’ email addresses. If they’re in your contacts, their email address is filled in automatically.

Click Save at the top. A meeting link is added and sent to your guests when you save the event.

Click Send to send the invitation to your guests. If your guests are external (not users in your G Suite account) you’ll see a pop-up notification that the guests are outside of your organization. Click Invite external guests. In the next pop-up, click Send. Your guests can click the Hangouts Meet link from their Calendar to join the meeting. They can also forward the link to others, but those guests will have to be approved when they try to join.

Note: The first time you use Hangouts Meet, a pop-up notification appears at the top of the screen. Click Allow so Meet can use your camera and microphone. (You must do this on every computer that you use.)

Sta a Hangouts Meet video meeting directly in your browser You can start a quick Hangouts Meet video meeting directly from your browser, without having to schedule it in advance in Calendar. After you’ve started and joined the video meeting, send the link to those you want in the meeting. 1.
In your web browser, go to meet.google.com. Note: The first time you use Hangouts Meet, allow Meet to use your microphone and camera. A pop-up will prompt you to click Allow Meet to use your camera and microphone. You must do this for every computer that you use.

Click Start a new meeting. If you’ve been invited to a Hangouts Meet event and have the link, click Use Meeting Code, enter the meeting link, and click Join.

Click Start meeting. That’s it, you’re in your meeting.

When the meeting has already started, at the bottom left, click Meeting Details or the name of your meeting, and click Copy Joining Info.

A pop-up message appears at the bottom, confirming that the joining information was copied to the clipboard.

Close the pop-up and paste the link in an email message to your guests.
