Goals of Valley Gives 2018 GOALS Increase breadth of participation (distribution of donors) to expand philanthropy in the Pioneer Valley Continue to attract high level of new participating donors who are also first time donors to a particular organization

WHY?

To expand philanthropy, VG is defining success by breadth of participation in addition to total dollars raised. New donors to an organization contributes to long-term sustainability.

Eligibility: Location and Service Area To participate, one of the following conditions must be true: An eligible organization hasits primary office located in Hampden, Hampshire or Franklin counties of Massachusetts AND serves a population in at least one of these counties OR An eligible organization has its primary office located outside of the Pioneer Valley but actively serves a population in at least one of the three counties.

Eligibility: Organizational Type • 501(c)(3) organizations • Entities that are fiscally sponsored by 501(c)(3) organizations • Projects or chapters of a larger “umbrella” 501(c)(3) organization • Religious orgs/churches operating under the umbrella of a 501(c)(3) organization (need additional documentation) • Public Schools with NCES#

New - Fiscally Sponsored Options Fully participate – donations and prizes Able to provide audited or reviewed financials from sponsoring organization Partially participate – donations only Able to provide compiled financials or 990; balance sheet and profit & loss statement

Valley Gives Web Platform • Private vendor that runs giving website • Provides each organization with its own page for public donations • Accepts donations through the Kimbia Foundation (TKF) • Does not provide customer service (Valley Gives staff at CFWM provides customer service)

Things to Consider Before Registering • What type of organization are you? What documentation do you need? • Who will be the Valley Gives contact for your organization? • If previous VG participant, who was the VG contact in 2017? • What account email address will you use? (If previous VG participant, do you have access to this email account?)

Documents to Have Ready 501(c)(3) organizations • Guidestar Profile URL or digital version of their IRS Determination Letter to upload Fiscally Sponsored Organizations • A completed Fiscal Sponsor Certification (available on CFWM website) • Documentation of board approval from sponsoring organization • Full participants - Audited or reviewed financials for sponsor organization • Partial participants – Compiled financials or Form 990 • Partial participants – Balance sheet; Profit & loss Statement Religious organizations/churches operating under a Larger church’s 501(c)(3) • 4 –digit exempt number • Statement of Authority (or equivalent) • Documentation of link to “parent” organization Public Schools • NCES#

Changes in 2018 Regarding Registration The fields for organization names have been switched. The names from VG 2017 organizations are still in the system but this year the public name is the one that can be found in the multiple donation search form; which will make donating easier than last year. Update that so donors can find you. Videos no longer need for YouTube an embed code – just the URL. Video can run on Valley Gives Day! Organization budget size will be automatically calculated by Kimbia based on parameters provided by CFWM. We will update your records prior to VG Day VG Contact is no longer separate First and Last Name fields. This will let Kimbia look up contacts more easily in their backend. By mid-January all text fields will get basic formatting. This is esp. pertinent for Our Story. Please do not complete this field until the upgrade happens.

Profile Page and Registration On January 4, registration will open. The link to registration will be posted on Valley Gives website:

A pdf is available to review registration fields in advance.

Steps to Register All organizations will be sent to the Profile Lookup page. This will reduce likelihood for duplication. Step 1: Look up your organization by EIN (or org name, email.)

Step 2: If found, update your information OR If not found, proceed to link for new registration.

Good Intentions Agreement …we agree that to the best of our ability, we will provide accurate information about the organization and will encourage our donors to provide accurate information about themselves. …we agree to participate in the prize competitions in a manner that is consistent with the intent and stated rules of the prizes, that all information shall be true and accurate to the best of our knowledge, and that we will encourage our donors to abide by the rules as well and provide true and accurate information. …we understand that the Community Foundation of Western Massachusetts reserves the right to withhold or retract prizes if the Foundation, as the sole arbiter, determines that this agreement has been intentionally contravened.

Registration Status Incomplete – Not all technically required (indicated by asterisk) fields are completed but registration is saved. Complete – All technically required (indicated by asterisk) fields are completed but registration form may still require additional information or documents. Pending – Submitted information is under review by CFWM and Kimbia. Approved – Registration form and documentation has been successfully reviewed by VG staff and Kimbia. You may now work on fine-tuning your profile page.

After You Register CFWM and Kimbia staff will review for completeness and eligibility. You may be contacted for follow-up information. Once approved, you will receive a confirmation email from Valley Gives. This means you are registered. Once approved you can continue to develop your public profile page by adding/updating information on your registration form.

1. You are new to Valley Gives and are registering for the first time. 2. You are a previous Valley Gives participant and are updating your registration information. 3. You have been approved for Valley Gives 2018 and are finetuning your profile page.

Public Profile Page This is where you engage your potential donors The information here pulls directly from your registration page • Unique URL (web address) to share on social media, website and emails with donors • Up to 3 images • Up to 1 video – will run on VG Day • Link to Guidestar for organizational info • Tell your story – be compelling Donation levels will be the same for all organizations – set by CFWM, no flex.

How Donations Work • Donations made through Valley Gives are received by KFoundation, a 501(c)(3) organization, affiliated with the Kimbia giving platform, and then granted to the designed organization. • Donations designated to eligible participating organizations are tax-deductible and irrevocable. • Donations will not be refunded. • Donations via the website may only be made via credit or debit card. • Credit and debit cards will make reference to Valley Gives as the vendor. Minimum Donation: The minimum donation is $10.00. There is no maximum donation.

Donations Facts Advanced Donations • Donations can be made in advance of Valley Gives, starting Fri. April 26, 2018. • Charges will be processed at time of donation. • Advance donations will not count towards time-based prizes Processing Fees Fees total 5.99% per donation. (3.0% credit card processing, 2.9% Kimbia) Donors can pay for processing fees when they donate ($53K raised in 2017) Donations On Behalf Of On donation form, people can designate if they are donation in honor of, in memory of, or on behalf of. Referred By If you have competing teams, you can note who referred donor to VG

What is a Unqiue Donor? For the purposes of these tallies, we consider a “unique donor” to be:  An individual person donating under their own name We do not consider the following to be “unique donors”: X A donor giving on behalf of, in honor of, or in memory of someone else X A child or youth under 18 (as they cannot legally make a credit card donation in their own name) X A company or organization Sometimes we encounter donations coming from similar looking postal addresses, email addresses, last names, etc. In these cases, we look closely to determine if these gifts are coming from one individual, or from separate but similar seeming individuals. We use our best judgment to arrive at a correct tally for prize

What Will a Donor Experience? Donors will visit www.Valley-Gives.org Donors can search by category, county or town/city. They can also do a word search. Donors can view organization profile pages. Each page will have its own URL. Single donations can be made from an organization’s profile page. Donations to multiple organizations can be made using the multidonation form. Searches for organizations can now be made from the multi-donation form. They will receive an email receipt from the Kimbia Foundation

Kimbia – Money Flow • Donations made to CFWM via Kimbia Foundation. • Kimbia Foundation sends checks to organizations by approximately June 15 • Kimbia does not do Electronic Fund Transfer (EFT) • Processing fee is 5.99% (3.0% for credit card processing, 2.99% for Kimbia). Donors can cover fee.

Matching Gifts Initial match challenge donation is an agreement between donor(s) and organization; it does not need to be made via Kimbia. If a match challenge donation is made via Kimbia, that amount will be included in the organization’s totals for Valley Gives. Matching gifts will have their activation begin on May 1st. To be eligible for the matching prize, an organization must establish a match between $1,000 and $5,000. Small and medium budget size organizations that meet their match amount will be entered into a pool for a prize to have their match amount matched.

Matching Gifts • If you initially don’t have a matching gift and select “No” during registration but later get a matching gift, remember to change selection to “Yes”.

Prizes – How To Strategize Designed to help your organization expand its donor base, increase fundraising, and motivate donors. • Some prizes reward specific accomplishments. • Others prizes are awarded by time period. CFWM encourages your organization to focus on some of the prize categories - those that best align with your organization’s abilities or goals.

One organization in either the small or medium budget small and $5,000 medium orgs category that gets donors representing at least 4 different decades of age including one donor in each of the under 40 only categories, will be entered into a pool and be eligible for a raffle. 15 small and medium organizations that meet their selfsmall and up to $5,000/ medium orgs instance determined challenge goal will be selected at random for matching prizes (up to $5,000). Challenges must be between only $1,000 and $5,000.

Donation Reports for Your Organization All organizations have real-time access to the donor information from their profile page. This information can be exported for use later by the organization.

Host an Valley Gives Event CFWM encourages organizations participating in Valley Gives to hold an event or have a community presence on May 1 or before to create interest and awareness. Events will be listed on Valley Gives website and shared with media.
