Share large les with others Use Google Drive and Google Docs to send files to your team and to clients by email. You won’t need to worry about whether the file is too large for their inbox. As a G Suite administrator, you also control access and sharing permissions for your team. Set default sharing options for new Docs, Sheets, and Slides. Choose who can share files with people outside your organization. You can share any file from Drive or Docs, Sheets, and Slides with someone who has a Google account. They don’t have to use a Gmail address, they can just sign up for a Google account without email.

Set sharing permissions for your team When you first sign up for G Suite, you and your team can share files with people outside of your organization. To send a Google file to someone who doesn’t have a Google account, click File > Email as attachment and send your file. You can remove the option to share files with those outside the organization. Or, set detailed permissions.

Sign in to the Google Admin console with your G Suite username and password.

Click Apps > G Suite > Drive and Docs.

Click Sharing Settings and check one of these boxes: ○
Off: Your team can’t share documents with people outside your company.
○
On: Your team can share documents with people outside your company.

(Optional) If you checked the On box, you can further check the Warn for files owned by users in your company box. When someone on your team shares a file with someone from the outside, they’ll see a notification.

(Optional) If you checked the On box, you can further check the Allow users to publish files on the web box. This allows your team to make files public to everyone on the web.

(Optional) You can change other sharing settings from this page. Changes will apply to all your users.

Share a le from Drive 1.
Sign in to Drive with your G Suite username and password.

Right-click the file you want to share, and at the top, select Share
.
(Share multiple files at the same time by holding Shift and selecting 2 or more files.) 3.
In the Share with others pop-up, enter the person’s email address in the People field. (To add more people, add a comma after the email address and enter another email address.) By default, the person has edit permissions.

(Optional) To change edit permissions, click the Down arrow
next
to the People field, and select Can Edit, Can Comment, or Can View. 5.
(Optional) To explain what the file is or what you’d like the person to do with it, in the Add a note field, enter a message that will be sent to the person.

Click Send. The person gets an email with a link to the file in your Drive. They won’t see anything else in your Drive, just the file you shared with them.
You can also share a file by sending the link to the file in an email. To do this, in Drive, left-click the file you want to share, select Get shareable link, and then paste the link in your email. Edit the permissions and click Share & Send.

(Optional) To send an email to the person, in the Add a note section, enter your message.

Click Send. The person gets an email with a link to your Google Docs file. It opens in their web browser, and they can see the document and make changes, even if you’re still in it yourself. Any changes appear in real time.
If the sharing settings don’t let you to share the document with someone outside your company, go to your Google Admin console to change the sharing settings defaults.
