to provide administrative support to the Head of School, Assistant Head of School/Admissions Director and Business Office to professionally represent the school answering and directing phone calls, directing and greeting visitors to the school, data base management running the front end office of the school

This position involves an enormous amount of communication via the telephone, email and face-to-face, which requires someone who can exude a welcoming and friendly demeanor. We are looking for someone who relates well to a myriad of constituents: parents, children, faculty, vendors and administration. This is a full-time, year-round position. Answering all incoming calls. This position is often the first interface with the school and this person needs to be polite, upbeat, and professional – always.

Sorting incoming mail and distributing it to the intended recipients Helping to make and confirm appointments for visitors

Managing the calendar of the Head of School
•
Scheduling and setting up for meetings including ordering of food when necessary Taking notes for all weekly administration meetings
•
Organizing and maintaining computer files
•
Ordering and maintaining office and school supplies
•
Organizing mailings to families and other school constituents
•
Maintaining school calendar and correspondence to families about upcoming events Keeping student records up to date
•
Keeping attendance records
•
Organizing classroom field trips and permissions
•
Creating and maintaining faculty and student directories
•
Application of Basic First Aid
•
Running errands
•
Being available for occasional weekend and evening events
•
Help with all kinds of typical school administrative duties such as retrieving and distributing mail, Open House preparation, maintaining a clean front end entrance and office area, keeping information that is posted up to date etc.
Qualifications: 3+ years of office experience preferred, with the acquired knowledge and experience to handle multiple priorities, visitors, and callers professionally. Excellent verbal and written communication skills Working knowledge of database systems such as RenWeb Proficiency in Microsoft Word, Excel, Powerpoint and Adobe InDesign Ability to exercise sound judgment and resolve complex problems quickly, creatively, and independently Ability to be organized and detail-oriented in a fast-paced environment Ability to stay calm in emergency situations Ability to handle confidential material in a discreet manner
