CBMS | PEAK April 2016 Enhancements for County Users
On Sunday, April 24, 2016, numerous enhancements will be made across CBMS and PEAK to decrease application processing times, reduce errors, and improve the overall user and customer experience. The following information is a high-level overview of the CBMS and PEAK enhancements and the impact they might have on county workers.
TRAINING The Health Care and Economic Security Staff Development Center (SDC) will be providing training for the April 2016 CBMS Build through the April 2016 CBMS/PEAK Build document. There will be no SDC webinar. The April 2016 CBMS/PEAK Build document will include a summary of all projects, their purpose and training modality, and user impacts. The document will be available on the SDC website, www.TrainColorado.com, on or before April 16, 2016.
PROJECT Case Comments Editing Functionality
Currently, there is no way to delete or edit CBMS Case Comments, causing confusion and the association of inaccurate information on a case. New functionality will allow users to delete or edit a Case Comment they created within the same business day. Users will also be able to view the changes made to a Comment. Lastly, a Modified checkbox will be added to the Search Case Comments page so that a search can be made to only #9548 view modified case comments.

Case Special Indicator in Queue
Currently, users have to navigate out of the queue in order to update and/or review the Case Special Indicators page in CBMS. After this build, the Case Special Indicators page will be added to the Interactive #9549 Interview queue if there is an active special indicator on the case.
Client Correspondence Mailing Address Cleanup
In order to minimize the amount of undeliverable correspondence, the only special characters that will be #9628 allowed in PEAK and CBMS Address pages are the forward slash (/) and dash (-) characters.
Electronic Document Management System (EDMS) Uploads for Pending Cases
urrently, EDMS will not allow clients to upload a document via PEAK if their case was in a status of Pending. C New functionality will allow clients to submit documents if their cases are pending, which will reduce traffic in #9543 counties.
Note: The projects listed in this document are scheduled for the April 2016 Build. Testing is still in progress as of Monday, April 11, 2016. Projects are subject to change.

Medical Assistance Claims Updates
Users will now be able to enter the Medicaid Judgment claims on the CBMS Judgment Claims page.

SIDMOD Update
The nightly batch process that re-requests State IDs for clients that have associated 214 errors will be sent only once to be more efficient. However, if the batch process is not able to request the State ID successfully, #9542 users will need to request the State ID manually.
Add Address Confidentiality Program Indicator to User General Report in Cognos
With the implementation of the Address Confidentiality Program (ACP) special indicator in CBMS, it is necessary to ensure that best practices are being followed. The User-General Report in Cognos will have several columns removed that are no longer applicable. An ACP ACC column will be added to identify users #9299 with access to cases with ACP special indicators.

County Code Corrections for QAS Address Validation Failures
Connect for Health Colorado requires the county of residence to be entered in order to determine a client’s potential Advanced Premium Tax Credit. If a case does not include this information, an immediate eligibility determination cannot be made. This project will correct the issue by developing a means by which users can enter the county of residence manually. The following changes will be made: 1. The County field on the Individual Address Details and Applicant Information pages will be made mandatory. 2. Users will be able to select the client’s County of Residence from a drop-down if address validation fails. 3. If the Head of Household (HoH) is updated and the new HoH does not have a county or address in CBMS, #9752 users will be required to enter a county or an address.

PROJECT E-Notifications Conversion to Salesforce Marketing Cloud
The text and email notification process to alert clients that new correspondence is available will be converted to Salesforce Marketing Cloud. Changes will be made to the Case Communication page for tracking text and email selections. All update activities, both manual and automated, to the Case Communication page will change the Effective Begin Date to track the active notification method.

PEAK National Voter Registration Act
In order to comply with the National Voter Registration Act (NRVA), PEAK users will be asked if they want to register to vote, and will be provided a link to voter registration. CBMS users and application assistance sites will need to help individuals that are completing PEAK Am I Eligible, Apply for Benefits, or Report My Changes if assistance is needed to complete the Voter Registration form online or on paper. Individuals also have the choice of requesting a downloadable version of the Voter Registration form in either English or Spanish. If clients are not at a county, assistance site, or a resource center, they will be directed to the County Clerk for help in completing a Voter Registration. The Voter Registration response will not affect the application or change report process, or the potential eligibility or benefit determination. Individuals will be required to answer the Apply to Register to Vote #9636 question for all programs except Food Assistance and Medical Assistance.
