In Attendance: Katie Scanlon, Brooke D'Entremont, Sarah Craig, Megan Moseley, Lil Maughan, A. Cinquemani, Jen Sullivan, Laurie Cloutier, Erica Stupka-Fisk, Amy Drapeau Olson. Meeting Minutes approved from September. Introductions of all in attendance. Principal update: NWEA testing to take place a couple times a year, kindergarten going on now, and 1st grade in November, 2nd-4th later in the year. Assembly committee started at HSS: Will be very involved soon. Next Meeting Thursday 3:25pm Oct. 20th. Clarification about USAF on Veteran's notice means United States Armed Forces. Not Air Force. Supply drive for military, more information to come about nonprofit he wants HSS to be more involved in. Professional Learning Committee: Reading about professional language to use throughout school, for a common language. Open Circle, social, emotional, behavioral program. Last year they researched, this year looking for staff volunteers to be trained at Wellesley in MA. Looking for grant funds for next year to have all the staff trained. Mr. C to have admin training. Brooke thanked Mr. C for sending out Veteran form earlier than last year. Correction: Halloween parade on Oct. 31 2-3pm, some classes received a notice with wrong date. School is taking the clown issue very seriously: If they see any adult in a clown costume, police will be called. Pick Up Patrol discussion. New program Mr. C is looking in to. Vice Principal: Paras created a Playground Committee, looking at safety concerns and inventory of old equipment. She was very appreciative of the volunteers. Brooke: Discussion about mini grants for new playground.

Treasurer: Katie, Brooke and Sarah all signers on PTO account now. We received a check for $189, still investigating what it was for before depositing. Books are balanced at $8773.18. Katie moved to make Megan Moseley secretary; it was seconded by Sarah Craig, all in favor. Yankee candle fundraiser update: Email that the fundraiser ended tomorrow went out, but a couple of classes did not receive the packets, Jen Grant called Yankee Candle and we have been extended one week to accommodate the classes that were missed. All other classes are still due on 10/14/16. Email to go out on Monday to let everyone know we received an extension and they can still turn in Yankee Candle fundraiser orders until Friday October 21st. Online sales continue until January 11th, 2017. Suggestion for next year’s letter to include the contribution of 40% that Yankee Candle offers HSS. Also to send reminder out that the Yankee Candles are online through January. Notice going out on Monday about one week extension, to include the info on 40% contribution. Mr. C will add to notice when we know how much is raised with a thank everyone who participated. Halloween goody bags: Be more clear on PTO supports it by supplying goody bags, not parade which is put on by HSS. Goodies coming in quickly, thank you for contributing. A wide variety of items were donated, we have plenty of bags. Donations don't need to be Halloween themed, just no food or candy. Need to set dates to sort and pack bags. Need volunteers help sort, count. PTO looking to meet at Lebanon or West Lebanon Library for sorting will meet at HSS at night to stuff bags. Date set for Thursday the 27th at 630pm at HSS. Monday the 24th at 10am location TBD for sorting. Halloween supplies were found in storage unit that can be used this year. Another reminder next week, Halloween donations are due Thursday the 27th. Mr. C will send out. PTO has two bulletin boards: One in the entry, display case, question on if we need it or not. Do we move or remove. Nothing has been in there that promoted PTO. Can we donate to art department? Other bulletin board is used and is near exit. Katie will continue to maintain board, if anyone has any ideas or changes that can be made, please see Katie. PTO job descriptions and Bylaws are posted on bulletin by exit. PTO website has minutes, agenda, email address, events and dates. It was suggested to promote PTO by setting up a table at orientation night with goody bags, looking to reach out to new parents willing to volunteer. Lil asked questions about dates for orientation and open house. Suggested moving orientation earlier than it is now, Mr. C is willing to talk about it. Request to have a "new family welcome night" or information packet for new parents. Sarah asked about volunteer training date. Mr. C: it's all online training now. Request to have that information go out to all parents in a packet. Erica: What is policy about parents going on field trips taking a child to the bathroom or sitting with children on the bus? Lil: regular volunteer would be visiting the classroom. Designated volunteer are required to have a background check and finger printed. Erica recommended having local background checks which give you more information. Mr. C will follow up with this.

Mini grant applications: Brooke has revised the application and it will be on PTO website so it's more accessible. A discussion was had about raising the grant amount which is now set at $500. PTO has $8000+ in account with nothing big on the future budget. No decision made, waiting to see what the Yankee Candle raises. Question about possibly adding reoccurring grant requests to 2017 budget as a line item, will be discussed further at a later date. "Teacher" was taken out of application, as any person in the building could apply for a grant. Should there be a cap on grant requests? Discussion about having an option to request the applicant to match funds instead of PTO giving 100% of requested funds. This will allow the applicant raise some money by holding a fundraiser themselves, so more grants can be given throughout the year. It was suggested that the PTO could hold a fundraiser for one specific applicant/ grant request. Budget allows $500 for one year, with side note up to $2000 after fundraiser funds are calculated. A suggestion was made about sending email to faculty about where to find the application. Amy offered the suggestions on wording of said email and changes to application. She will email to Brooke. Brooke requested PTO read application and email by any other suggested changes by Wednesday. Dr. Roberts has invited PTO to present for 5 minutes about what they have provided, have in the works and will be doing in the future for HSS. Oct. 26 is the next School Board meeting. School Directory: Only 44% involvement rate in 2015. Katie suggested PTO skip it this year and try again next year. Amy recommends looking into online platform to make it easier for parents to share their information. PTO email and website expectations: Brooke passed out guidelines. Katie and Brooke are administrators, as well as one faculty member and a member of the IT team. All PTO emails are to go to the [email protected] and not to personal email addresses. All responses need to CC President, VP, Treasurer and Secretary to keep everyone in the loop. Amy recommends every link that Mr. C sends out for PTO, add hyperlink and email address for easy access. Upcoming events: Staff spirit wear- waiting for an email from top stitch (HSS clothing). Fall we offer to faculty and spring we do a fundraiser sent to all students. There will be more information to come at next meeting. Thank you days: Jen: November 2nd and 3rd is teacher in-service days, PTO asks for volunteers to deliver snacks during these two days for the teachers. Still trying to figure out where to set food up due to the "blue room" being renovated and there not being a staff room. Katie suggested a rolling cart for each grade level that can be filled with snacks. Notices need to be sent out and include sign up genius, to be sent from PTO account. Notice to go home on Friday or Monday with link for volunteers to sign up. Holiday Wreaths: Amy Nichols reached out about participating in fundraiser this year. PTO is planning on it. We offer undecorated and decorated. Pricing to be determined based upon Nichols price. Flyers need to go out November 1st. Final wreath count is due the week of

Thanksgiving and need to be picked up Wednesday after Thanksgiving. Deadline for orders will be November 17th. Jen suggested putting copy in staff mailboxes as well. Need to reserve a space to sort and tag wreaths. Katie will submit required form to school and reserve blue room if available. Partners in Problem Solving: Brooke: In contact with Sue who is looking for volunteers to help with copying, correcting etc. on Thursday afternoons. Jen suggested reaching out via website for volunteers. Lil will email Sue directly and follow up with Brooke. Sarah: Quicken Books. How do we keep track of donations?? When entered into Quicken it records it twice, once in donations and once for deposits. Sarah requested to put them in as any other deposit and record it as a donation on a separate spreadsheet. Request was approved. Thank you cards will be passed to Megan. Any person who donates over $50 will receive one. Date of next meeting is November 10, 2017 630pm in HSS library.
