Addendum 2 DESCRIPTION: Printer Fleet
Please note the following questions and answers:
Question: Managed print services- What is the current Single function printer fleet, number of devices, models, networked laser/ inkjet? Does Hotswap need to apply to both the non-lease MFP units as well as the single function devices? If a unit fail can it be replace with a like unit from a different manufacture? Are you going to require a person on site to load paper, toner..ect.?
Lancaster will not require anyone onsite for paper/toner. We will require technicians onsite for maintenance and trouble issues.
Attached is an Excel sheet of the devices that our current DCA is able to detect; this does not include all devices as not all devices are connected to our corporate network due to being located at satellite sites.
Hot swap units can be replaced with similar devices from other manufacturers, however, Lancaster reserves the ability to purchase its own printers should it be able to locate likewise similar units at a better price than what the chosen print vendor is offering. Lancaster will adhere to a list of vendor supported printers in such a scenario.
Hot swap will apply to all non-lease MFP units, this includes desktop model single and multi-function printers.
Question: Multi-function Printers- do all require 11x17 print and scan capabilities could letter/legal devices be put in their place? Do you want to replace the existing units with new ones at the same speed / duty cycle / color or B&W? Some units if the volume report provided have very low volume, are these volumes typical or was this a light month?
These volumes are typical, as the fleet is not right-sized – this RFP is an attempt at correcting this imbalance.
Lancaster would like to see an apples-to-apples comparison – provide a unitfor-unit replacement plan for the current fleet using comparable models. Lancaster would also like to see a placement plan based on volume – this is the vendor’s suggestion based upon the print information Lancaster has been able to provide.
Question: We will receive confirmation that the bids have been received? If yes, how?
A log of all proposals received will be kept, which can be publically reviewed upon request—as long as your bid is received or post marked prior to the submittal deadline then you will be included in the proposal scoring.
Question: Will you require the winning vendor to provide a fax server to replace the analog lines?
We will provide a virtual server for the fax software to run on; all support will fall to the vendor.
