Grandview High School Electronic Device Handbook The focus of the Learning with Tablets Program at Grandview High School is to prepare students for their future, a world of digital technology and information. As we enter the twenty-first century, excellence in education requires that technology is seamlessly integrated throughout the educational program. Increasing access to technology is essential for that future, and the learning tool of these twenty-first century students is the tablet computer. The individual use of tablets is a way to empower students to learn at their full potential and to prepare them for the real world of college and the workplace. Tablets encourage students to solve problems and think critically by stimulating analytical thinking. Learning results from the continuous dynamic interaction among students, educators, parents and the extended community. Technology immersion does not diminish the vital role of the teacher. To the contrary, it transforms the teacher from a director of learning to a facilitator of learning. Learning with tablets integrates technology into the curriculum anytime, anyplace.

The procedures and information within this document apply to all Electronic Devices used at Grandview High School, including any other device considered by the Principal to come under this policy. Teachers may set additional requirements for computer use in their classroom.

1. RECEIVING YOUR DEVICE Devices will be distributed each fall during freshman/sophomore orientation and open house. Parents & students must sign and return the Device Agreement before the device can be issued to their child. The Device Protection plan outlines two options for families to protect the device investment for the school district. Please review the Device Protection plan included in this handbook. Devices will be collected at the end of each school year for maintenance, cleaning and software installations. Students will retain their original Device each year while enrolled at GHS. Students and Parents may decide to purchase the Device at the beginning of the year. The price will be the full purchase price that the District paid and all liability and responsibility will fall into the hands of the owner.

2. TAKING CARE OF YOUR DEVICE Students are responsible for the general care of the device they have been issued by the school. Devices that are broken or fail to work properly must be taken to the High School Library. 2.1 General Precautions  No food or drink is allowed next to your device while it is in use.  Cords, cables, and removable storage devices must be inserted carefully into the tablet.  Students should never carry their devices without its protective case.  Devices should be shut down when not in use to conserve battery life.  Devices must remain free of any writing, drawing, stickers, or labels that are not the property of the Grandview School District.  Devices must never be left in a car or any unsupervised area.

 Students are responsible for keeping their device’s battery charged for school each day.  Devices should always be at room temperature before booting. If they are cold, condensation may form and destroy it. 2.2 Carrying Devices The protective cases provided with devices have sufficient padding to protect the device from normal treatment and provide a suitable means for carrying the computer within the school. Devices should always be within the protective case when carried. 2.3 Screen Care The devices screens can be damaged if subjected to rough treatment. The screens are particularly sensitive to damage from excessive pressure on the screen.  Do not lean on the top of the device when it is closed.  Do not place anything near the device that could put pressure on the screen.  Do not place anything in the carrying case that will press against the cover.  Do not poke the screen.  Do not place anything on the screen before closing the cover (e.g. pens, pencils, or disks).  Clean the screen with a soft, dry cloth or anti-static cloth. Do NOT spray any liquid directly on the screen. Water, eye glass or glass cleaner may be sprayed on a cloth to clean the screen.

3. USING YOUR DEVICE AT SCHOOL You devices are intended for use at school each day. In addition to teacher expectations for device use, textbooks, school messages, announcements, calendars and schedules will be accessed using the tablet computer. Students must be responsible to bring their device and power adapter to all classes, unless specifically advised not to do so by their teacher. 3.1 Devices Left at Home If students leave their device at home, they may be able to use a loaner device provided by the Library. Repeat violations will result in losing take-home privileges of the device. 3.2 Devices Undergoing Repair Loaner devices may be issued to students when they leave their devices for repair at the technology office.

3.3 Charging Your Device’s Battery Devices must be brought to school each day in a fully charged condition. Students need to charge their devices each evening. Repeat violations of this policy will result in disciplinary action. The power adapter must accompany the tablet. In cases where use of the device has caused batteries to become discharged, students may be able to connect their computers to a power outlet in class or at one of the portable charging stations. Loaner devices must be returned to the library by the end of the school day. 3.4 Screensavers  Inappropriate media may not be used as a screensaver.  Presence of guns, weapons, pornographic materials, inappropriate language, alcohol, drug, gang related symbols or pictures will result in disciplinary actions.  Passwords on screensavers are not to be used.  Hard drive passwords are forbidden. If used, students may be responsible for the cost of replacement hardware. 3.5 Desktop Desktops are subject to the same restrictions as screensavers. 3.6 Sound Sound must be muted at all times unless permission is obtained from the teacher for instructional purposes. 3.7 Printing Students may use printers in classrooms and computer lab with teachers’ permission during class or breaks.

4. MANAGING YOUR FILES & SAVING YOUR WORK 4.1 Saving to the Home Directory Students will not be logging onto our network. Students will have their own user account and folder on the network with ample space to back up any schoolrelated work. Students may transfer files to their network folders through the use of a USB drive on a district computer.

4.2 Saving data to Removable storage devices Students can backup their work using a USB drive or microSD card.

It is the student’s responsibility to ensure that work is not lost due to mechanical failure or accidental deletion. Computer malfunctions are not an acceptable excuse for not submitting work.

5. SOFTWARE ON THE DEVICES 5.1 Originally Installed Software The software originally installed by the GHS must remain on the device in usable condition and be easily accessible at all times. From time to time the school may add software applications or ebooks for use in a particular course. The licenses for this software require that the software be deactivated from devices when the student is no longer in the course.

5.2 Additional Software It is the responsibility of individual students to be aware of additional software programs and files loaded onto their device. Students are responsible for maintaining the integrity of software required for facilitating academic activities.  Any additional software must be appropriate for the school environment and may not infringe on the productivity of the classroom setting.  Violent games and computer images containing obscene or pornographic material are banned.  Any additional software deemed inappropriate by the administration or technology team will result in disciplinary action.  Music and video files that are not authorized by the school district may be removed. 5.3 Inspection Students will be selected at random to provide their device for inspection. 5.4 Procedure for re-loading software If technical difficulties occur or illegal software is discovered, the hard drive will then be re-formatted and re-imaged. The school does not accept responsibility for the loss of any data deleted due to a re-format and re-image. 5.5 Software upgrades Upgrade versions of licensed software are available from time to time. Students will be informed when software is available.

6. ACCEPTABLE USE Grandview R-II School District Computer/Internet Access Acceptable Use Policy Student Internet access is available to students and teachers in the Grandview R-II School District through the Missouri Research and Educational Network (MOREnet), a state funded educational Internet access program. The goal of the Grandview R-II School District in providing Internet service to students and teachers is to promote educational excellence by facilitating resource sharing, research, innovation, and communication. Information Content & Uses of the System: Along with national and international access to computers, people, and information valuable to the education process comes the availability of material that may not be considered of educational value in a school setting. The Grandview R-II School District takes precautions to restrict access to controversial materials by teaching students responsible computer and Internet use, and through the possible utilization of “firewall” software, block student access to inappropriate materials. Users are advised that some sites may contain defamatory, inaccurate, abusive, obscene, sexually oriented, threatening, offensive, or illegal material. Grandview R-II does not condone the use of such materials and does not permit usage of such materials in the school environment. Users knowingly bringing such materials into the school environment may be subject to disciplinary action. Use of the Grandview R-II School District Internet connection is an educational privilege. Commercial uses of the system are strictly prohibited. Inappropriate use of computers, software, or the Internet will result in cancellation of these privileges. The District will not tolerate any form of cyber bullying through the use of electronic communications. Anyone who engages in this will be in violation of this agreement and subject to disciplinary action. In addition, Grandview R-II reserves the right to inspect any materials stored in files, whether obtained from the school’s system or brought in from other sources, and will delete any material believed to be inappropriate.

Copyrighted Material: Grandview R-II School District expects students to be familiar with copyright law and ethical use of copyrighted material. Copyrighted material must not be placed on any system connected to the Grandview R-II School District without the author’s permission. Users may download copyrighted material for their own use. Reproduction of copyrighted material is strictly forbidden without authorization of the author. Illegal (pirated) software will not be allowed on the System under any circumstances.

7. PROTECTING & STORING YOUR ELECTRONIC DEVICE 7.1 Device Identification Student devices will be labeled in the manner specified by the school. Devices can be identified in the following ways:  Record of serial number and school district asset tag  Individual User account name 7.2 Storing Your Device When students are not using their devices, they should be placed in the case for protection. The device must be powered off. Nothing should be placed on top of the device. Students are encouraged to take their devices home every day after school, regardless of whether or not they are needed. Devices should not be stored in a student’s vehicle at school or at home. 7.3 Devices Left in Unsupervised Areas Under no circumstances should devices be left in unsupervised areas. Unsupervised areas include the school grounds and campus, the cafeteria, locker rooms, library, unlocked classrooms, bathrooms and hallways. Any computer left in these areas is in danger of being stolen. Unsupervised devices will be confiscated by staff and taken to the Office. Disciplinary action may be taken for leaving your device in an unsupervised location.

8. REPAIRING OR REPLACING YOUR ELECTRONIC DEVICE 8.1 Manufacturers Warranty This coverage is part of the purchase price of the equipment. The manufacturer warrants the device from defects in materials and workmanship. This limited warranty covers normal use, mechanical breakdown or faulty construction and will provide replacement parts necessary to repair the device or device replacement. The manufacturers warranty does not warrant against damage caused by misuse, abuse, accidents or computer viruses. Please report all device problems to the technology office. 8.2 Accidental Damage Protection The Grandview School District will provide optional coverage to protect the tablets against accidental damage such as: liquid spills, accidental drops, power surges, and natural disasters. This coverage will provide for damage caused by fire, theft, loss, misuse, intentional or frequent damage or cosmetic damage. Grandview will assess the device damage and repair or replace the machine. GHS technicians will service repairs and replacements for detective parts and

acts of accidental damage. Please report all device problems to the technology team. 8.3 Device Protection Plan Each student may obtain insurance protection. Device Protection is available for students and parents to cover device replacement in the event of theft, loss, or accidental damage by fire. The protection cost is $50.00 annually for each device. The cost of repairs will be deducted from the $50.00 insurance. The insurance will cover one claim over $50.00 for breakage. Lost devices will not be covered under warranty, stolen devices will be covered if immediately notified to the office, and a police report is filed. Any additional claim will be full price replacement after that. Insurance can be purchased annually. Insurance will not be offered after a breakage. Replacement devices may be refurbished or repaired devices. 8.4 Claims All insurance claims must be reported to the office. Students or parents must file a police or fire report and bring a copy of the report to the principal’s office before a device can be repaired or replaced with School District Protection. Fraudulent reporting of theft, loss, or accidental damage will be turned over to the police and insurance company for prosecution. A student making a false report will also be subject to disciplinary action. The District will work with the Jefferson County Sheriff’s Department to alert pawnshops and police departments in the area to be aware of this District-owned equipment.

9. DEVICE TECHNICAL SUPPORT The Technology Director coordinates the repair work for devices. Services provided include the following:        

Hardware maintenance and repairs User account support Operating system or software configuration support Application information Re-imaging hard drives Updates and software installations Coordination of warranty repairs Distribution of loaner devices and power adapters

10. DEVICE FAQ’S 1.

Can I use the device computer and software throughout my career at GHS? Yes. While the rapid pace of computer technology guarantees that more advanced units will be available before you graduate, your unit will be powerful enough for your classroom work throughout your career at GHS. The available software will be usable in upper level as well as entry-level course work. Of course, just as upper level courses require different textbooks, you may need additional software as you move through the curriculum.

What if I already have another model or brand of tablet or Laptop computer? Grandview fully supports, Bring Your Own Devices. If you choose to bring your own device, Grandview will not be responsible for the care or maintence. Students who bring their own device will not be able to connect to their student drive through their device.

3.

Can I have my device/computer this summer? No. All devices will be collected at the end of the school year for general maintenance, cleaning, and software installation purposes. Students will receive their devices again at their orientation session in the fall to ensure that everyone receives complete information about the computer, including its warranty, insurance coverage, software usage and GHS’s policy regarding the ethical use of computers.

Where do I find an authorized service technician? All devices should be taken to the Grandview School Technology office for repair. They will either repair the device or have it repaired by an authorized technician.

5.

What about insurance against theft or breakage through carelessness? Your device is very portable and very valuable, making it an attractive target for thieves. Therefore, device protection is encouraged. The school protection plan covers tablet breakage and theft, not loss for a $50.00 payment. The best insurance is to take care of your device. Do not leave your device in the building, classroom, or car unattended. Always know where your device is! Above all, take your computer home each night.

6.

Does GHS provide maintenance on my device? Yes. The Technology Director will coordinate maintenance for students.

Students enrolled at GHS will be covered by a maintenance agreement for items described in the Manufacturers warranty agreement and Accidental Protection Plan. Please consult the warranty agreement so that you understand what is and what is not covered. 7.

What will I do without a computer in my classes if my unit is being repaired or while I am replacing it if it is lost or stolen? Grandview High School stocks a limited number of devices that can be loaned out on a first come, first-served basis. You will be able to apply for a loaner unit. If you are in possession of a loaner, treat it as if it were your own computer. You will be responsible for any damage to the unit or for its loss.

If I purchase software in addition to the available software provided through GHS, will the Technology Director load it for me? No.

Do I need a printer? You need not own one since printers are located near classrooms and in the library.

10.

Will I need to buy a modem? No. The tablet will connect through a wireless system.

11.

Will there be facilities to back up the files I create on my device? Yes. When you save your documents to a removable memory card or USB drive you can then insert it into a district computer and transfer your files to your network drive.

12.

What if I want to add options to my device later? Only the Grandview School District is authorized to add options and upgrades to your device computer.

13.

What if I want to run another operating system on my device? Only the operating system chosen by the Grandview School District will be authorized to run on a student-issued devices.

14.

Will I be given a new battery if mine goes bad? The device battery will be replaced by the manufacturer for defects. You will be responsible for charging your battery and proper battery maintenance. If you need to borrow a power adapter for class, you may check it out at the high school library. The adapter must be returned before the end of the school day.

15.

What has the school done to help prevent students from going to inappropriate sites? We have a software product which is designed to help monitor all Internet sites that students attempt to access at school. This software blocks

inappropriate sites and also logs a history of every site that each user opens. All students who attempt to find inappropriate sites will be directed to the Principal’s Office. Parents/guardians are responsible for monitoring home usage. 16.

Are Student devices subject to school “snooping”; what if they bring their device in for repairs and “objectionable data” is detected? Devices are the property of the Grandview R-II School District. Inappropriate material on the devices should be reported to the classroom teacher, principal, or technology staff immediately upon identification. Students who have “objectionable data” on their device but have failed or chosen not to report it, will be referred to the Principal’s Office.

17.

If the accessories to my device are lost or stolen, how much will it cost to replace them? In the event that device accessories are stolen, you should report the lost items to the technology office. Students will be charged actual costs plus shipping/handling.

11. ELECTRONIC DEVICE AGREEMENT

The Grandview School District recognizes that with the implementation of a 1:1 initiative there is a need to protect the investment by both the District and the Student/Parent. The following outlines the various areas of protection: warranty, accidental damage protection and insurance. COBY WARRANTY: This coverage is provided by the manufacturer as part of the purchase price of the equipment. Coby warrants the tablets from defects in materials and workmanship. This limited warranty covers normal use, mechanical breakdown or faulty construction and will provide replacement parts necessary to repair the tablet or tablet replacement. The Coby warranty does not warrant against damage caused by misuse, abuse, accidents or computer viruses. NETBOOK WARRANTY: There is a three year manufacturers warranty on the netbooks, CDI will repair or replace netbooks during that time. CDI warranty does not warrant against damage caused by misuse, abuse, accidents or computer viruses.

ACCIDENTAL DAMAGE PROTECTION: The Grandview School District will provide an optional insurance coverage plan to protect the tablets against accidental damage such as: liquid spills, accidental drops, power surges, and natural disasters. This coverage will also provide for damage caused by fire, theft, misuse, intentional or frequent damage or cosmetic damage. Grandview will assess the tablet damage and repair or replace the machine at no cost if the damage is determined to be within the manufacturers guidelines.

School District Protection-(optional) The school district will charge an annual protection payment for coverage in the amount of $50.00 The $50.00 payment is nonrefundable. This annual coverage begins upon receipt of the payment and ends at the conclusion of each school year when the tablet is returned to the district. If a student/family chooses to opt out of the insurance coverage then the student/family will assume full liability for any damage or loss of the tablet and will replace/repair the tablet at their own expense at current pricing guidelines. ADDITIONAL INFORMATION: In cases of theft, vandalism and other criminal acts, a police report, or in the case of fire, a fire report MUST be filed by the student or parent for the protection coverage to take place. A copy of the police/fire report must be provided to the principal’s office. The replacement of the device is the responsibility of the student/parent and must be paid before the device can be repaired or replaced. INTENTIONAL DAMAGE: Students/Parents are responsible for full payment of intentional damages to devices regardless of optional insurance coverage.

B.Y.O.D. (Bring Your Own Device) Policy and Form

The District recognizes the value that technology devices add to the educational experience of all students. Therefore, the use of personally owned technology devices is permitted for students and staff when designated appropriate by the Building Administrator and Technology Department. In addition to what is outlined in this policy, all other Technology Policies apply to personally owned technology devices.

For the purposes of this policy: Users: shall be defined as any currently enrolled student of the school district and all current employees of the school district as well as any other person(s) deemed acceptable. Personally owned technology devices: shall be defined as any technology device that is privately owned by a user. School property: shall be defined as any place which is owned, rented, or under the control of the District.

1. Personally owned technology devices shall be at the sole responsibility of the user. No technical support will be provided. 2. The district reserves the right to monitor and log all network activity of personally owned technology devices. 3. The district reserves the right to make determinations on whether specific uses of the personally owned technology devices are consistent with the district’s Technology Policies. 4. The district reserves the right to confiscate personally owned technology devices in the event of a legal hold. 5. Personally owned technology devices may not disrupt the educational process, endanger the health or safety of the user or any other user, or involve illegal or prohibited conduct in anyway. 6. Users shall have filtered Internet access for educational use only. Access is provided by the district’s guest wireless network. Users shall not attempt to connect to the school district’s network in anyway.

Users are prohibited from using personally owned technology devices in dressing rooms, locker rooms, bathrooms, and other locations that are deemed private in nature by the Building Administrator. 8. Users shall not attempt to intercept or interfere with the transmission of the wireless network. 9. Users shall not attempt to compromise network security in any manner. Sharing or unintentionally stealing IP address information is strictly forbidden. 10. Users are not to attempt sniffer programs, IP spoofing, or other deceptive networking practices. 11. Users shall not be allowed any personal use during class time nor shall they access personal data plans while on school property. 12. The district shall not be responsible for any lost or stolen devices. Users are responsible for reporting lost or stolen devices as soon as they are aware of such an event. 13. The district shall not be held responsible for any physical, hardware, or software damage to personally owned technology devices. This includes computer viruses and virus related activities, including worms, spam, and pop-ups. Should a personally owned technology device which has been deemed appropriate for use by both the Building Administrator and the Technology Department be lost, stolen, or damaged in any way, the school district shall not be held financially liable and will not reimburse the owner for the property nor shall the district reimburse or share cost for repairs. 14. Users must allow district personnel to physically access the personally owned technology devices so that the district’s wireless access key can be inputted, updated, or removed.

Approval Procedure Users must complete and sign the district’s B.Y.O.D. Policy and Form. Parents/guardians of student users must also sign the policy/form. 2. Users must provide the district with specific information regarding the personally owned technology devices. I.E. Version of Operating System, name of Antivirus.. The district will maintain a list of criteria that must be met in order for personally owned technology devices to be allowed on the district’s guest wireless network. 3. If criteria for a guest wireless connection are met, users must allow district personnel to physically access the personally owned technology devices so that the district’s wireless access key can be inputted. If criteria for a wireless connection are not met, users may still opt to use the personally owned technology devices without a connection. 1.

The use of personally-owned technology devices is permitted for students and staff when designated appropriate by the Building Administrator and Technology Department. Disciplinary Action Disciplinary action for users utilizing personally owned technology devices in district facilities shall be consistent with the district’s standard policies and practices. Violations can constitute cause for revocation of access privileges, suspension of use of personally owned technology devices in district facilities, other school disciplinary actions and/or appropriate legal action. Exact disciplinary measures will be determined on a case-bycase basis. This policy is subject to change without notice.
