JOB TITLE: Administrative Coordinator STATUS: Full Time SUPERVISOR: Executive Director DATE: Open Until Filled; Priority given to applications received by July 14, 2017 PURPOSE OF THE POSITION To provides professional and efficient administrative support to the Mankato Symphony Orchestra and day-to-day office management. ABOUT THE MANKATO SYMPHONY ORCHESTRA The mission of the Mankato Symphony Orchestra is to create emotion-packed, high-quality musical experiences and promote music education in and for South Central Minnesota. We are a 501(c)3 nonprofit organization founded in 1950, and are experiencing rapid and dynamic growth. The MSO performs a full season of Symphonic, Chamber, Pops, and Family concerts from September-May, a Fourth of July outdoor pops concert, as well as a variety of community, education, and engagement events year round. QUALIFICATIONS Required Effective written and verbal communication skills Customer service experience Strong interpersonal skills Experience using common computer software i.e. word processing, spreadsheets, databases, etc. Knowledge of standard office equipment operation Knowledge of clerical and administrative procedures and systems Knowledge of principles and practices of basic office management Ability to work a flexible schedule including some evenings and weekends Commitment to excellence Preferred Post-secondary administrative assistant education or administrative support experience Web management and social networking experience Customer relations management software experience Knowledge of classical music ESSENTIAL JOB FUNCTIONS A. Provide support to the Executive Director. B. Recommend and implement processes that maximize office functions and operational efficiencies a. Duties include: maintain office paper and digital filing systems, manage office supply inventory, sorting and prioritizing mail and email correspondence, answering phone, handling segregated billing duties, organize and update task management system, and running errands. C. Maintain donor, patron, and sponsor records, ensuring confidentiality, accuracy of data, timely gift acknowledgment and quality report generation. a. Duties include: tracking cash, check, and online donations and sending written gift acknowledgements, as well as researching prospects and keeping records up to date D. a. Duties include: drafting communications, sending out promotional offers and incentives, special communications to donors, researching potential funders and recommending sponsorship opportunities. Manage MSO calendar, providing meeting coordination, support and follow-up. a. Duties include: updating Symphony rehearsal and performance calendar, scheduling press interviews, scheduling board and committee meetings, and following up as directed, including preparing meeting materials, securing meeting space, arranging for refreshments and preparing minutes. Maintain the MSO website and social media consistent with communication and marketing plans. a. Duties include: creating and posting approved content for Facebook, Twitter, YouTube, Instagram, and keeping all links and content updated on the Mankato Symphony website. Support the timely and professional implementation of marketing and communication plans. a. Duties include: assisting with promotional materials, drafting communications as directed including press releases, requests for ad space/air time, purchasing advertising, and assisting at promotional events, as well as ensuring board, staff, patrons, public, volunteers, and orchestra members are kept up to date. Manage the ticket sales system. a. Duties include: processing ticket orders, handling exchanges and refunds, group sales, and special discounted offers; working with venue staff for orders not processed by MSO Office. Create ticket sale and attendance reports. Assist in the identification of potential grants and in the preparation of grant applications. a. Duties include: researching funders using the internet, search engines, and databases, generating data, and proofreading applications. Manage assigned projects. a. Duties include: planning and organizing outreach activities and special events, designing materials, and coordinating events. Prepare and distribute reports. a. Duties include: creating dashboards, budget reports, written reports, survey reports, grant reports, and infographics on a regularly recurring basis in a timely fashion and as needed. Support the successful execution of programs, performances, and special events a. Duties include: helping with setup and teardown, decorating, greeting patrons, concessions, recruiting and coordinating volunteers, etc. Coordinate intern and volunteer involvement. a. Duties include: assigning and monitoring special project progress.
PHYSICAL, SENSORY, COGNITIVE REQUIREMENTS
The majority of the day is spent sitting at a desk or in the office. Mobility around the office and community is required on a regular basis. Lifting materials up to 20 pounds occurs throughout the day. Stamina must be sufficient to accommodate work of eight hours per day. The ability to manage multiple complex duties occurring simultaneously is required. The ability to develop positive relationships on behalf of MSO is necessary. Sensory and cognitive capacities sufficient to initiate and maintain complex communications with diverse persons using an array of methods occurs daily. The position uses hearing, near vision and far vision daily. Access to transportation is required.
