Information Brochure: 2018-2019 SAMBALPUR UNIVERSITY INSTITUTE OF INFORMATION TECHNOLOGY (SUIIT) SUIIT was established in the year 2010 as a Constituent and Autonomous Institution of the Sambalpur University in the line of IIITs to impart quality training and to have quality research programme relating to Information Technology and allied subjects. SUIIT provides training at the level of Undergraduates and Post-Graduates courses in technical subjects holistically and the curriculum includes training in Humanities, Management Sciences and Basic Sciences in addition to the relevant core Technical subjects. INFRASTRUCTURE: SUIIT has exclusive campus adjacent to the main campus of the Sambalpur University at Jyoti Vihar, Burla, in a picturesque and green environment interspersed with scenic hills. The Institute has a modern academic building furnished with audio visual classrooms, well equipped laboratories, faculty rooms and Library with increasing stocks of books. The academic building is fully Wi-Fi enabled with dedicated internet connections. SUIIT has separate hostel facilities for both gents and ladies. The buildings and its sprawling surroundings with rich flora and fauna provides healthy and stimulating ambience required for rigorous academic efforts. Computing Labs such as Networking Lab with CISCO equipment, Database Lab with Oracle and Programming Lab in collaboration with Sun Java, Basic Electrical Engineering Lab, Electrical Machine Lab. and Electronics Lab. are few special infrastructures that are already developed for students of the Institute. Another four labs like, Power Electronics, Power Systems, Advanced Computing Lab. and Electronics Lab. are sanctioned to be installed in next three months. The campus is active in cultural, sports and extra-curricular activities. There are four student activity clubs in SUIIT. For admission into B. Tech Programmes: B. Tech admission in SUIIT is done through OJEE Counseling. Interested students may refer to https://www.odishajee.com for necessary information. They may contact SUIIT during OJEE counseling process.

For admission into M. SC. / MCA / M. PHIL / M. TECH Programmes: The candidate may apply through (I) Offline application mode or (II) Online application mode given below.

OFFLINE APPLICATION

The Admission Application Form can be obtained by downloading from our website www.suiit.ac.in. Separate application form can be submitted to the following mailing address by Speed Post / Registered Post / Courier Service for all PG programmes. Payment of Rs. 500.00 (for each form) in shape of Demand Draft drawn in favour of “Director, SUIIT, Sambalpur University” payable at SBI, Jyoti Vihar branch (code no – 6672) be made at the time of submission of completed application form. Incomplete application form will not be considered. Admission Application Form and the Information Brochure are available on our website www.suiit.ac.in II.

ONLINE APPLICATION FOR PG STUDENTS ONLY

Procedure for filling up of online application form: Open www.suiit.ac.in. Click on the Admissions tab to go to the Admissions section in the site and then click on the Instructions and go through them. After going through the Instructions, click on the online form button to access the form. Instructions  Registration       

For registration you are required to have a valid email ID (e.g. [email protected] or [email protected] etc), this will be used as your username and for any future communication from SUIIT. Choose a password consisting of letters and numbers between 8 to 15 characters for the online form. Enter your mobile/phone number (which will be used to verify in case you forget your password.) You have the option of simultaneously applying to maximum of three courses at once with separate bank draft of Rs 500/ for each course for the same candidate. You are also required to enter your date of birth. On completion of the registration you are redirected to the home page. An informatory email will be sent to you containing your username and password.

 You need to login using the username, password and date of birth chosen by you in the previous step.  Login within 24 hrs of registration for your registration to be preserved in the system. Filling up the form     

Information Brochure: 2018-2019 2) RESULT - AWAITED (RA) CASES Result awaited cases are the applicants who have appeared the qualifying exams but the results are not published till the last date of application. Such candidates are also eligible to apply for consideration of provisional admission. All such candidates will be required to produce proof of having passed the qualifying examination with required eligibility conditions to the institute latest by 31st August, 2018, failing which such provisional admission will stand cancelled. Such students will be given average percentage of marks while preparing the merit list. If the candidate is found ineligible at a later date even after admission to SUIIT his/her admission will be cancelled without refunding the admission amount. 3) PROCEDURE FOR DOWNLOADING THE ADMIT CARD Admit Card will be available on the web for eligible candidates from 14th June, 2018 and onwards. Admission cannot be claimed as a matter of right. Selection for admission into different Courses shall be done through Written Entrance Test (with coding and decoding system) and Career Mark with 70% and 30% weightage, respectively. In case of MCA, the selection for Equivalent rank and for rest 50% category, seats will be transferred counseling for MCA and willing OJEE rank or otherwise.

5% of the total career mark secured by the candidate in qualifying examination shall be added to the career mark in qualifying examination to a maximum of 15 in case of participants in the Inter University Sports and State Team approved by the National Organization provided that in order to be eligible for such concession under sportsman category the player concerned should have participated in the respective competitions within two years prior to the date of application for admission.

NCC – Applicants holding ‘B’ Certificate shall be given weightage of additional 5% of marks over and above the aggregate marks secured at the Higher Secondary (+2) or equivalent examination. Applicants who have represented the State or the Central School / Sainik School at the All India level NCC Camps / Courses / Activities shall be given weightage of additional 3% of marks over and above the aggregate marks secured at the Higher Secondary (+2) or equivalent examinations.

NSS – Applicants who have represented the state at National Level Camp shall be given weightage of additional 5% of marks over and above the aggregate marks secured at the CHSE / equivalent examinations. Applicants who have represented the Inter State Category Camp shall be given weightage of additional 3% of marks over and above the aggregate marks secured at the CHSE / equivalent examinations. Applicants who have got the best NSS Volunteer Award in University level shall be given weightage of additional 2% of marks over and above the aggregate marks secured in CHSE / equivalent examinations.

(viii)

Rover & Ranger – Rover & Ranger possessing and producing the original certificate signed by the President of India shall be given weightage of additional 5% of marks over and above the aggregate marks secured at the Higher Secondary (+2) / equivalent examinations. Rover & Ranger possessing and producing the original certificate signed by the Governor / PATRON / President of the State Association shall be given weightage of additional 2% of marks over and above the aggregate marks secured at the Higher Secondary (+2) / equivalent examinations.

6) INTIMATION The list of selected candidates will be notified in the SUIIT website www.suiit.ac.in and also in Notice Board of SUIIT. Individual intimation letter will be posted /mailed to every selected candidate. The intimation letter will also indicate the required fees to be paid by the candidate at the time of admission and also the list of original documents required by the candidate for admission, along with the last date of admission for the concerned candidate. 7) ADMISSION PROCESS FOR UG (B. TECH) CANDIDATES All admissions into B. Tech CSE/ECE/EEE (both regular and lateral entry) shall be done through OJEE2018 counseling. SUIIT will strictly follow the “Return of the original documents”, “Cancellation or Withdrawal of Admission”, “Reservation policy” etc of OJEE - 2018.

Information Brochure: 2018-2019 8) ADMISSION PROCESS FOR PG CANDIDATES: Selected candidates can take admission to different courses of SUIIT, for which they are selected, in person or by post. The process of admission is done by depositing the following documents to the institute. a. College Leaving Certificate (CLC) in original and Conduct Certificate from the Institution last attended b. Mark Sheet and Certificates in original starting from Xth to last qualifying examinations (In case, detailed marks are not provided in the final mark sheet, Mark sheets of first and second Examinations / all previous semesters are to be submitted separately). c.

Migration Certificate in original for candidate from other University. In case the parent University is not providing the migration certificate at the time of admission, the admission of candidate will still be allowed if he/she gives an undertaking to produce the same latest by 31st October, 2018

d. Five self-attested passport size coloured photographs e. Caste Certificate in original for SC/ST candidates (if applicable). f.

I. Reservation Policy for B. Tech Programmes is same as OJEE II. Reservation Policy for other programmes: a. 22.5% and 16.25% of seats in each course are reserved for candidates belonging to Scheduled Tribes and Scheduled Castes respectively. The reserved seats are not interchangeable between SCs and STs and the reserved seats lying vacant after 3rd Phase of Admission shall be de-reserved and opened to all categories of applicants. b. Persons with disabilities (PWD) - 5% of sanctioned seat shall be reserved for PWD students with extent of disability not below 40% (blindness and low vision, hard of hearing, locomotors disability including cerebral palsy, leprosy cured, dwarfism, acid attack victims and muscular dystrophy, autism, intellectual disability, specific learning disability and mental illness). c. Ex-Serviceman (ESM), Serving Defense Personnel (SDP), Children of Martyrs (CoM) – 1% of the sanctioned seats shall be reserved for Self / Children / Wife / Husband of Ex-Serviceman, Serving Defense Personnel & the Children of Martyrs. d. Concessions for the wards of Kashmiri migrants for admission shall be allowed as per the directive of the MHRD, Govt. of India. e. 25% of seats in M. Phil in Computer Science / Electronics programme shall be reserved for teachers having at least 5 years of professional experience in a College duly recognized by the Govt. with a certificate to be produced by the Candidates to that effect and who have been sanctioned study leave for one year for prosecuting the course by their appropriate authorities. They have to be duly relieved by their employers. In case of vacancy under this category, the seats will be filled up by general candidates as per merit list. The reservation for SC/ST/PWD candidates will be same as University reservation policy.

12) CANCELLATION OR WITHDRAWAL OF ADMISSION

Normally the cancellation or withdrawal of admission is discouraged. A) In case of B. Tech programs, SUIIT will strictly follow the Refund Policy prescribed by OJEE – 2018. B) In case of other programmes (except B. Tech), SUIIT follows UGC guideline (refer notification - D.O. No. 1-3/2007 (CPP-II) dated 6th December 2016 on “Remittance and Refund of Fees and Other Student-centric Issues”) for refund of fees on cancellation and withdrawal of admission. Sl. No.

REGISTRATION

In the beginning of each semester, every student shall register, on the dates specified in the Academic Calendar, for the courses he/she intends to pursue during the semester. The choice of courses for which a student can register is limited by the courses being offered in the semester and also the prescribed curriculum of the Programme. The semester-wise structure of the curriculum shall show clearly the normal load for which a student is expected to register during various semesters. The Semester registration procedure shall be completed when a student has: i. Filled in the registration form mentioning clearly the courses intended to be pursued during the semester and countersigned by the Dean Academic Affairs. ii. Paid all the outstanding dues including the dues of the current semester. At the end of the semester, a grade is awarded, in a course, to only those students who have registered for that course.

LATE REGISTRATION

A student who fails to register on the prescribed day of registration, due to some compelling reasons, may register later within 15 days of registration day on payment of late registration fee Rs. 200.00 with due permission of the authority.

CHANGE OF STREAM (IN CASE OF B. TECH STUDENTS ONLY)

Change of stream is permissible to the eligible students after the second semester and before commencement of classes of third semester as per SUIIT rules.

GRADE REPORT

At the end of each semester, a copy of the Grade Report is issued to each student. The Grade Report incorporates the list of all the courses taken up to the last completed semester along with the grades obtained in each course.

7)

WITHHOLDING OF GRADES

The Grade Report of a student may be withheld for various reasons. In case there is any indiscipline cases pending against a student, his/her Grade Report will be withheld. The Grade Report of a student may also be withheld if he/she fails to clear the dues pending against him/her, including mess dues, Hostel dues.

8)

REQUIREMENT OF ATTENDANCE

A candidate shall be required to attend 75% of lectures and practical classes separately offered during the semester. Condoning of attendance may be granted by the authority only to the extent of 15% in exceptional cases. When a candidate has been deputed by Institute/University to represent the Institute/University/State for any activity, the lectures delivered during his/her absence, shall not be counted towards the calculation of percentage of attendance, provided the HOD certifies to that effect. UGC guidelines will be followed strictly in case of attendance. SUIIT has its own attendance management system to inform the students about their attendance regularly.

STUDENTS’ CODE OF CONDUCT AND RAGGING

SUIIT strictly implements anti-ragging rules. SUIIT will take serious disciplinary action against students indulged in ragging. Students should report any such incident to SUIIT authority either by phone or by e-mail to the designated persons notified in the beginning of the academic year.

10) HOSTEL ADMISSION RULES AND RELATED MATTERS a)

Hostel accommodation shall be provided to students of SUIIT depending on availability of seats in the following hostels: i.

Aryabhatta Hall of Residence and Bhaskar Hall of Residence (Men’s Hostel)

ii.

Maitreyi Hall of Residence (Women’s Hostel)

b) The selection for hostel admission will be made on the basis of the applicants’ merit in entrance test and the distance from his/her residence. c)

Reservation in various Hostels for SC and ST candidates is as per Rules, i.e. SC-16.25% and ST-22.5%.

d) Hostel Admission: i.

Students seeking admission into the Hostels shall have to apply with two passport size recent colour photographs in the prescribed form available in the office at the time of admission.

ii.

The Dean Students Welfare will prepare a list of students to be admitted to various hostels passed on the basis of merit list of admission and as per rule.

iii.

The students will get an Intimation letter from the Dean Students Welfare by email for admission in the Hostel.

iv.

The list of selected candidates with room numbers and the date of admission in the Hostels during the session will be notified on the website by the Dean Students Welfare before the date of admission.

v.

The admission for the hostel is for one academic-session i.e., June to May

The charges are subject to change from time to time. A portion of the Hostel and Mess caution money will be deducted at the time of refund. The amount to be deducted shall be decided by the Hostel Management Committee. If the caution money is not claimed within 3 years from the date of leaving the hostel, the claim for the said amount shall automatically stand forfeited.

viii.

If the boarder fails to deposit his/her hostel annual fees in the hostel office by the end of August, a late fine @ Rs.5/- per day shall be levied maximum up to one month, after that allotment for admission shall be cancelled.

ix.

MESS: The boarder shall have to be guided by the Mess Rules and Hostel Rules. Every hostel will have its mess committee to manage the mess.

x.

DISCIPLINE: Boarders are expected to maintain discipline and proper atmosphere of studies in the hostels. The following acts of indiscipline are strictly prohibited: 1.

All kinds of shouting, violence, knocking or /and any other act of undesirable behaviour that is likely to cause disturbance or annoyance to others.

2.

Ragging of all kinds in the hostels or in the institute and within or outside the Campus.

3.

Any form of playing music and video system inside the room or the hostel premises causing annoyance and disturbance to others.

4.

Maltreating or abusing the hostel employees, mess canteen staff and others.

5.

Any meeting not relating to hostel affairs held on the hostel premises without prior permission.

6.

Keeping fire arms, weapons and intoxicants of any kind in the hostels.

7.

Cooking in the room of the hostels.

8.

The use of electric heater, immersion heater, radio, TV and other similar electrical appliances in the room.

9.

Keeping the light and fan on when boarders are not inside the rooms.

10. Damaging, misusing and stealing of any hostel property or stealing others belongings. 11. Entertaining female visitor into the room of the boarders in the boys hostels and male visitor into the rooms of the women hostels. 12. Boarders staying outside overnight without permission of the competent authority. 13. Overstaying in Hostels by the boarders without permission of competent authority. 14. Entertaining guest/outsiders in the hostel without written permission of the respective Hostel Superintendent. 15. Leaving Jyoti Vihar without intimating the hostel authority in writing and without taking prior permission. 16. Consumption of alcohol and / or any other intoxicant by a boarder. 17. Sexual harassment of any kind. 18. Sexist or Casteist remark of any kind.

FINAL CLEARANCE 1.

After the completion of theory and practical examinations the boarders shall have to handover the furniture and other materials issued to him/her along with the room key to the hostel authorities within a week.

2.

The boarder can then claim a final clearance certificate in the prescribed format from the hostel office and submit the same to the respective H.O.D. / Course Coordinator.

11) PENALTY & PUNISHMENT TO THE STUDENTS INDULGING IN RAGGING INSIDE THE INSTITUTE / UNIVERSITY / HOSTEL PREMISES. As per Supreme Court order communicated to University by the University Grants Commission, New Delhi, ragging in any form is strictly prohibited. If any incident of ragging comes to the notice of the authority the accused student will be given an opportunity to explain, and if his/her explanation is not satisfactory, the authority would expel him/her from the institution as well as hostel if he/she is a boarder. While admitting the students the institute shall ensure the submission of an undertaking in the format prescribed in the admission application form signed by both the candidate and his parents (or legal guardian).

12) GENERAL DISCIPLINE (a)

The students are expected to maintain discipline and proper atmosphere of study in the Institute / University campus.

(b)

The following acts of indiscipline are strictly prohibited: i. Any act of preventing the teaching and non-teaching staff of the institution from discharging their normal duties. ii. Any act of stopping the vehicles from plying and thereby affecting the functioning of institute and University. iii. Any act of lockout of any units of the university system and institute. iv. Any act of assembling in a meeting or going in a procession inside the university/institute campus without prior notice to the authority or without availing the usual channels of grievance redressal. v. Any other agitational activity that will affect the day-to-day running of the institute/university. vi. Sexual harassment of any kind. vii. Sexist or Casteist remark of any kind. viii. Indulging in any kind of Cyber-Crime. ix. Any act of disfiguring the institute / hostel premises. Strict disciplinary action will be taken as per rule against the indisciplined students.

13) INTERPRETATION

For any interpretation in respect of all the provisions of the Prospectus and on all those aspects where no mention is there in the Prospectus / Information Brochure, the decision of the Chairman, Governing Body shall be treated as final.

NOTE: Admission into any programme with less than 5 students may be suspended for that academic session.

The aim of the programme is to nurture young dynamic minds for quality research and teaching in Computer Science and related subjects. The Examination rules of M. Phil Guidelines of Sambalpur University will be followed. MINIMUM ELIGIBILITY Candidates seeking admission must have passed M. Sc Computer Science, M. Sc. Information Technology, MCA of Sambalpur University or an examination recognized by Sambalpur University as equivalent thereto, having secured 50% marks in the aggregate or having secured an overall grade point average (OGPA) equivalent to 50% of marks by conversion.
