Meeting Minutes Tuesday, November 8, 2016 BVA, Lower Campus M.U.R., 222 Casa Verde Way, Monterey

Call to Order, Roll Call 6:02pm Board Member’s Tonya Hufford (TH) - Present Chrissy Torres (CT) - Present Letty Elias (LE) - Present John Gaglioti (JG) - Absent Sheri Shaw (SS) - Present Kelly San Filippo (KSF) – Present Other Attendees: Cathy Gomes, Chris Churilla, Bri Wedderburn, and Mr. Elias Approval of Meeting Minutes: Noted that there were no minutes to approve from the October 2016 CVO Meeting as there wasn’t a quorum at that meeting. Consent Items Reports Treasurer’s Report – Chrissy apologized for only part of the Treasurer’s report was printed. •   Raffle  Ticket  money  is  still  coming  in;  as  of  11/08/16  it  is  estimated  that  we  made  $23K  and  some  of  that   money  will  go  towards  Family  Share.   •   Spooky  Spaghetti  made  just  over  $1000.00.     -­‐   Sheri  noted  that  the  tether  balls  and  “caution”  tape  were  good  ideas  and  helped  keep  kids  in  a   contained  area;  she’s  received  good  feedback,  and  next  year  more  meatballs  are  needed  and   more  desserts,  as  CVO  had  to  go  out  and  buy  more  desserts.   -­‐   Chris  suggested  raising  ticket  prices  next  year  but  $1.   -­‐   Chrissy  broke  down  how  and  totals  of  money  raised  (bake  sale  $365.10,  pumpkin  contest   $130.25,  ticket  sales  $866.25)   -­‐   Bri  noted  that  for  classes  who  don’t  use  Shutterfly,  how  are  donations  for  desserts  and   beverages  requested.   -­‐   Tonya  commented  that  the  pumpkin  contest  had  great  participation;  more  carved  than   painted.   Principal Report – Principal’s Report: Catherine Glick emailed her Report to CVO and Tonya read her notes. See attached Principal’s Report. Halloween Comments: •   Bri  noted  during  Catherine’s  comments  about  the  Upper  Campus  Halloween  celebration  that  big  kudos   need  to  be  given  to  Daisy  Perez.  There  was  lots  of  parent  donations  to  UC  Halloween,  how  did  it  impact   the  donations  for  Spooky  Spaghetti  desserts/beverages?   •   Chrissy  commented  that  their  seemed  to  be  more  parent  participation  and  excitement  at/for  the  UC   Halloween  than  the  LC  Halloween  event,  which  is  basically  a  parade  and  class  parties.  

•   Sheri  commented  that  she  noticed  a  few  LC  students  at  the  event  and  a  reminder  for  next  year’s  event  is   needed  to  tell  parents  that  they  may  not  take  their  LC  children  out  of  school  to  attend  UC  event,  but  it   should  come  from  Admin.   Social Media/Digital Citizenship Event •   Catherine  thanked  CVO  for  making  it  possible  with  their  funding  of  the  event.     •   Sheri  noted  that  in  the  future  need  to  try  to  get  more  parents;  more  BVA  than  PGUSD  families  were  there,   and  that  CVO  should  vote  to  pay  for  the  event  again.   •   Bri  commented  that  her  daughter  a  “good  take  away”  from  the  student  assembly.   •   Chris  noted  that  the  presenter  did  a  great  job  relating  to  the  students  and  getting  them  engaged.   Board of Director’s Report - Board of Trustees/President is working with the school’s charter to potentially recruit for the Principal and UC VP positions. Nothing official has yet been posted. Open Floor: Bri would like to begin resourcing vendors and supplies for an UC dance, and then come to CVO for funding and wanted to know how far in advance does CVO need a request for funds. Discussion and Action Items: Funds for Student Council ($200) •   Student  Council  requested  $200  from  CVO  to  help  pay  for  the  UC  Halloween  Celebration.     •   Chrissy  noted  that  she  needs  receipts.   •   Sheri  motioned  for  CVO  to  approve  up  to  $200,  Chrissy  2nd;  Motion  PASSED.   Rosicrucian Museum Field Trip Scholarships ($265) •   Karina  Barger  requested  CVO  to  cover  the  cost  of  the  6th  grade  scholarships  for  their  field  trip  to  the   Rosicrucian  Museum  in  San  Jose.   •   Sheri  motioned  for  CVO  to  approve  $265  to  cover  field  trip  scholarships,  Chrissy  2nd;  Motion  PASSED.   4th Grade Gold Rush Field Trip Funds Request ($5745) •   4th  Grade  teachers  have  asked  CVO  to  fund  the  balance  of  their  Gold  Rush  field  trip.  4th  Grade  will   reimburse  CVO  with  any  monies  raised  from  their  upcoming  Pancake  Fundraiser.   •   Chrissy  motioned  approval  of  $5745  for  4th  grade  Gold  Rush  field  trip,  Sheri  2nd;  Motion  PASSED.   Paint Supplies for LC Teacher’s Lounge ($125.06) •   Kelly  requested  that  CVO  reimburse  her  for  the  paint  bought  to  repaint  the  LC  Teacher  Lounge.   •   (Tonya  noted  that  a  thank  you  needs  to  go  into  the  Star  for  Kelly/Russ’  work  spent  painting.)   •   Chrissy  motioned  for  Kelly  to  be  reimbursed,  Sheri  2nd;  Motion  PASSED.   Funds for Safety Committee ($2185) •   Chris  presented  a  packet  of  information  regarding  the  purchase  of  Emergency  Survival  Kits  for  classrooms   and  BVA  offices,  15  total  kits  for  LC  and  11  total  kits  for  UC.  Each  kits  costs  $69  and  last  for  5  years.  

Replacement  kits  can  be  purchased  for  $29  each  for  any  consumables  that  need  to  be  replenished  should   they  be  used  in  the  event  of  an  emergency.  Chris  noted  that  in  the  event  of  an  emergency,  it’s  possible   that  students/adults  could  be  in  their  rooms/offices  for  up  to  6hours  or  longer,  depending  on  the   emergency.  With  a  sharpie,  kits  would  be  dated  so  BVA  would  know  when  to  replace  any  items  after  5   years.   •   Chrissy  motioned  for  CVO  to  purchase  26  Emergency  Survival  Kits,  Sheri  2nd;  Motion  PASSED.   •   Chrissy  noted  that  she  would  contact  Laurette  about  the  school  purchasing  the  kits  and  then  CVO  would   reimburse  the  school.   Spooky Spaghetti Wrap-up •   See  comments  from  Treasurers  report.   •   It  was  noted  again  that  if  CVO  wants  to  provide  meatballs  again  next  year,  to  either  purchase  more  or  get   a  donation  of  meatballs.   Craft Fair 2016 •   Tonya  noted  that  she  was  worried  about  the  foot  traffic  not  being  what  it  used  to  be  in  the  past.  With  an   anticipated  lower  turn  out  and  participation,  it  would  a  much  smaller  event  and  not  beneficial  to  BVA  and   outside  vendors.     •   Craft  Fair  is  to  be  cancelled  for  2016,  and  as  a  replacement  activity,  CVO  will  hold  another  BVA   Community  Family  Night  Event  with  a  holiday  theme:  Friday,  Dec.  2,  2016  from  5:30-­‐7:30pm  (coincides   with  Spirit  Day  PJ  Day):  family  potluck  of  entrees  and  salads,  cookie  decorating,  wear  holiday  PJs.     •   CVO  Craft  Fair  budget  can  be  used  to  purchase  any  items  needed,  can  sell  hot  chocolate/coffee.  It  was   suggested  that  perhaps  Student  Council  help  with  the  cookie  decorating.     •   Bri  and  Cathy  offered  to  bake  cookies.     •   Kelly  is  going  to  contact  1st  grade  parent,  Jennifer  Radley,  about  getting  a  Safeway  donation  or  discount   on  cookies.   •   Tonya  is  going  to  fill  out  a  new  Event  Form  and  cancel  the  Craft  Fair  event….  hold  off  on  publicizing  event   until  it  is  approved  by  Catherine.   •   Tonya  added  as  a  side  note  that  another  Family  Fun  Night  event  to  think  about  possibly  for  the  spring,   would  be  an  outdoor  movie  night,  similar  to  the  one  she  attended  at  Forest  Grove  Elementary  last  month:   Mountain  Mike’s  Pizza  was  involved  with  the  fundraiser.   Spring Fling Fundraiser 2017 •   Kelly  noted  that  Tara  had  emailed  the  CVO  asking  for  a  date  of  the  Annual  Spring  Fling  Fundraiser.   •   Sheri  commented  that  she  is  waiting  on  possible  dates  that  work  for  Tricia  and  her  husband,  as  they  could   be  responsible  for  the  food.   •   Tonya  has  contacted  the  Monterey  Moose  Lodge  and  requested  Friday  dates  in  March  and/or  April  that   work  with  their  calendar.   •   Cathy  asked  if  a  committee  has  been  formed  yet;  she  would  like  to  be  a  part  of  it.
